How the three approaches differ at a glance
These tools are often compared as if they were interchangeable search engines. They are not. Each builds a different kind of index and answers a different memory problem.

| Approach | Best query style | What it primarily indexes | Integration | Setup and resource cost | Best fit |
|---|---|---|---|---|---|
| Local LLM file search | Natural-language questions, concepts, approximate meaning | Extracted document text, chunks, embeddings or another semantic index, and often a local language model | Depends on the application and its connectors | Highest; ingestion, storage, model and tuning requirements vary by corpus and software | You remember an idea such as “the invoice discussing renewal penalties” |
| Windows Search | Keywords, properties, document content, and Windows-integrated data | File properties and, when enabled, file content; an optional semantic index | Deep integration with Windows and Microsoft Search | Usually already available; indexing scope and file-type settings may need adjustment | You want one search surface for files and supported Windows data |
| Everything | Exact or partial filename, extension, path fragment, or folder name | A filename and folder index | Focused standalone utility | Low; its official feature list emphasizes quick filename indexing, quick searching, minimal resource use and real-time updating | You know or partly remember the name and need an immediate result |
No cited source reports a controlled benchmark using the same computer, corpus, index settings and query set for all three. Treat claims such as “fastest” as task-specific rather than as a universal ranking.

Properties-only versus content indexing
Microsoft documents two indexing choices: properties only, which records fields such as the filename, path, dates and other metadata, and properties and file contents, which also extracts searchable text. Supported examples include TXT, PDF, DOC and DOCX, RTF, PowerPoint, Excel and common image formats. The exact result depends on the installed filter for the file type and whether the location is included in the index.

On current Windows versions, open Settings > Privacy & security > Searching Windows and use Advanced indexing options to reach the classic Indexing Options panel. In that panel, Modify controls indexed locations. Select Advanced > File Types, choose an extension, and select either Index Properties Only or Index Properties and File Contents. Labels can vary slightly by Windows edition and release, but the two indexing modes are the important distinction.
More than ordinary files
Windows Search is also a desktop search system for email, contacts, calendar items, documents, photos and multimedia. Its extension points allow other software to add data types. That is why it remains useful even when a separate filename utility is installed: Start and taskbar search can combine local files with supported Windows data in one workflow.
Semantic matching and cloud scope
Microsoft’s semantic-search documentation describes concept expansion: a query such as sunset can match related wording such as dusk or twilight. When the semantic index is unavailable, the system silently falls back to ordinary keyword matching, so a machine without that index will not behave like a full semantic engine.
Semantic-index data is stored locally on the PC. However, work or school settings can enable results from OneDrive, Outlook, SharePoint and other Microsoft Search sources. “Local index” therefore does not mean “no cloud results”: check the account and connected-content settings if data boundaries matter.
What Everything is designed to do

What you should not assume
The cited product page documents name-oriented indexing, not semantic document understanding. Do not assume that the basic Everything index will search inside a PDF paragraph, interpret a concept, perform OCR, or answer a natural-language question. You may be able to add separate tools or workflows, but those are different capabilities from the core filename search.
Where it fits in a Windows workflow
Everything is a focused standalone utility rather than a replacement for every Windows search surface. It is particularly useful on a large NTFS collection where the filename is the strongest memory cue. You can leave Windows Search enabled for content and integrated data while using Everything as the instant name-and-path lookup layer.
What a local LLM file-search system actually does
The pipeline
A local LLM file-search setup is normally a pipeline rather than one index:
- Discover files and permissions. The application identifies the folders and file types you allow it to read.
- Extract text. Parsers convert supported documents into text. Extraction quality determines what can be retrieved later.
- Chunk the text. Long documents are split into smaller passages so a relevant section can be returned without loading an entire book or contract at once.
- Create a semantic representation. An embedding model or another semantic-index method maps passages and queries into a space where related meanings can be matched even when wording differs.
- Retrieve passages. A query such as “the invoice discussing renewal penalties” returns candidate chunks rather than relying only on exact tokens.
- Optionally generate an answer. A locally running language model can summarize or answer from the retrieved passages. Retrieval and generation are separate stages.
Desktop applications for local LLMs, retrieval-augmented generation and agents describe this as a local-first setup. “Local” is a configuration property, not a guarantee supplied by the label: the model, index, source files and any connectors must all be kept on-device if that is your requirement.

Do you need an LLM?
Not necessarily. A semantic retrieval system can use embeddings and return matching passages without generating prose. You need a generative LLM when you want a conversational answer, synthesis across passages or follow-up questions. The phrase local LLM file search usually refers to the broader stack, which may include both retrieval and generation.

