How to Verify an Artwork’s Authenticity and Provenance Before You Buy

Do not pay for an artwork until you can identify the exact object, trace a documented ownership history, check stolen-art and export risks, obtain an independent condition and attribution opinion, and match every document to the work being sold. Provenance (where the object has been) and authenticity (whether the attribution and date are credible) are related, but neither is proved by a single certificate, photograph, laboratory test or confident seller.

Authenticity and provenance answer different questions

Authenticity asks whether the object is what it is claimed to be: the stated maker, title, date, medium, edition or school. Provenance is the documented chain of ownership and custody. A convincing-looking painting can have a weak or fabricated history; an old, well-documented object can still be misattributed. Treat both as cumulative judgments.

As an Amazon Associate I earn from qualifying purchases.

ICOM identifies three complementary evidence streams for authentication and attribution: art-historical documentation, stylistic knowledge, and technical or scientific analysis. Its purchaser guidance calls provenance research a vital first step because missing history increases the risk of acquiring a fake. No official guidance supplies a universal percentage chance that a particular test will authenticate a work. The sensible goal is a consistent, disclosed body of evidence, not a magic pass/fail result.

Step 1: Freeze the identity of the exact object

Before asking whether a work is genuine, create a record that makes it impossible to confuse it with another work, a similar edition or a replacement canvas. Use the Object ID approach and record every identifying feature.

  • Read Before You Buy — No Video Output: These adapters support charging and USB 2.0 data transfer, but cannot transmit video signals. Except for standard USB webcams (which use USB data only), they are not compatible with HDMI/DisplayPort cables, video-capable USB-C hubs, or docking stations with video output.
  • Convert USB-A Ports to USB-C: Designed to connect USB-C earphones, cables, flash drives, card readers, and other USB-C accessories to standard USB-A ports. Plug-and-play with no drivers or software required.
  • Aluminum Alloy Housing: Built with a sturdy aluminum alloy shell that aids in heat dissipation and protects against daily wear and scratches. Designed to maintain a stable and secure connection.
  • Compact & Travel-Friendly: The ultra-compact design allows the adapter to stay plugged into your device without blocking adjacent ports or adding bulk, reducing wear and tear on your original USB ports.
  • 12-Month Warranty: Backed by a 12-month manufacturer warranty for peace of mind. Designed to meet strict quality control standards for reliable everyday performance.
  • Maker or attribution: write the name exactly as offered, including terms such as “attributed to,” “studio of,” “circle of,” “after,” or “in the manner of.” Those qualifications change what you are buying.
  • Title and title variants: record the seller’s title, titles used in earlier catalogues, translations and any untitled designation.
  • Measurements: capture height, width and depth, and state whether measurements include the frame. For works on paper or sculpture, record sheet, mount, pedestal and base measurements separately when relevant.
  • Medium and technique: note materials such as oil on canvas, tempera on panel, bronze, photographic print or mixed media. Include support, ground, joins, casting marks and edition information where applicable.
  • Inscriptions and marks: transcribe signatures, dates, dedications, labels, stamps, inventory numbers, foundry marks and handwritten notes. Record their location, orientation and whether they appear on the front, reverse, stretcher, frame or mount.
  • Distinguishing features: describe damage, repairs, craquelure, knots in wood, canvas weave, paper watermarks, missing elements, maker’s marks and unusual construction details.
  • Images: take high-resolution, evenly lit photographs of the front, back, sides, frame, labels, inscriptions, signature, areas of damage and any detail that appears in a catalogue or condition report. Keep the original files with capture dates and do not rely only on compressed marketplace images.
  • Context fields: add subject, date or period, object type and any edition or state number. Preserve the seller’s description as a separate quotation rather than silently “correcting” it.

Ask the seller to confirm this identity in writing. If dimensions, medium, title, signature placement or labels change between an advertisement, invoice and expert opinion, pause the purchase until the discrepancy is explained.

