I’ve Used OneNote for Years. How Did I Miss These 4 Useful Features?

OneNote separates backups from sync, and its recovery tools vary by platform. Here’s where to check backups, sync status, Immersive Reader, and the Windows app version.

OneNote’s backup and recovery tools, sync controls, Immersive Reader, and app-version differences are easy to overlook. These are four useful features and controls to check—not a claim that they are the exact four from another article. The steps below distinguish Windows desktop, Mac, and other platforms where Microsoft’s instructions differ.

1. Find OneNote’s backup and deleted-note recovery tools

Notebook syncing and backups solve different problems: syncing keeps notebook changes aligned across devices, while backups and recycle bins can help recover content. Microsoft documents these separately, and the available controls depend on the platform. Microsoft’s platform comparison lists the following options and retention details; check your current app because menus and availability can change.

App or platform Backup access and schedule Recycle bin availability
OneNote for Windows desktop File > Info > Open Backups; automatic backups are daily by default, with two weeks of backups retained. Available; deleted content is retained for 60 days.
OneNote for Mac File > Open Backups; automatic backups are weekly, with the two most recent copies retained. Available; deleted content is retained for 60 days.
OneNote for iPad Backup access and schedule not stated in Microsoft’s comparison. Available; deleted content is retained for 60 days.
OneNote for the web Backup access and schedule not stated in Microsoft’s comparison. Available; deleted content is retained for 60 days.
OneNote for iPhone Backup access and schedule not stated in Microsoft’s comparison. Not available in Microsoft’s comparison.
OneNote for Android Backup access and schedule not stated in Microsoft’s comparison. Not available in Microsoft’s comparison.

To check for a backup in Windows desktop OneNote, select File > Info > Open Backups. On Mac, use File > Open Backups. If you deleted a page or section, look for the recycle-bin or deleted-notes area in the app you use; its location is platform-specific, so consult the comparison linked above rather than assuming the desktop path applies everywhere.

2. Check sync status or sync a notebook manually

OneNote usually syncs notebooks automatically. If a change is missing, inspect sync status before repeating edits or moving content between devices. In Windows desktop OneNote, Microsoft’s documented controls are:

  1. Select File > Info > View Sync Status.
  2. In the status window, choose Sync All to sync every open notebook, or select Sync Now beside the notebook that needs attention.

Sync instructions differ by app. Microsoft says Mac syncing is automatic and the described Mac controls do not allow users to turn automatic syncing off. Do not apply the Windows menu path to Mac, mobile, or web versions. Microsoft’s sync guidance also explains that a misplaced section can mean OneNote could not locate a section file during sync; if its contents matter, Microsoft advises moving that section to another notebook.

3. Use Immersive Reader for reading and focus

Immersive Reader is a full-screen reading experience, not just a read-aloud button. Depending on the OneNote version, it can offer text-size, spacing, font, and background adjustments, along with options such as Line Focus, Picture Dictionary, Translate, and Reading Coach. Voice settings can adjust read-aloud speed and voice. Availability varies by app and version, so an option may be absent even if another OneNote edition has it.

In versions that provide it, open the notebook page and select View > Immersive Reader. Microsoft’s Immersive Reader guide describes the available reading tools and platform-specific details.

4. Confirm which OneNote app you’re using

On Windows, app identity matters: Microsoft ended support for OneNote for Windows 10 in October 2025. The supported Windows desktop application is now simply called OneNote; it is available as a standalone app or as part of Microsoft 365. Its ribbon can be shown or hidden. Instructions written for the retired Windows 10 app may therefore point to controls that do not match the current desktop app. See Microsoft’s explanation of the OneNote Windows apps before following older directions.
