How to Write a Cold Email with AI: A Practical Workflow, Prompt, and Examples

A practical workflow for using AI to draft cold emails from verified facts, with a reusable prompt, an illustrative example, and US and UK sending-rule checks.

AI can help you organize a cold-email brief and draft a message, but it cannot verify the facts you give it or decide whether a message is lawful to send. Start with verified context, constrain the prompt to those facts, then check every claim and the rules that apply to your audience before sending.

What a cold email needs to do

A first-contact email should make three things clear: why this recipient is relevant, what you are offering, and what single next step you are asking for. The reason should be specific enough to make the contact understandable, but it must come from information you can verify. The next step should be easy to answer, such as whether the recipient is open to a short conversation.

AI is useful here as a drafting and structuring aid, not as a source of evidence. Google Search Central says, “Generative AI can be particularly useful when researching a topic, and to add structure to original content.” That statement concerns website content, not email-writing outcomes; it does not establish that AI-written emails perform better. How to write a cold email with AI

  1. Assemble a fact-checked brief. Record the recipient’s role and organization, the source and date for any personalization detail, your actual offer and evidence for any claims, and the one action you want. Include voice preferences and any company or jurisdictional constraints.
  2. Ask for a bounded first draft. Tell the AI to use only the brief, avoid invented familiarity or assumptions, and flag missing information instead of filling gaps. Request short paragraphs, one main idea, and one modest call to action.
  3. Review the draft line by line. Check names, titles, links, personalization, claims, and implied promises against the original sources. Remove anything unsupported or inaccurate. Rewrite phrases that do not sound like you.
  4. Check sending requirements separately. Copy quality does not establish legal compliance, domain authentication, or inbox placement. Confirm the applicable law and provider rules before sending, and make sure your sending practices support opt-outs and authentication where required.
  5. Measure without assuming an outcome. A prompt is not proof of better reply rates. If you compare campaign versions, keep the audience, offer, and sending conditions as consistent as possible; otherwise, a difference cannot be confidently attributed to the wording.

Build a brief that prevents invented personalization

Provide only details you have verified and that are appropriate to use. For each personalization fact, note where it came from and when you checked it. A public job title, for example, may be useful context; it does not prove the recipient has a particular problem, budget, intention, or interest.

  • Constraints: desired voice, length preference, prohibited claims, and any company or jurisdictional requirements.

Do not ask the model to manufacture shared history, infer a pain point from a job title, or turn a generic observation into a personal claim. If a useful detail is unknown, the email can simply omit it.

A reusable AI prompt for a first draft

This is an editorial example, not a tested or proven prompt. Replace the bracketed instructions with your own information; do not treat the prompt as a substitute for fact-checking.

Help me draft a concise, truthful first-contact email. Use only the facts in the brief below. Do not invent personal details, familiarity, problems, results, or claims. If a useful detail is missing, ask me for it or mark it as unknown. State one relevant reason for contacting this person, explain the offer in plain language, and end with one modest next step. Use a natural, professional voice and short paragraphs. Then list any claims or personalization that I should verify before sending.

Input brief

  • Recipient: Jordan Lee, operations manager at fictional Northstar Studio.
  • Verified context: Northstar Studio’s public website lists Jordan as operations manager. The sender checked the page on October 1, 2026. No other personalization fact is established.
  • Offer and evidence: The sender provides a scheduling-workflow review. The sender can describe the review process but has no substantiated performance results to claim.
  • Desired next step: Ask whether Jordan is open to a brief introductory conversation.

Illustrative AI draft

Subject: A question about scheduling at Northstar

Hi Jordan,

I saw that you manage operations at Northstar Studio. I offer a scheduling-workflow review to help teams examine how their current process is set up.

Would you be open to a brief conversation to see whether a review might be relevant?

Best,
Alex

Human edit and verification notes

Before sending, the sender should confirm Jordan’s name and role on the cited company page, make sure the offer accurately describes the service, and ensure the request reflects the sender’s real intent. The subject line is a neutral description, not a proven formula. The email makes no claim about Northstar’s current workflow or a likely result because the brief supplies no evidence for either.

What to verify before sending

  • Names, roles, organizations, source links, and dates.
  • Every factual claim, including implied claims about the recipient’s needs or likely results.
  • Whether the subject line and sender details are truthful and not misleading.
  • Whether the message is commercial and which jurisdiction’s rules apply.
  • Whether your sending domain and practices meet the relevant email provider’s requirements.
  • Whether an opt-out method is required and, if so, that requests will be honored.

Do not assume that a polished draft will reach the inbox. Google’s sender requirements for mail to personal Gmail accounts are provider rules, not a universal legal standard. They require all senders to meet baseline requirements that include SPF or DKIM authentication. For senders sending more than 5,000 messages per day to Gmail accounts, Google lists additional requirements, including SPF, DKIM, DMARC, and one-click unsubscribe support for marketing and subscribed messages. Google also states a reported spam-rate target below 0.30%; unmet requirements may affect expected delivery or result in spam classification, not guarantee any particular placement. See Google’s Email sender guidelines. Google’s sender FAQ says enforcement on non-compliant traffic is ramping up starting November 2025, with temporary and permanent rejections among possible disruptions. Check the live guidance before relying on these requirements.

Check the rules for your recipient’s location

United States: CAN-SPAM

The FTC says CAN-SPAM covers commercial messages whose primary purpose is advertising or promoting a commercial product or service. It is not limited to bulk email and does not exempt business-to-business messages. The FTC guide lists practical duties including truthful header and routing information, non-deceptive subject lines, ad identification, a valid physical postal address, a clear opt-out method, honoring opt-outs within 10 business days, and monitoring companies that send on the marketer’s behalf. These points are not a complete legal analysis for every message or jurisdiction; consult the FTC’s CAN-SPAM business guide for the rule and its application to your circumstances. The guide, accessed in 2026, states a maximum penalty of $53,088 per violating email; penalty amounts can change, so verify the current figure directly with the FTC before relying on it.

United Kingdom: PECR electronic-mail marketing

UK rules have different conditions, and the US framework should not be applied as a universal rule. The ICO’s guidance on electronic-mail marketing was updated on 28 April 2026 and notes the Data (Use and Access) Act 2025’s charitable-purpose soft opt-in. For the ordinary customer soft opt-in, the ICO describes conditions including that contact details were obtained directly while selling or negotiating a sale, marketing is limited to similar products or services, and an opt-out was offered both when details were collected and in each later message. A third-party marketing list does not meet the direct-collection condition for this soft opt-in. The law’s application depends on the circumstances; do not infer that cold email is always permitted or always prohibited. See the ICO’s detailed electronic-mail marketing guidance and its PECR compliance guidance.
