OneNote for Mac organizes notes into notebooks, sections, and pages, and syncs notebooks through OneDrive. Sign in with a Microsoft account or a work or school account to open notebooks; creating a new one requires a OneDrive account. Start with a notebook for a broad area, group related notes into sections, and use pages for individual notes. The guide below explains how to set up that structure and what to expect from search, offline work, export, printing, and recovery.
What OneNote on Mac is—and how its notebooks are organized
OneNote is a digital notebook for notes, research, plans, and other collected information. Its structure has three levels:
As an Amazon Associate I earn from qualifying purchases.
- Notebook: A broad area, such as personal planning or a project.
- Section: A category within a notebook, such as meeting notes or reading.
- Page: An individual note within a section.
You can add sections and pages as your material grows. Pages use a flexible canvas: click to type, and you can place another note in a different area of the same page. See Microsoft’s guide to creating pages, sections, and notebooks on Mac.
Set up OneNote and create a notebook
- Open OneNote for Mac and sign in with a Microsoft account or a work or school organizational account. Microsoft says sign-in is required to create or open notebooks.
- To create a notebook, use a OneDrive account. The Mac workflow described by Microsoft creates notebooks in an online account; it does not describe a local-only notebook option.
- Choose the account and storage location that match how you expect to use the notebook. Personal OneDrive and work or school storage have different export options, explained below.
Microsoft’s current documentation covers OneNote for Microsoft 365 for Mac, OneNote 2024 for Mac, and OneNote 2021 for Mac. The Mac FAQ says the app is updated frequently, so interface labels may vary by version. For account and notebook guidance, see Microsoft’s OneNote for Mac FAQ.

Choose a notebook structure you can maintain
OneNote does not require a particular organizational system. A useful starting point is one notebook for a broad context, a few sections for recurring categories, and separate pages for individual notes. Add structure only when it helps you find or separate information.
Use one notebook when the material belongs together
A single notebook can keep related notes in one place. Use sections for categories and pages for meetings, research, plans, or other individual items. Sections and pages can be added as needed.

Use separate notebooks when contexts need separation
Separate notebooks can help distinguish personal, work, and school material, or projects with different collaborators or account ownership. This is an organizational choice, not a product requirement. Consider who should have access and where the notebook is stored before creating it.

Arrange pages as notes grow
You can reorder pages by dragging them. Microsoft’s current creation guide says page templates are not supported in OneNote for Mac, so plan on creating and arranging pages directly rather than relying on Mac templates.

Search notes, extract text from pictures, and protect sections
Search text in notes and pictures
OneNote for Mac can use optical character recognition (OCR) to extract searchable text from inserted pictures. Recognition is not always immediate: Microsoft says some results may take 24–48 hours, depending on image complexity, legibility, and the amount of text. That timeframe is from Microsoft’s current, undated Mac FAQ and is not a guarantee for every image.
Protect a section, not an individual page or entire notebook
On Mac, password protection applies to sections. You cannot directly password-protect one page, nor apply one password to an entire notebook at once. Locked protected sections are excluded from search; unlock the section before searching its contents. Microsoft says it cannot recover a forgotten section password, so do not treat section protection as a substitute for protecting the account that stores the notebook.

Understand syncing, collaboration, and offline work
OneNote for Mac continually syncs notes with OneDrive. While disconnected, you can edit the locally cached copy. OneNote warns that it cannot sync while offline, then synchronizes changes after the connection returns. Changes made by other authors become visible after sync.
If collaborators need your latest edits, wait until the connection is restored and the changes have synced before assuming they can see them. Microsoft’s Mac FAQ describes offline behavior and sync.

Print, export, and recover notebooks
Print pages from a section
OneNote for Mac can print one or more pages within a section, but it does not offer a single operation to print an entire notebook. See Microsoft’s Mac printing instructions for the supported page and section workflow.
Export from the web only for personal OneDrive notebooks
Microsoft’s notebook export route through OneNote for the web is limited to notebooks stored in personal OneDrive accounts. It does not support notebooks in work or school OneDrive or SharePoint. Notebook import is deprecated. If an export fails, Microsoft also warns that large notebooks with embedded files or media may require several gigabytes of free disk space. Check Microsoft’s export and import guidance for eligibility and troubleshooting.
Know what Microsoft documents about recovery
Microsoft’s current platform recovery table lists automatic and manual backups for Mac, a default backup frequency of weekly, and retention of the two most recent backup copies. It also lists 60-day retention for deleted notes. These are documented platform behaviors, not a promise that every lost item can be restored; confirm current settings and options in OneNote before relying on them. See Microsoft’s OneNote data protection and recovery page.

Troubleshoot common OneNote for Mac problems
- You cannot open or create a notebook: Check that you are signed in to the account that owns or has access to it. Creating a new notebook requires a OneDrive account.
- Recent edits are missing for collaborators: Check the internet connection and sync status. Offline edits remain in the local cache until OneNote can sync.
- Search does not find a note: Unlock any protected section that may contain it. If you are searching text in an inserted picture, OCR may still be processing.
- You cannot export a notebook: Confirm that it is stored in personal OneDrive; the web export route does not cover work or school OneDrive or SharePoint notebooks. For a large export, check available disk space.
- You cannot print the whole notebook at once: Print the relevant pages within a section; Mac printing does not provide a one-step whole-notebook print operation.
