Neither open-source nor proprietary productivity apps are automatically more private, portable, or easier to use. The decisive questions are who stores and administers your files, which controls are available in the specific app and version, how your real documents convert, and whether the workflow suits the people doing the work.
What the labels do—and do not—tell you
Open source describes software whose source code is available under a license that permits inspection and specified forms of use or modification. Proprietary software is distributed under terms that generally do not grant those same rights. Those licensing and development models do not, on their own, establish where your documents are stored, how a service handles data, or whether a product is usable for your work.

LibreOffice describes itself as free and open source. In its own comparison, Nextcloud labels its platform open source and names Microsoft 365 and other services as proprietary. Privacy depends on deployment, settings, and administration
Local files and self-hosted services
A desktop app such as LibreOffice can work with files stored on your own device or storage that you manage. That gives you control over the storage arrangement, but you remain responsible for matters such as device security, backups, account access, and sharing. Open code alone does not secure a laptop or protect a poorly configured file server.

Nextcloud says customers can host its platform in an environment they choose, including hybrid deployments. That can give an organization more control over where data resides and who administers the service; it is not a guarantee of secure configuration or effortless maintenance. Nextcloud comparison
Cloud services and connected features
A primarily cloud-based suite may simplify collaboration and service maintenance, while relying on the provider’s policies, controls, and infrastructure. Microsoft documents configurable Office diagnostic-data levels and connected experiences, including features that analyze content or download online content. The available controls differ by product, operating system, and version, so check the documentation and settings for the particular app you use. For Microsoft 365 apps for home, Microsoft states that prompts, responses, and file contents used with Copilot in those apps are not used to train foundation models. That statement is specific to the home-app documentation; it should not be extended to other Copilot products, account types, or data processing. Portability: test documents, not just file extensions
LibreOffice supports OpenDocument formats and can also save documents in Microsoft Office formats. Its help documentation describes a Document Converter Wizard that can copy and convert Microsoft Office files in a folder to OpenDocument format. Before moving a team, test representative DOCX, XLSX, and PPTX files in both directions. Check page layout, fonts, formulas, charts, comments, and any features your workflows depend on. Include files that are shared with clients or colleagues, since their software may differ from yours.

Macros can be a migration blocker
Do not assume spreadsheet automation will travel with the file. LibreOffice Help explains that Office VBA and LibreOffice Basic use different objects and methods and, with a few exceptions, cannot run the same macro code without changes. If a finance, operations, or reporting process depends on macros, inventory and test that code before switching; editing or replacing it may require specialist work. Ease of use is a workflow question
There is no established independent side-by-side usability result in the cited material that settles whether LibreOffice, Nextcloud, or Microsoft 365 is easier for everyone. Nextcloud describes its interface as avoiding unnecessary clutter and promotes accessibility features, but that is the vendor’s characterization, not a neutral comparative study. Its comparison page also lists more than 200 apps in its ecosystem; the page does not establish a publication date for that count. Nextcloud comparison

Run a short task-based trial with representative users rather than deciding from interface screenshots or marketing. Have them create and revise a document, edit a shared spreadsheet, present slides, exchange files with outside partners, and use assistive technology if relevant. Include offline work, sharing permissions, account recovery, and the steps an administrator must take to support the setup.
Compare the whole deployment, not only the app

LibreOffice says it can be used without license fees and points larger deployments toward professional support. The Document Foundation describes certified professionals and migration consultants. A zero software license fee does not mean zero total deployment cost: migration, training, administration, support, and any required hosting still take time or money. A practical way to choose
- List the work that must keep functioning. Identify document types, collaboration patterns, macros, external file exchanges, accessibility needs, and offline requirements.
- Map data custody. For each candidate, determine who hosts files, who controls access, how backups and recovery work, and which connected features apply.
- Trial the actual workload. Use copies of real, representative files and ask likely users to complete normal tasks; inspect converted output rather than assuming extensions guarantee fidelity.
- Estimate operational effort. Include administration, security configuration, migration, training, support, and service upkeep alongside any license cost.
- Choose based on the binding constraint. If local control or deployment flexibility is central, investigate a locally managed or customer-hosted option and plan for administration. If managed collaboration is the priority, examine the provider’s policies and available controls. If complex Office files or VBA macros are essential, make compatibility a pass-or-fail test before migration.
