Yes, keeping files in your computer’s desktop folder is usually convenient, but it is not a backup and it is not automatically private. The files remain on that device: theft, damage, hardware failure, malware, or another person using the computer can put them at risk. Keep a separate copy of important files, and use encryption when the files or device need added protection.
What “on my desktop” means for file safety
The desktop folder is local storage on your computer, much like Documents or Downloads. It can be a practical place for files you use often, but a file’s location on the desktop does not create a second copy or protect it from someone who can access the device. CISA warns that data stored locally can be exposed to cyber threats or permanently lost if a device is lost, stolen, or stops working. CISA’s device data guidance recommends protecting stored data and keeping backups.

How to protect important desktop files
- Make a separate backup. Copy important files to an external drive or a properly vetted cloud service. A backup should give you a way to restore files if the computer is lost, damaged, or no longer works.
- Disconnect an external backup drive between backups. Keep it somewhere safe, and connect it only while backing up or restoring. CISA cautions: “Avoid leaving the external drive connected when not actively backing up your data as the connection could be used by ransomware to gain access to the drive and delete or corrupt your backups.” Read CISA’s guidance.
- Choose encryption based on what you need to protect. Encryption can make stored files harder for an unauthorized person to read, but it is not a backup. Before enabling it, make a backup and securely retain the recovery key and password; losing them can prevent you from opening your own files. CISA discusses safeguarding data and encryption in Safeguarding Your Data.
What changes on a shared computer or Windows PC?
Shared computers
Use separate user accounts so other people are less likely to see or accidentally change files in your account. Separate accounts are not complete isolation: they do not protect against every system vulnerability, particularly one that gives someone administrative access. For work files, follow your employer’s storage and security rules rather than placing them in personal storage.
Windows encryption and cloud recovery
Microsoft’s instructions for encrypting a file or folder describe a Windows feature that is not available in Windows Home edition; this limitation applies to that cited Windows feature, not to encryption on every operating system. Check the available protection options for your edition before relying on a particular setting. Microsoft’s file and folder encryption instructions explain the feature and its availability.

For Windows, Microsoft recommends keeping Windows updated and Windows Security enabled. Its ransomware guidance describes OneDrive ransomware detection and recovery and file versioning. These can help with recovery, but syncing files to cloud storage alone should not be treated as a guaranteed, independent backup.
