Examine the physical object only as another line of evidence: handwriting, paper, ink, signatures and seals can raise or answer questions, but no single clue proves authenticity. Preserve the item, and consult a qualified specialist when the conclusion matters legally, financially, academically or culturally.
What does “authentic” mean for a historical document?
Before assessing a document, identify exactly what you have: a manuscript original, a contemporary clerk’s copy, a later transcript, a printed facsimile or a digital image. These objects support different conclusions. A copy may preserve the wording accurately, but it does not by itself establish that the original was genuine or that the copy has a known history.

Keep four questions separate: Is this the object it is claimed to be? Who created it, and when? Is its custody history documented? Are its statements reliable? An authentic record can contain error, bias, hearsay, propaganda or a false claim by its author. A later copy, meanwhile, can accurately preserve text without being an original.

How do you verify a document’s provenance?
Provenance is the documented history of a record’s origin and custody, not simply an owner’s account of where it came from. The National Archives and Records Administration (NARA) describes the archival principle of tracing a document to its origin and maintaining it with records of the same origin. Those relationships can help explain a record’s integrity and meaning; an item detached from its file or series may lose important context. See NARA’s discussion of arrangement and provenance.

Build a custody timeline
Write down what is claimed about the creator, date, purpose, original recipient and each subsequent owner or custodian. Then look for records that support those claims, such as dated inventories, catalog entries, accession documentation, correspondence, family or institutional records, and references in contemporaneous sources.
- Distinguish dates supported by records from dates supplied only in an owner’s story.
- Note gaps, unexplained transfers and claims that cannot be independently checked.
- Record whether you have examined the original, a copy or only a digital image.
A continuous, documented custody history can support an identification; a gap does not automatically prove forgery, but it limits what can be established.

Look for the document in its archival context
Find out whether the item belongs to a known collection, office, creator or record series, and compare it with related records. A document’s position alongside other papers may clarify who made it, how it was used and whether it fits the group. A loose sheet with no known context leaves those relationships harder to test.
How can you test the document’s content and form?
Compare the document with reliable records from the same creator, office, series or period. Check whether its language, titles, offices, place names, dates, institutional practices and described events fit the claimed setting.

The goal is to see whether independent evidence supports the claimed identity, date and purpose—not merely whether the story sounds convincing.
What physical clues can help assess authenticity?
If the original is available, observe its features without altering it. Depending on the item, useful details may include its material (paper or parchment), dimensions, watermarks, ink, writing instrument, layout, folds, holes, attachment points, seals, signatures, endorsements and annotations. Compare them with securely dated examples from the same setting.

NARA identifies handwriting, signatures, paper age and other physical tests as possible evidence when a record’s authenticity or date is in question. Its guidance also recognizes that examination may provide the best available evidence without conclusively resolving a dispute. A mismatch is a reason to investigate, not a verdict: documents may have been reused, repaired or annotated later, and historical materials naturally vary. See NARA’s guidance on intrinsic value in archival material.

A seal can help authenticate a document or provide evidence about its date, but its value depends on its connection to the document and other evidence. Consider its design and legend, condition, physical attachment and relationship to related records. The National Archives (UK) explains the evidential role of seals in its guide to looking for records by seals.

Do not perform destructive tests
Visual examination and advanced chemical analysis of inks and paper are among the methods investigators use to examine questioned documents, including questions of authenticity, authorship and creation date. Such work belongs with appropriately qualified specialists. The National Institute of Justice warns: “During the analysis of these documents, investigators must be careful not to destroy the evidence.” Do not scrape, wet, chemically test, flatten or detach a seal from a historical item. Read the National Institute of Justice overview of questioned documents.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone. How should you compare two candidate documents?
Do not collapse separate kinds of evidence into a single unsupported authenticity score. Compare the candidates across the same questions, noting what is documented, what is inferred and what remains unknown.
| Evidence to compare | Questions to ask |
|---|---|
| Provenance and custody | Which candidate has dated, independently checkable records of origin and transfer? Where are the gaps? |
| Archival context | Can either item be connected to a creator, office, collection or related record series? |
| Text, date and form | Do names, language, chronology, layout and stated events fit the claimed creator and period? |
| Physical features | Are material, ink, handwriting, signatures, seals and later marks compatible with securely dated examples? |
| Independent corroboration | Do separate contemporary records support or contradict the claim? |
| Type of evidence | Are you assessing an original, a copy, an image or a claim reported by someone else? |
How do you state a responsible conclusion?
Match the strength of your wording to the evidence you have. You might say “consistent with the documented custody history,” “appears to be a contemporary copy,” or “the available evidence does not resolve the question.” State what you examined and identify important missing evidence. A checklist can organize an assessment, but it cannot serve as a universal authentication test.

Why physical changes need historical context
NARA’s account of the Declaration of Independence illustrates why an apparent physical anomaly should not be treated as automatic evidence of forgery. The document’s appearance reflects a history that includes repeated rolling and folding, handling, wet-transfer copying and prolonged exhibition. NARA also discusses custody movements and comparisons between historical photographs and the document’s later condition. Physical evidence is most useful when interpreted alongside the object’s documented history. See NARA’s account of the Declaration of Independence and the passage of time.
