QuickBooks Free may be enough for a solo business with light bookkeeping needs—if one user, one connected bank account, and the plan’s monthly caps fit the way you work. The US plan is listed at $0 per month, but it limits invoice, receipt, estimate, and mileage activity and excludes several collaboration and reporting features. Those are QuickBooks’ published plan details, not an independent assessment of how well it performs for a particular business.
What QuickBooks Free includes
QuickBooks presents Free as an ongoing $0-per-month plan, not a trial, and says no credit card is required to start. Its US Free plan page lists these inclusions and limits:
As an Amazon Associate I earn from qualifying purchases.
| Feature | What the US Free plan lists |
|---|---|
| Users | One user |
| Accountant access | Not included |
| Connected bank accounts | One |
| Bookkeeping | Income and expense tracking |
| Reports | Monthly profit-and-loss reporting, plus access to profit and loss, balance sheet, and account quick report |
| Invoices | Up to two per month; QuickBooks says unlimited invoices may be available if you qualify for and enable QuickBooks Payments |
| Receipt capture | Up to two captured receipts per month |
| Estimates | One per month |
| Mileage | Five trips per month |
| Other listed capabilities | Payment acceptance, business and personal expense tracking, and manual sales-tax amounts on invoices |
These details come from QuickBooks’ US Free plan page. Its description does not establish that every payment method or feature is available on identical terms to every customer or in every jurisdiction. Treat the QuickBooks Payments invoice exception as conditional, not as a standard unlimited-invoice allowance.
Where the monthly limits can become a problem
The caps matter most when they conflict with ordinary monthly work. A business that regularly sends more than two invoices, captures more than two receipts, prepares multiple estimates, or logs more than five mileage trips may find Free restrictive. Whether a particular business can manage around those limits depends on its actual workflow.
#1 Best Overall
- Invoices: Count the invoices you expect to send in a typical month. Do not assume the QuickBooks Payments exception applies unless you qualify for and enable it.
- Receipts, estimates, and mileage: Compare recent monthly activity with the plan’s stated allowances rather than relying on an unusually quiet month.
- People and accounts: The plan lists one user and one connected bank account. QuickBooks excludes multi-user access and unlimited bank accounts.
- Bookkeeping support: Accountant access is not included, so a bookkeeper or accountant cannot collaborate through that access in Free.
- Staff and reporting: QuickBooks lists employee payments and custom reports among the exclusions.
These restrictions are more decisive than the $0 headline: a free plan that interrupts routine invoicing or prevents necessary collaboration may cost time even if it has no monthly subscription charge.
Free plan or 30-day free trial?
QuickBooks distinguishes its ongoing Free plan from a 30-day trial of a paid plan. Free has its own limits and is described as remaining at $0 per month; the trial provides access to a paid plan’s features for 30 days, after which a subscription is required to continue using the paid plan. Check the offer’s current terms before starting a trial. QuickBooks’ own explanation of the Free plan also positions it for solopreneurs or businesses of one with light activity. That is the vendor’s intended audience, not independent evidence that the plan will suit every solo business.

How to decide whether Free fits your business
- Check a typical month. Can you stay within two invoices, two captured receipts, one estimate, and five mileage trips—or have you confirmed that you qualify for the QuickBooks Payments invoice exception?
- Check who needs access. Is one user enough, with no accountant or bookkeeper needing access inside the account?
- Check your accounts and reporting needs. Is one connected bank account sufficient, and do the listed reports meet your needs?
- Identify any must-have exclusions. Do you need employee payments, custom reports, multi-user access, or another capability that Free does not include?
- Compare paid plans against a specific need. If you consider upgrading, identify the feature that would solve a real workflow problem and check the current checkout price and terms.
If you can answer yes to the first three questions and do not need the excluded features, Free may be a reasonable starting point based on QuickBooks’ published limits. If a cap or exclusion clashes with routine work, compare plans for the particular feature you need instead of assuming that a paid plan is automatically better.
When a paid plan may be worth comparing
QuickBooks’ product comparison lists paid options including Simple Start, Essentials, Plus, and Advanced. Its Simple Start product page describes bank transaction imports, categorization, invoices and payment options, receipt capture, mobile and browser access, and accountant collaboration. These descriptions can help identify what to compare when Free’s limits get in the way; they do not by themselves show which plan is appropriate for your business.
