First check your Microsoft storage usage and the OneDrive status icon. If your cloud quota is full, OneDrive blocks new uploads, edits, and syncs; if your computer says its disk is full, the fix is to free local space instead. When cloud storage is available, troubleshoot the specific file, connection, or sync client before deleting anything.
Check whether OneDrive cloud storage is actually full
Open Microsoft’s storage view and check the account’s usage and quota. Also check the OneDrive status icon for a storage warning. For personal Microsoft accounts, the cloud-storage meter can include OneDrive files and photos, items in the OneDrive Recycle Bin, and Outlook.com attachments and inline images. Outlook email storage has its own limit, so identify which meter is over its cap.

Microsoft says that when you exceed Microsoft storage, you cannot upload, edit, or sync new files to OneDrive; existing files remain available as read-only while the account is over quota. The overage can also affect Outlook.com mail and Teams messages with attachments. Microsoft’s UK support page describes a policy under which an account left over quota for three months becomes frozen and, after six months, Microsoft might delete OneDrive and its files. Those timeframes are the policy shown on that page, not a guaranteed timeline for every account or region.
Personal and work or school accounts use different quota rules
Microsoft lists 5 GB of free cloud storage for a free Microsoft account, shared across OneDrive files and photos, Outlook.com attachments, and Microsoft apps. Microsoft 365 Personal and Family subscriptions include 1 TB as described by Microsoft. Plan eligibility and available storage options can change, so check the current account page rather than relying on an old plan description.

- Easily store and access 2TB to content on the go with the Seagate Portable Drive, a USB external hard drive
- Designed to work with Windows or Mac computers, this external hard drive makes backup a snap just drag and drop
- To get set up, connect the portable hard drive to a computer for automatic recognition no software required

For a work or school account, go to OneDrive on the web and select Storage used to review usage. Organization limits and policies vary; if cleanup does not provide enough space, ask your IT administrator whether the managed quota can be increased.
Free cloud storage without losing files you need
- Review what is taking space. On the storage page, inspect large files and archives, including ZIP files, videos, screenshots, and camera-roll content. Confirm what is backed up and what you can safely remove before deleting anything.
- Remove or move unneeded files. Delete items you no longer need. If you need to keep a file, move it outside the OneDrive folder or copy it to separate storage before deleting its OneDrive copy. Deleting a file from OneDrive removes that cloud copy; check that another copy exists if you want to retain it.
- Empty the online OneDrive Recycle Bin. Open the Recycle Bin on OneDrive’s website and empty it, or permanently delete selected items. This is separate from the Windows Recycle Bin or Mac Trash. Permanently deleting items from the online bin can make them unrecoverable.
- Check the storage meter again. Microsoft says it can take up to 24 hours for deleted content to appear in the available-storage figure. If you remain over quota after reasonable cleanup, Microsoft identifies extending eligible storage as another option.
If the warning is about a full computer disk
A local disk-full message means your device is short on space; it does not mean your Microsoft cloud quota is exhausted. Microsoft recommends Disk Cleanup or Storage Sense on Windows, and Optimize Storage on Mac. You can also check which OneDrive folders are selected for sync.

Once syncing has completed, use OneDrive’s Clear space option to keep files online-only and reclaim local capacity. Files On-Demand and selective folder sync reduce how much OneDrive downloads to your computer, but they do not remove files from the cloud or reduce your cloud storage usage. Emptying the computer’s Recycle Bin or Trash can help local disk space; it does not empty OneDrive’s online Recycle Bin.

Check the file and its full path before changing sync settings. Microsoft’s upload guidance says the path must contain fewer than 442 characters, and the OneDrive app can upload files up to 250 GB. That app limit does not override your account’s remaining quota, file restrictions, or other upload requirements.

- Not enough space for this file: Compare the file size with the remaining cloud quota. A quota that is not completely full can still be too small for a particular upload.
- Unsupported name or file type: Check Microsoft’s OneDrive and SharePoint restrictions and limitations for the affected name, type, or other restriction.
- File is open elsewhere: Save and close it in the other application, then allow OneDrive to try syncing again.
- Permission problem: Confirm you have the required read and write access to the file or folder.
For folders or large transfers, Microsoft says the OneDrive app supports uploads up to 250 GB per file. Use it where appropriate, while keeping the path, available quota, and file restrictions in mind.

Sync can take time after you add many files, add a very large file, sign in, or update your computer. A slow connection can delay large uploads, and Microsoft notes that syncing more than 300,000 files may take a long time. Where practical, reduce the file count; shortcut folders and synced SharePoint libraries can also affect the workload.
