On a work laptop, first try installing Power BI Desktop from Microsoft Store if your organization allows it. Microsoft says this route does not require administrator privileges and updates automatically. If Store access is blocked or the installation is managed by your employer, ask IT to approve or deploy the app; the direct installer requires local administrator rights and is not a way around that restriction.
Choose an installation route
| Route | How it works | Important constraint |
|---|---|---|
| Microsoft Store | Open the Power BI Desktop Store page and select Install. Microsoft also documents opening the download option from the Power BI service. | Microsoft says this installation does not require administrator privileges and receives automatic updates. Your organization must permit the app or deploy it for you. Microsoft installation guidance; Microsoft Store policy guidance. |
| Direct executable | Download the 64-bit installer from the Microsoft Download Center, then run it. | Installation requires local administrator rights, and updates are not automatic. The 32-bit version is no longer supported. Microsoft installation guidance. |
| IT-managed deployment | Ask your IT team to approve or deploy Power BI Desktop using your organization’s endpoint-management process. Microsoft documents Store app deployment through Intune. | The method and timing depend on employer policy. Intune-managed devices can receive Store-sourced apps even when the Store app itself is blocked. Microsoft Store policy guidance; Microsoft deployment planning. |
Install it on a locked-down work laptop
- Check whether Microsoft Store is available and whether your organization permits Power BI Desktop from it.
- If Store access is permitted, open the Power BI Desktop Store page and select Install. Microsoft says this route does not require administrator privileges.
- If Store access is blocked, or you see an installation or policy error, contact IT and request an approved installation or managed deployment. Include the exact error message and say whether you need standard Power BI Desktop or the Report Server version.
- Do not try the direct executable as a workaround for restricted permissions; it requires administrator rights.
- After installation, check the installed version in Power BI Desktop under Help > About. If you collaborate on PBIX files, coordinate the version with the other creators.
Check Windows and hardware requirements
Microsoft’s current installation guidance lists Windows 10 or Windows Server 2016 or later, .NET Framework 4.7.2 or later, Microsoft Edge, and WebView2 if it is not already installed. For Windows on ARM, Microsoft specifies the 2025-09 cumulative update. Check the current requirements before installing because supported OS details can change.

- Memory: Microsoft lists at least 2 GB of available RAM, with 4 GB or more recommended. These are software requirements, not a performance guarantee.
- Display: Microsoft lists a supported resolution of at least 1440×900 or 1600×900 (16:9).
Creators working with large data volumes may need more memory and CPU than the minimum requirements, according to Microsoft’s deployment planning guidance.

Plan for updates, versions, and edition changes
Microsoft updates Power BI Desktop monthly and supports only the latest version. The Store edition updates automatically; a direct executable installation must be updated manually by you or your IT team. Microsoft recommends that creators who collaborate on PBIX files use the same version.

If your organization uses Power BI Report Server, install the distinct Report Server-optimized edition and follow its server release cadence. Ask IT which edition is approved if you are unsure.
Switching from the executable installation to the Store edition does not carry over user settings. You may need to reconnect recent data sources and enter credentials again. Microsoft says the deprecated MSI and Store versions are not supported side by side; uninstall the older installation before moving to Store.

Troubleshoot sign-in problems separately
Successful installation does not guarantee that sign-in will work on a restricted corporate network. Microsoft’s sign-in troubleshooting guidance covers proxy authentication failures and redirect chains involving non-HTTPS endpoints or untrusted certificates. It also says Power BI Desktop is not proxy-aware and that some proxy services, including Azure Application Proxy, will not work properly with it.
If sign-in fails, give the error details to your IT or network administrator. Microsoft documents Power BI domains that an administrator may need to allow for proxy authentication. Do not change proxy or registry settings yourself; those are administrator-controlled network and security settings.