Why it costs more to operate
Compared with a filename index, semantic search adds text extraction, chunk storage, vector or equivalent indexes, model files and ingestion time. CPU, GPU, memory and disk requirements depend on the model, file count, document length, update frequency and application. The cited sources do not establish a universal RAM, storage or processing budget, so plan from a pilot on your own corpus rather than a generic number.
Which search answers which question?
| Your memory cue | First choice | Why | Fallback or companion |
|---|---|---|---|
| You remember most of the filename | Everything | Its index is optimized for names, paths and folders and updates in real time | Windows Search for properties or content once you locate the file |
| You remember a word inside a PDF, Word document or spreadsheet | Windows Search with content indexing enabled | It can index properties and file contents for supported formats | Local semantic search when the wording is uncertain or indirect |
| You remember a topic but not the wording | Local semantic retrieval | Embeddings or concept expansion can match related meaning | Windows semantic search where the semantic index is available |
| You need Outlook, SharePoint, OneDrive or other supported Microsoft data in the same surface | Windows Search and Microsoft Search integration | Those data sources are part of the documented Windows workflow when enabled | A local index for files that must remain outside connected services |
| You need the lowest additional overhead | Everything for name searches | Its official description emphasizes minimal resource use and quick filename indexing | Keep Windows content indexing limited to the folders and types you actually search |
| You need an answer assembled from several documents | Local LLM/RAG | It can retrieve passages and optionally synthesize them | Use Windows or Everything to verify the original files and paths |
Speed, scale and indexing overhead
Why a filename search feels instantaneous
A filename index is compact and comparatively simple: it maps names and paths to directory entries. Everything’s official claims of quick filename indexing, quick searching, minimal resource use and real-time updating describe that narrow job. If the query is a name, extension or path fragment, adding semantic processing would be unnecessary overhead.
Why content search can lag after changes
Windows Search must inspect file properties and, when requested, extract content through type-specific filters. Changing the indexed locations or enabling content indexing for additional extensions can trigger a rebuild or a large catch-up pass. Limit the scope to folders you actually search, and choose properties-only indexing for file types where body text is not useful.
The 400,000-item warning
Microsoft’s current troubleshooting guidance warns that indexing more than 400,000 items may lead to performance issues. This is a workload-specific warning, not evidence that Windows Search is slower than Everything or a local semantic index in every case. Count the items in the locations you plan to include, especially on development, photo, backup and source-code drives.

Why semantic indexing has a different cost curve
A local semantic system must process every supported document initially and then process new or changed content. Large files may create many chunks; frequent edits can invalidate and regenerate those chunks. Model inference can also compete with other CPU, GPU, memory and disk workloads. Measure initial ingestion time, update latency and query responsiveness on a representative subset before indexing an entire archive.
Privacy and data-boundary decisions
Windows Search
Microsoft documents the semantic index as stored locally. Work or school cloud-content search is a separate boundary: when enabled, results can include OneDrive, Outlook, SharePoint and other Microsoft Search content. Review connected-account settings and organizational policies if a search box must stay within one PC.
Everything
Everything’s core job is local filename and folder lookup. If you expose network shares, synchronized folders or remote paths, the data boundary follows those locations. Verify which volumes are included and what permissions the process has; do not infer privacy behavior for optional integrations from the basic filename feature list.
Local LLM systems
A local-first application can keep source files, embeddings and model weights on the machine, but only if you configure it that way. Check connector settings, telemetry choices, update mechanisms and any hosted-model option. A local model does not prevent an application from sending diagnostics or using a remote service, and a local index does not automatically protect files from other users who can access the index.
How to configure Windows Search for useful results
- Choose the locations. Open Settings > Privacy & security > Searching Windows, then open Advanced indexing options and select Modify. Include only folders that need integrated search.
- Set file-type behavior. In Advanced > File Types, select an extension and choose Index Properties and File Contents for formats whose text you need. Use Index Properties Only when names and metadata are sufficient.
- Allow the index to settle. After changing scope or file-type settings, let indexing complete before judging results. Large collections can take substantial time.
- Test representative files. Search for a distinctive sentence in a TXT, PDF, DOCX and spreadsheet stored in the indexed location. A filename hit proves only that the path is indexed; a body-text hit confirms content extraction.
- Check semantic behavior separately. Try a concept query and an exact keyword query. If only the exact term works, semantic indexing may be unavailable and Windows has fallen back to keyword matching.
How to deploy a local semantic file search safely
- Define the corpus. Start with a bounded set of personal documents rather than an entire drive. Record file types, approximate item count and how often files change.
- Confirm extraction support. Make sure the application can read the formats you care about and report extraction failures. A document that produces no text cannot be retrieved semantically.
- Select local components. Choose an embedding or semantic-index method and, if you need generated answers, a local language model. Keep model and index directories on storage with appropriate access controls.
- Ingest and inspect. Let the system extract, chunk and index a pilot set. Open several returned passages and verify that they point to the correct source file and section.
- Test exact and conceptual queries. Use one query containing a distinctive phrase, one paraphrase and one cross-document question. Compare retrieval quality, not just answer fluency.
- Set an update policy. Decide whether changed files are detected automatically, rescanned on a schedule or refreshed manually. Stale embeddings can return outdated passages.
- Keep an audit path. Preserve the original path and filename in results so you can open the source and check generated answers against the document.
When a hybrid setup is the sensible choice
You do not have to choose one index for every job. A practical Windows arrangement is:

