Microsoft Digital Workplace: What It Is and What It Includes

Microsoft’s digital workplace combines Microsoft 365 services, Teams, SharePoint, and Viva experiences. Here’s what the components do and what organizations should plan.

Microsoft’s digital workplace is the connected work environment an organization builds around Microsoft 365, Teams, SharePoint, and related services. It brings together communication, collaboration, company content, and employee experiences across locations. Microsoft Viva is its employee-experience platform, and Viva Connections can act as a personalized gateway to company news, resources, and communities. There is no single universal definition or one required app: the right setup depends on how an organization works, what it already uses, and what its Microsoft 365 plan includes.

What does “Microsoft digital workplace” mean?

“Digital workplace” is a broad term for the digital tools, information, communication channels, and processes employees use to do their jobs. Microsoft does not define one standalone product as the digital workplace. Rather, its product framing combines Microsoft 365 and Teams with services such as SharePoint and Viva to support work and employee experience. The specific architecture is organization-dependent.

In practical terms, the workplace might include Teams for collaboration, SharePoint sites for company information and workspaces, Microsoft 365 files and services, and connected business systems. A Viva experience may make some of these resources easier to discover, but it does not replace the need to decide where information belongs, who owns it, and who can access it.

What is Microsoft Viva used for?

Microsoft describes Viva as an employee experience platform built on Microsoft 365 and Teams. Its applications address different needs, including communication, learning, communities, feedback, and work-pattern insights. The current service description lists the following capabilities; product features and entitlements can change. Microsoft’s Viva service description was last updated May 11, 2026, and warns that its feature table may change without notice.

This is a current product overview, not a guarantee that every application or feature is included in every subscription. Microsoft’s February 2021 launch announcement grouped Viva around engagement, wellbeing, learning, and knowledge; that was launch-era framing, not a complete current product list. Read the launch announcement.

How does Viva Connections relate to SharePoint and Teams?

Viva Connections is best understood as a gateway experience, not as a synonym for a SharePoint intranet or a replacement for Teams. It can surface selected company communications and resources through a customizable app in Teams. SharePoint can provide the sites and content behind parts of that experience, while Teams is a collaboration environment where employees may access it.

Organizations still need to decide how to structure their sites and govern access. Microsoft’s SharePoint planning guidance recommends separate site collections for separate units of work; communication sites and Microsoft 365 group-connected team sites can have their own permissions. What should an organization plan before setting it up?

A useful design starts with employee needs and existing systems, not with adding another destination. These planning steps are practical synthesis of Microsoft’s product and SharePoint guidance, not a universal deployment recipe.

  1. Identify employee groups and work contexts. Consider frontline, office-based, and remote employees, including the devices and access patterns each group uses.
  2. Choose the tasks to improve. Define whether the priority is finding policies, reading announcements, collaborating, learning, or locating expertise.
  3. Map current content and processes. Locate what already lives in SharePoint, Teams, and other systems before deciding what a gateway should surface.
  4. Set ownership and permissions. Decide who maintains each site and resource, who can see it, and how those access rules fit together.
  5. Verify licensing and integrations. Check Microsoft’s current plan comparison for the organization’s tenant and region, and confirm any required connectors, add-ons, or third-party integrations before committing to a capability.
  6. Assign content owners and a review cadence. Keep links, announcements, and resources current so the gateway does not become a stale directory.

Which Microsoft 365 license includes Viva?

There is no safe one-size-fits-all license answer from the product names alone. Viva capabilities and entitlements vary by Microsoft 365 or Office 365 plan, and specific integrations may have separate requirements. Check the live Microsoft service description and plan comparison for the actual tenant and region before promising access to a feature or budgeting for it. The service description notes that its feature table may change without notice. Microsoft Viva service description and plan information.

How should teams decide whether this approach fits?

Assess the proposed workplace against the organization’s needs rather than treating the product suite as a finished design. The most useful decision points are:

Microsoft’s announcement of Viva in 2021 cited an analyst estimate of $300 billion in annual spending for the then-nascent employee-experience-platform category. That was a historical category estimate reported at launch—not a current market-size figure or Microsoft revenue statistic. In that announcement, Microsoft CEO Satya Nadella said, “Every organization will require a unified employee experience from onboarding and collaboration to continuous learning and growth.” Both the estimate and quotation belong to the February 4, 2021 launch context.
