Job tracking software keeps job listings, application stages, contacts, notes, documents, and follow-up tasks in one place. A spreadsheet can do the same basic job if you prefer a flexible system and will keep it updated. Choose the simplest workflow you can maintain consistently; the available product descriptions establish features, not that a tracker leads to more interviews or offers.
What job tracking software does
A job tracker is a workspace for managing opportunities from the moment you save a listing through application, interviews, and follow-up. Depending on the product, it may let you organize jobs by stage, record dates and activities, attach notes or documents, and keep contact information alongside each opportunity.

Capture is part of the value: if saving a listing is cumbersome, details may never make it into your system. Teal describes a Chrome extension for bookmarking job listings, and Huntr describes saving jobs manually or with its extension. These are vendor-described features, not an independent comparison of how well either tool works.
A practical minimum workflow
Start with a small set of fields. The aim is to know what the role is, where you stand, and what you should do next—not to build a second job.
#1 Best Overall
- Save the role and its source. Record the job title, employer, listing URL, and where you found it.
- Record the application date and current stage. Use stages that match your process, such as saved, preparing, applied, interviewing, offer, or closed.
- Add one next action and a date. For example, note when you plan to follow up or prepare for a scheduled interview.
- Keep useful context with the opportunity. Add the relevant contact, conversation notes, and the resume or other document version you used when helpful.
- Review and update the system regularly. Move opportunities forward, mark closed roles, and clear or reschedule completed actions.
This is practical guidance, not a prescribed method from the vendors. A tracker cannot keep itself accurate: its usefulness depends on recording applications and updating what happens next.
Dedicated tracker or spreadsheet?
Both approaches can organize an active search. A dedicated tracker may bundle job capture and job-specific records; a spreadsheet gives you control over the columns and workflow. The better fit depends on which tasks you need help maintaining.
Rank #2
| What to compare | Dedicated tracker | Spreadsheet-style workflow |
|---|---|---|
| Saving listings | Some tools provide an extension or built-in job-saving workflow. Teal describes bookmarking through a Chrome extension; Huntr describes manual saving and an extension. | You enter or paste listings yourself unless you build another capture process. |
| Stages and next actions | Job boards, stages, activity records, and follow-up features may be built in; exact features vary by product. | You choose columns and statuses, then maintain dates and reminders yourself. |
| Contacts, notes, and documents | Some tools attach these to individual opportunities. Huntr describes contacts and document storage; Teal describes notes and contacts. | You can add fields or links, but you decide how to store and connect the details. |
| Views and reporting | Features differ: Teal describes a spreadsheet view; Huntr describes a board and metrics, and its help page documents CSV export. | You control the layout and can use the spreadsheet application’s own sorting or reporting features; export options depend on the application. |
| Limits and upkeep | Check the current plan limits, billing terms, and whether the included features match your needs. | There is no job-tracker vendor plan to evaluate, but you are responsible for setup, organization, and upkeep. |
The comparison describes workflow trade-offs, not proof that one method produces better hiring results.

How to choose a system you will keep using
- Choose a spreadsheet if you mainly need a list of roles, stages, dates, and next actions, and prefer to define your own layout.
- Try a dedicated tracker if saving listings, organizing contacts and documents, or maintaining follow-ups manually is becoming difficult.
- Check capture and upkeep together. A convenient way to save a listing matters only if you also record the application and update its stage and next action.
- Review plan terms before committing. Confirm job limits, billing frequency, and which features are included on the vendor’s current page.
- Keep the system lightweight. Add fields or features only when they help you make a decision or remember a useful next step.
Product feature descriptions are not evidence that any tracker increases interviews or offers. Choose based on the organization you need and the workflow you can reliably maintain.