Step 2: Build a dated provenance timeline

Request a provenance packet rather than a paragraph of claims. For each ownership or custody event, record the date (or stated date range), person or institution, place, how the object changed hands, the document that supports the event, and whether that document is contemporary or retrospective.

Timeline field What to record Stronger supporting evidence
Date or period Exact date where known; otherwise a bounded range and the reason for it Contemporary invoice, dated correspondence, inventory, exhibition catalogue or shipping record
Party and location Owner, dealer, institution, estate, storage facility and city or country Named parties in an original document, archive entry or institutional record
Object identity Title, maker, dimensions, medium, image, inventory number and distinctive marks Document containing enough detail to distinguish this object from another
Transfer or custody event Sale, gift, inheritance, consignment, exhibition, loan, export, import or storage Receipt, deed of gift, loan form, customs or shipping record, catalogue entry or dated photograph
Evidence status Original, scan, archive citation, later recollection or seller assertion Independent record created at the time of the event

Contemporary invoices, receipts, exhibition and auction catalogues, correspondence, inventories, shipping or customs records, photographs and catalogue-raisonné references are useful because they can show that the object existed in a particular place at a particular time. A later family story or dealer summary can still be a lead, but it is not independent proof. Mark every gap explicitly instead of filling it with an assumption.

Test whether a source is independent

For each document, ask who created it, when, for what purpose, and whether the author actually saw the object. A catalogue entry may reproduce an earlier owner’s claim; a modern certificate may repeat a dealer’s description; a photograph may show a similar work without dimensions or a visible inventory mark. These are different levels of evidence. Keep a copy of the original page, not only a transcription.

Handle incomplete or confidential histories

Some owners, private collections and estate files are confidential, and older records may have been lost. Incomplete provenance is not automatic proof of forgery, but it raises the level of diligence required. Ask the seller to identify exactly which periods are undocumented, why records are unavailable, and what substitute evidence exists. Escalate a material gap to an independent specialist before paying.

Step 3: Check theft, looting and title risk

Search INTERPOL’s Stolen Works of Art Database using the maker, title, dimensions, images, inventory numbers and distinctive marks. INTERPOL reports almost 57,000 items in the database on its 2026 page; the count changes, so record the date of your search and the exact terms used. A clear result is not a guarantee that an object is clean, because databases cannot contain every theft or every spelling variant.

The INTERPOL ID-Art app supports manual and image searches and saves dated searches. Preserve the saved result or a dated screen capture in your purchase file. Where possible, search a second relevant national, regional or specialist register, using the same identity data and alternate spellings.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Ask about legal and ethical title

Request export and import documentation for every cross-border movement that matters to the ownership chain. Ask directly whether the work may have been looted, illegally excavated, illegally exported, or connected to a restitution or cultural-property claim. Require a written answer naming any known claim, restriction or unresolved issue.

ICOM due-diligence guidance says to reject an item when reasonable suspicion remains after due diligence. A seller’s promise that “the work is not in a database” does not resolve an undocumented export, a suspiciously recent appearance, an implausible ownership story or a missing estate record. Stop the transaction and obtain specialist legal advice when title cannot be established.

Step 4: Obtain a current condition report

A condition report protects you from paying an authentic work’s full price without understanding conservation liabilities. The Canadian Conservation Institute says a pre-acquisition report helps a buyer assess care requirements, current condition, ongoing problems and hazards. It can also document materials, technique, display history and labels or tags on the reverse.

  • What You Get: Anker USB-C Hub (7-in-1), welcome guide, 18-month warranty, and our friendly customer service.

What the report should cover

  • Overall condition of the support, surface, structure, frame, mount, base and attachments.
  • Active problems such as flaking, tears, corrosion, mould, pest damage, unstable joins, fading, water damage or harmful previous repairs.
  • Previous treatment, retouching, lining, relining, overpainting, replacement parts, varnish changes and the conservator or date when known.
  • Materials and construction that affect handling, lighting, humidity, transport and display.
  • Photographs and a diagram or clear location description for significant defects.
  • Display history, storage conditions, hazards and recommended future monitoring or treatment.
  • Verso labels, tags, stamps, inscriptions and inventory numbers that can also support identity and provenance.

