Google Drive files are a separate job, and a Google Workspace move involves administrator access and a domain email cutover. The practical answer is to migrate in stages, keep Google available, and verify your data before disconnecting anything.
First, work out which kind of Google account you have
A personal Gmail account and a managed Google Workspace account follow different migration paths. With personal Gmail, you can configure Easy Switch from Proton Mail settings. Workspace migration is an administrator-led process involving both Google Workspace and Proton administration, plus access to your domain’s DNS settings. Proton documents separate workflows for personal Gmail and Google Workspace.

Before starting, list what you actually use: email, contacts, calendars, files in Drive, shared documents, and accounts that use “Sign in with Google.” Plan to update important sign-ins and shared workflows as well as moving data. Keep the Google account active during the transition.

Easy Switch can import mail, contacts, and calendars from Gmail. For personal Gmail, Proton also documents an option to connect the Gmail account so it can continue sending and receiving messages from the old address. That connection is distinct from copying existing messages: importing brings over historical content, while the connection supports continued use of the Gmail address during the transition. Drive files do not move through Easy Switch. Proton’s documented route is to export files with Google Takeout and then move them into Proton Drive. Treat that as a separate file-transfer project, not an automatic part of the mail import: Google Drive to Proton Drive instructions.
How to move a personal Gmail account
- Start the import: In Proton Mail, open Settings → Import via Easy Switch → Google, then connect the Gmail account and follow the authorization prompts. Proton’s guide says the initial import can use up to 80% of available Proton storage, so check your capacity and decide how much historical mail to bring across before proceeding. The guide’s stated connection limits are one Gmail account for Free users and up to three for paid plans; confirm current limits in Proton’s live instructions because plan details can change. - Choose the data and scope: Select mail, contacts, and calendars as needed. For mail, the documented options include choosing a date range or folders. For calendars, you can import as a new calendar or merge into an existing one. Proton’s guide for this flow caps imported contacts at 10,000. Check the selections before starting so you do not bring across more history than your storage or needs warrant. Import options and limits.
- Decide whether to keep Gmail connected: If you still need messages sent to the old address, enable the Gmail connection option during setup. Use the transition period to change the email address on banking, shopping, work, and other important accounts, then test that messages arrive at the address you intend to keep using. - Watch the import: Check import status in Proton settings. Proton documents controls to pause, resume, reconnect, or cancel an import if needed. Manage Easy Switch imports.
- Move Drive files separately: Export the relevant files with Google Takeout and import or upload them to Proton Drive using Proton’s documented process. Check that important files are present and usable before relying on the new location. Drive transfer steps.
How a Google Workspace migration differs
For a business domain, this is not simply a personal Gmail import repeated for each employee. Proton’s documented process requires a Proton administrator, a Google Workspace administrator, and access to the domain provider. It configures the migration, authenticates the Workspace administrator, installs Proton Easy Switch from Google Workspace Marketplace, and sets up the domain and users. Plan the domain cutover
The process ends by changing the domain’s MX records so incoming email is routed to Proton. Proton’s guide says to remove other MX records when adding Proton’s records; verify the current instructions against your domain’s DNS setup before making a change. Proton says routing confirmation can take up to 24 hours. Arrange user invitations and activation in advance: users activate through an invitation and verification, and the guide says an administrator may need to reset users who have not activated. Once MX routing is confirmed, new incoming mail goes to Proton; treat that as an operational cutover, not just a background copy.

Do not assume Workspace Drive files are included
The cited Workspace migration guide covers email, contacts, and calendars. It does not establish that the business migration transfers Drive files. Handle Drive separately unless Proton’s current business documentation explicitly describes a supported file migration for your setup. The available general file-transfer instructions use Google Takeout and Proton Drive: Proton’s Drive import guide.

What changes after the move: files, documents, and collaboration
Proton Drive provides encrypted storage, file upload and download, sharing, and built-in Docs and Sheets. Those tools cover common document and spreadsheet tasks, but the cited product documentation does not establish that every Google feature, integration, or team workflow has an equivalent. Documents
Proton Docs can open and edit DOCX and other listed formats, and export DOCX, PDF, TXT, Markdown, and HTML. When you edit an existing DOCX, Proton says it creates a new copy. On Windows and macOS, synced Docs may appear as placeholders; download a copy rather than moving a placeholder in Finder or File Explorer. Spreadsheets and sharing
Proton Sheets supports real-time editing, notes, sharing permissions, public links, and version history. For direct email sharing, collaborators need Proton accounts; recipients of public links can access without one. A low-risk way to decide whether the switch works for you
The migration is easier to manage when it is staged rather than treated as a single move. Keep the old account available while you check each part of the new setup.

- Check storage and history: Compare the mail and file volume you want to move with available Proton storage. If you do not need every old message, use the date-range or folder options documented for Easy Switch.
- Verify the essentials: Check that expected messages, contacts, calendar events, and important files are present. Test a few important account notifications and shared workflows.
- Review who needs access: For shared calendars, documents, and spreadsheets, make sure the people who rely on them can still participate. Sheets direct email sharing requires Proton accounts, while public-link access has different access characteristics.
- Keep the old address useful while you update services: A connected Gmail account can help during the changeover, but it does not update the address stored with other services for you.
- Only then consider disconnecting or closing Google: Wait until critical sign-ins, incoming messages, calendar use, and file access are working as intended.
Proton’s documented workflow is designed to run in the background during a personal import, but that does not make every part of a Google-to-Proton move automatic. Whether the switch feels better depends on the features and integrations you rely on: the migration tools cover core data, while Drive transfer, collaboration changes, and Workspace DNS cutover need separate attention.
