Moving Expensive Technology? How to Document and Protect Your Equipment

Record each valuable device, its condition and serial number before moving day. Learn how to prepare electronics, review the mover’s inventory and check transit protection.

Before movers arrive, create your own item-by-item record of valuable electronics, their condition and identifying details, then keep that evidence somewhere other than the shipment. During pickup, check the mover’s inventory against your records and correct unclear descriptions or damage notes before signing. Separately, confirm in writing how the mover will pack the equipment, what liability or valuation option applies, and how claims work; ask your insurer whether your policy covers goods in transit.

Build your own electronics inventory before packing day

Do not rely on the mover’s inventory as your only record. Military OneSource notes that the mover’s list does not capture your own valuation or condition records. Make a separate entry for each valuable device—such as a television, computer, stereo component or game console—and connect its photos to that entry.

Record for each item What to include
Identification Specific description, make, model and serial number. For larger electronics, include dimensions; the DoD Personal Property Activity’s May 2026 factsheet also calls for year.
Condition Note existing marks, defects or other condition details clearly and specifically.
Purchase information Purchase date or other available purchase details, receipt information and a copy of the receipt if available.
Value Your estimate of the item’s current value. This is your record, not a substitute for the mover’s valuation terms.
Evidence reference Photo or video filenames, plus the location of related receipts and accessory or parts-box details.

Photograph condition and identifying marks

Take clear photos of each item from multiple sides, including close-ups where the brand, model and serial number can be read. Photograph existing damage as well as the overall device. For particularly valuable equipment, make a short video; for a TV or other electronic item, a brief recording showing it working can help document its pre-shipment condition.

Keep the record accessible and separate

Store inventory details, receipts and images securely in a place that travels with you or is backed up outside the shipment. Options include a secure physical copy or cloud storage. The aim is to retain evidence if a device or carton is lost or arrives damaged.

Prepare electronics to disconnect and reconnect

  1. Back up software and data. Make a suitable backup before the equipment is disconnected or packed.
  2. Document cable connections. Photograph the back of each setup or draw a simple diagram before unplugging anything. Include the device and the ports so the connections are identifiable later.
  3. Keep accessories traceable. Keep cables, remotes and small parts with their equipment where practical. If they go into a separate parts box, label that box and note it in the inventory.
  4. Ask about packing before moving day. For fragile, unusually valuable or awkward equipment, ask whether the mover recommends professional packing, special handling or crating, and confirm how it will be packed for shipment.

A TV moving box with protective inserts may be an option for a large display, but the cited guidance does not test or endorse a particular commercial box. Before buying one, check the screen dimensions and ask the mover whether the box meets its packing requirements.

Check the mover’s inventory before you sign

At pickup, review the mover’s inventory while the items are being listed. The DoD factsheet calls for electronics details including dimensions, make, model, year and serial number; Federal Maritime Commission guidance likewise says larger items such as televisions and stereo or video systems should have their size and identifying details recorded.

  • Compare any condition notes with the device itself. Ask for inaccurate descriptions or existing-damage notes to be corrected.
  • Put disagreements in the remarks or exceptions area before signing, and make sure the wording is legible and understandable.
  • Do not sign a blank, incomplete, illegible or unclear inventory. The DoD Personal Property Activity’s May 2026 factsheet puts it plainly: “Never sign a blank, incomplete, or illegible inventory, or an inventory you can’t clearly understand.”
  • Keep a copy of the completed inventory and any written exceptions.

A signed inventory may be used when a later loss or damage claim is evaluated, so unclear descriptions or unrecorded condition disagreements can make it harder to establish what was shipped and in what condition.

Compare transit protection and claim terms

Ask the mover to explain its available valuation or liability options in writing. FMCSA explains that different levels of mover liability are available and that the option selected affects potential reimbursement; a mover’s valuation option is not automatically the same thing as a homeowner or renter insurance policy.

Question to resolve What to confirm in the contract or policy
Who packs the equipment? Whether the mover packs it or you pack it, and whether owner-packed cartons change liability or claim treatment.
What is the valuation basis? How reimbursement is determined, applicable limits, exclusions, deductibles or fees, and which option you are selecting.
Is special packing available? Whether professional electronics packing, special handling or crating is offered or required for the item.
What evidence is needed? Which inventory details, photos, receipts or other documentation are required for a claim.
What deadlines apply? The deadlines and process for reporting loss or damage and filing a claim.
Does personal insurance cover the move? Whether your homeowner or renter policy covers equipment during transit, whether a rider or other protection is available, and whether it overlaps with mover protection or leaves a gap.

Confirm the actual contract and policy terms rather than relying on a general description of coverage. FMCSA recommends checking with your homeowner insurer about added shipment protection.

Check the load and delivery against your records

As items are loaded, keep your copy of the inventory and any exceptions. At delivery, compare the delivered equipment and tags with that record. The DoD factsheet advises checking each carton or item against the inventory as the truck is unloaded; note missing items and visible damage promptly, following the mover’s stated reporting process and deadlines.

Know which guidance applies to your move

This guidance is principally U.S.-focused, but mover rules and insurance depend on jurisdiction and contract. FMCSA’s valuation document is listed as last updated July 13, 2023, and its loss-prevention advisory as last updated February 10, 2015; confirm current requirements and the terms for your specific move. The Office of Consumer Affairs guidance is Canadian and addresses that jurisdiction, including owner-packed items and claim time limits. Do not assume those details apply to a U.S. move.