Ask for a report prepared for the current transaction or an update that confirms the work has not changed since the previous examination. A report describes condition; it does not authenticate the object unless the author separately states an attribution opinion and explains its basis.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Step 5: Use independent expertise

Choose a specialist whose expertise matches the artist, period, medium and region. Ask for credentials, relevant publications or institutional experience, and disclose any financial or personal connection to the seller, auction, buyer or transaction. The person who benefits from the sale should not be your only authority.

Request a written opinion that identifies the exact work with an image and states the maker or attribution, title, date, dimensions, medium and edition or state where applicable. The opinion should explain the evidence considered, distinguish fact from interpretation, list qualifications and say what additional examination would change the conclusion. Keep the signed opinion and the image supplied to the expert.

Commission more than one view when the stakes are high

For a valuable or disputed work, obtain an independent second opinion or ask a recognised institutional or catalogue-raisonné authority whether the object is recorded. Different specialists may reasonably disagree about attribution; that disagreement is itself material information for a buyer. Do not conceal an earlier negative or qualified opinion when commissioning another review.

Step 6: Use technical examination proportionately

Technical methods can reveal inconsistencies that are invisible in normal light. Ultraviolet fluorescence may show differences in varnish, retouching or optical brighteners. Infrared can reveal underdrawing or changes; microscopy can examine fibres, pigments, tool marks and surface structure; X-radiography can expose construction, repairs or hidden compositions; material analysis can identify pigments, binders or alloys that do not fit a claimed period.

These methods are evidence, not a substitute for provenance and expert judgment. A modern material may reflect a later restoration, a legitimate replacement part or an unusual but documented practice. Conversely, a test that finds no obvious anomaly does not prove authenticity. Ask the laboratory or conservator to state the method, sample locations, limitations, interpretation and whether sampling is invasive.

A handheld UV flashlight is a preliminary observation aid, not an authentication device. It can help you notice retouching or coating differences, but lighting, surface, varnish age and camera settings can mislead an untrained observer. Never alter, clean, scrape or sample a work yourself.

What a certificate of authenticity can—and cannot—prove

A certificate is one document in an evidence package. Check that it refers to the exact object and is issued by a recognised authority or suitably qualified expert. It should include a precise description, image, maker or attribution, title, date or period, dimensions, medium, edition information where relevant, signature or identifying number, date of issue and the issuer’s contact and qualification details.

Read the language closely. “Authentic,” “genuine,” “attributed to,” “studio of,” “after,” and “in the manner of” do not carry the same meaning. The certificate should identify the evidence and limitations rather than use unqualified language unsupported by examination. Confirm that the image and measurements match the object in front of you and that the issuer is willing to answer questions independently of the seller.

The Australian Office for the Arts gives a simple warning: “A photo of the artist holding the art is not a Certificate of Authenticity.” Such a photograph can help establish that the artist handled an object, but it does not by itself prove authorship, date, title, chain of custody or legal title.

Compare the seller and sale channel before committing

Whether you are dealing with a dealer, auction house or private seller, compare the same due-diligence dimensions. A lower price does not compensate for missing title or an unmanageable conservation risk.

Decision factor Questions to ask Evidence to retain
Independence and conflicts Who selected the expert, who pays them, and does anyone advising you profit from the sale? Expert credentials, written conflict disclosure and correspondence
Primary-source provenance Which ownership events are supported by contemporary documents, and where are the gaps? Invoices, catalogues, inventories, letters, photographs, shipping and customs records
Condition disclosure Is there a current report, treatment history and clear description of hazards? Signed report, photographs, treatment records and recommendations
Authentication and technical support Who examined the work, what methods were used, and what qualifications or limits apply? Written opinion, laboratory or conservation report and image used for examination
Title, theft and export checks Were INTERPOL and other relevant registers searched, and are export or restitution issues documented? Dated search records, permits, customs papers and written seller responses
Contract and remedies What are the return period, authenticity guarantee, title warranty, exclusions and dispute process? Executed invoice, terms of sale, guarantee, disclosures and all amendments
Buyer’s document set Will you receive originals or legible copies of every material record after payment? Complete digital and paper file linked to the object’s identity

Ask for the return and guarantee terms before bidding or signing. Auction conditions can impose short deadlines and specific procedures; private agreements may omit protections unless you negotiate them. Have a lawyer review unusual title warranties, cross-border restrictions or high-value transactions.