- Everything for instant filename, extension, path and folder lookup.
- Windows Search for Start or taskbar search, metadata, supported document content, email and Microsoft-connected data.
- Local semantic search for concept questions, paraphrases and answers assembled from several personal documents.
Keep the scopes intentional. If all three systems ingest the same archive, you pay the indexing cost three times and create more places to maintain permissions and stale data. Exclude volatile caches, build directories, duplicate backups and temporary exports unless they are genuinely part of your search task.
Common failure modes and fixes
Windows finds the filename but not the sentence
- Confirm the folder is included under Modify.
- Confirm the extension is set to Index Properties and File Contents, not properties only.
- Check that the installed filter can extract that format.
- Allow a rebuild or catch-up pass to finish before retesting.
- If the file is in a work or school location, determine whether the result is local or cloud-backed.
Everything does not show a recently created file
- Verify that the relevant volume or folder is within the paths it indexes.
- Check whether the file is on a location the utility is not monitoring.
- Use a distinctive extension or path fragment to separate an indexing issue from a spelling issue.
- Remember that name search does not imply body-text search; use Windows content indexing or a semantic tool for the document’s contents.
The local LLM returns plausible but irrelevant passages
- Open the retrieved chunks and inspect extraction quality before changing the model.
- Reduce or adjust chunking if a key sentence is split from its context.
- Check whether the query language matches the embedding model’s supported languages.
- Re-index files changed since the last ingestion.
- Require source paths and quoted passages in generated answers so fluency does not substitute for evidence.
A private search unexpectedly shows remote content
- Review Windows work or school cloud-content settings.
- Inspect local LLM connectors, hosted-model choices and telemetry settings.
- Check which network shares and synchronized folders Everything or another indexer can see.
Cost and capacity planning without made-up numbers
None of the cited official pages supplies a controlled three-way speed test or a universal hardware budget. Use the following planning questions instead of copying a generic “fastest” claim:
- How many files and total text pages are in the corpus?
- How many items change each day, and how quickly must changes become searchable?
- Do you need names only, full text, semantic retrieval, generated answers, or all four?
- Which file types must work, and how will extraction failures be detected?
- Can the machine spare CPU, GPU, memory and disk during initial ingestion and refreshes?
- Must all data, models and indexes remain on-device, or are organizational cloud results acceptable?
For a large archive, begin with a measured pilot: record initial indexing time, update delay, result quality and idle resource use for the same set of representative queries. Those measurements are more useful than a universal ranking that no cited source establishes.
Recommended Free Tools
A decision checklist
- Choose Everything first if your dominant question is “Where is the file whose name contains…?”
- Keep Windows Search if you rely on Start or taskbar search, document-content indexing, metadata, Outlook, SharePoint, OneDrive or other built-in workflows.
- Add local semantic search if you routinely ask meaning-based questions and exact keywords miss the relevant document.
- Use a hybrid arrangement when those are separate jobs, but avoid indexing unnecessary folders in every system.
- Do not quote a speed number or promise a privacy boundary that the cited feature descriptions do not establish; test your own corpus and inspect your settings.
The practical verdict
“Best” follows the cue in your memory. Everything is the focused answer for filename speed and low overhead. Windows Search is the broadest built-in workflow for properties, supported document contents and integrated Windows data, with semantic matching where its semantic index is available. A local LLM/RAG layer is the most flexible for concepts and natural-language questions, but it asks you to pay for extraction, indexing, model resources and maintenance. For many Windows users, the strongest arrangement is not a winner-take-all switch: use Everything for names, Windows Search for integrated content, and local semantic retrieval only where meaning-based search solves a real problem.