Match the paperwork to the object and invoice

The final documents should describe the same object you inspected. The invoice or receipt should state the artist or attribution exactly as agreed, title and title variants, dimensions, medium, image or identifying marks, price, seller identity and every qualification in the expert opinion. Include frame, mount, base, edition or state details when they affect identity or value.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  1. Compare the invoice against your Object ID record line by line.
  2. Check that the image, signature location, labels, inventory numbers and measurements match.
  3. Ensure any “attributed to,” “possibly,” restoration or condition language appears in the contract, not only in an advertisement.
  4. Obtain copies of provenance documents, reports, permits, certificates and correspondence before funds are released.
  5. Record the payment date, delivery route, packing condition and the person who handed over the object.
  6. After purchase, photograph the work and its packaging, preserve all original files and update the custody timeline.

Red flags that justify stopping the purchase

  • The seller refuses to provide dimensions, reverse photographs, labels or an image suitable for independent review.
  • The provenance begins with a recent dealer and contains no earlier records despite a claimed old collection.
  • Dates, ownership names, titles or measurements conflict across catalogues, certificates and invoices.
  • The seller pressures you to pay before an expert can inspect the object or says outside review will invalidate a deal.
  • A certificate is unsigned, undated, generic, unrelated to the exact object or issued by an interested party without qualifications.
  • The work appears newly surfaced, has suspiciously fresh labels or inventory numbers, or has unexplained alterations to the signature or dimensions.
  • Export paperwork is missing, the object may have been excavated or looted, or a restitution concern is dismissed without documentation.
  • A condition report omits the reverse, frame, repairs, structural hazards or previous treatment.
  • The seller claims that one UV photograph, a laboratory result or a photograph with the artist settles every authenticity question.

Any one red flag may have an innocent explanation; several together should change the decision from “buy after checking” to “do not proceed until independently resolved.”

A practical pre-payment checklist

Use this sequence for a painting, sculpture, work on paper, photograph or edition. Save each item in a folder named with the object’s inventory number and the purchase date.

  1. Identify: complete the Object ID fields and photograph front, back, sides, details, frame and labels.
  2. Document: obtain the provenance packet and build a dated event-by-event timeline, marking every gap.
  3. Search: run INTERPOL’s Stolen Works of Art Database and, where possible, a second relevant register; save dated results and search terms.
  4. Ask: obtain written answers about looting, illegal excavation, export, import and restitution claims.
  5. Inspect: commission a current condition report that covers materials, technique, hazards, treatment and the verso.
  6. Consult: obtain an independent written attribution opinion from a specialist with no undisclosed conflict.
  7. Test: use UV, infrared, microscopy, X-radiography or material analysis only when proportionate, and retain the method and limitations.
  8. Contract: make sure the invoice, guarantee and return terms identify the exact object and include all qualifications.
  9. Preserve: keep every document, image, search result and message after delivery.

If a material question remains unanswered at the end of this sequence, defer payment. The cost of an additional specialist review is usually easier to absorb than the loss of an object with doubtful authenticity, defective title or serious conservation liabilities.

What “verified” should mean for a buyer

A defensible purchase file connects one exact object to a coherent ownership timeline, independent art-historical and stylistic assessment, proportionate technical examination, a current condition report, stolen-art and export checks, and a contract that states the seller’s representations and remedies. It also records uncertainty instead of hiding it. That standard does not promise certainty—authentication rarely can—but it gives you evidence strong enough to make an informed decision and a clear record if a dispute arises.
