AI can widen a literature search, expose terminology you did not know, and reduce repetitive screening work. It cannot prove that your review is complete. The safest approach is a documented, multi-database search designed by a human, with AI used for discovery, query expansion, prioritization, and clerical tasks. Every important record, eligibility decision, quotation, and extracted result still needs verification against the original source.
This workflow shows how to combine database searches, AI assistance, citation chaining, deduplication, screening, extraction, and a final gap check without turning an opaque chatbot answer into evidence.

What AI can—and cannot—do in a literature review
A literature review is complete only relative to a stated question, eligibility criteria, sources, time period, languages, and search methods. “Find me everything” is not a reproducible standard. Different indexes cover different journals, disciplines, conference proceedings, preprints, theses, reports, and regional publications; their ranking and indexing rules also change.

- brainstorming synonyms, spelling variants, acronyms, related concepts, and controlled-vocabulary terms;
- translating a concept into the syntax required by a particular database;
- finding related papers or citation connections from verified seed records;
- prioritizing a large title-and-abstract queue for human screening;
- structuring extraction forms and flagging missing fields; and
- checking a protocol for contradictions, such as incompatible dates or outcomes.
It is unsafe to treat a chatbot’s list as a search result. General-purpose systems can invent papers, authors, dates, quotations, journal names, and findings. Citation-statement services can provide useful context but may contain bias and are not completeness oracles. A 2025 evaluation concluded that tools of this type require further assessment for possible bias.
A 2025 Cochrane-, Campbell-, JBI-, and CEE-led position statement advises users to be critical of an AI system’s evaluations, limitations, and suitability for the specific synthesis. That principle applies whether the task is a systematic review, scoping review, rapid review, or a carefully documented narrative review.
Write the protocol before opening an AI tool
Start with a short protocol that another researcher could follow without asking what you meant. Put it in a dated document or repository and record every amendment.
Do these 3 things before closing this tab:
1Clear out junk files and repair common Windows errors2Scan for outdated or missing drivers - takes under a minute3Repair Windows errors before they cause bigger problemsDefine the question and eligibility rules
- State the population, phenomenon or intervention, comparator, outcomes, and study designs when those concepts apply.
- Define what counts as a study, report, preprint, dissertation, policy document, or other gray literature.
- Specify publication-date boundaries, language limits, geography, and minimum data requirements.
- Write inclusion and exclusion rules as observable tests. For example, “adult participants” is testable; “relevant studies” is not.
- Decide how duplicate publications, protocol papers, conference abstracts, translations, corrections, and updates will be handled.
Choose sources and responsibilities
List the indexes, publisher platforms, specialist repositories, trial registers, theses catalogs, and organizational websites that match the subject. Search more than one relevant index because retrieval quality differs in precision, recall, reproducibility, and user effort. The Artificial Intelligence Think Tank’s 2026 guideline makes this multi-source principle explicit.
Record who will run searches, who will screen, how disagreements will be resolved, and which decisions require a second reviewer. If the review has high-stakes clinical, legal, safety, or policy consequences, plan a librarian or subject-expert review of the strategy.
Build database searches, then use AI to improve them
Start with concepts, not a chatbot prompt
Break the question into concept blocks. For each block, list natural-language terms, spelling variants, abbreviations, historical names, taxonomic terms, and controlled vocabulary used by the target database. Keep an “included,” “excluded,” and “uncertain” column so that every proposed synonym has a reason for its treatment.
Ask AI for expansion, not authority
Give the system your question, the concept blocks, the population and date limits, and the database syntax rules. Ask it to propose synonyms, indexing terms, misspellings, and phrases that might retrieve unexpected terminology. Require a table with a rationale and an uncertainty flag rather than a polished search string.

Check every suggestion against a thesaurus, a known paper, or the database’s own index. Delete terms that are too broad, ambiguous, or historically inaccurate. An AI-generated term is a hypothesis until you test it.
Translate and test each final strategy
Do not paste one universal query into every service. Map field tags, proximity operators, truncation symbols, subject headings, date filters, and document-type filters to each database. Save the exact final query, interface or platform, filters, search date, and result count. Keep the unedited AI suggestions separately from the human-approved version so the decision trail is clear.
Use known-item tests
Before relying on a strategy, seed it with several papers you already know should be retrieved. If a known paper is absent, inspect its title, abstract, keywords, indexing terms, and cited concepts, then revise the strategy. Test sensitivity and precision after each major change instead of judging a query by how sophisticated it looks.
Export, deduplicate, and preserve an audit trail
Export records from every source in a format that preserves DOI, database identifier, title, authors, journal, year, abstract, subject headings, URL or accession number, and the date retrieved. Keep the original exports read-only. A reference manager or screening system can then hold a working copy.
Deduplicate deterministically
- Match exact DOI or database identifier first.
- Normalize DOI case, punctuation, and resolver prefixes without deleting the original value.
- Match normalized title, first author, year, journal, and volume or article number when an identifier is missing.
- Send possible matches to a human review queue rather than silently deleting them.
- Retain a record of which copy was kept and which records were merged.
AI can suggest likely duplicates or normalize inconsistent metadata, but the merge rule must be deterministic and reviewable. Preserve the pre-deduplication count, the number removed, and the post-deduplication count for the flow diagram and audit file.
Screen titles and abstracts with explicit human checks
Apply the eligibility rules to titles and abstracts before reading full texts. Create fixed decision labels such as include, exclude, and unclear, plus a required exclusion reason for records rejected at this stage.
Use AI for triage, not final eligibility
An AI classifier can rank records likely to meet your criteria, cluster similar records, or highlight terms associated with inclusion. Use it to change the order in which a human reads records, not to erase the tail of the queue. A low-ranked paper can still be the only study from a population, country, or method you need.

Set a stopping rule in advance if you use active-learning or prioritization software. For example, continue screening until a prespecified run of consecutively reviewed records produces no new inclusions, then have a second reviewer inspect a random sample of the remaining records. Report the rule, training data, model or tool version, and all overrides.
Verify uncertain and included records
Read the abstract and bibliographic record yourself for every included or uncertain item. Retrieve the full text before confirming eligibility. If two reviewers disagree, apply the written rule, record the reason, and amend the protocol only when the change is justified and dated.
Read full texts and extract data from primary sources
Create a structured extraction form before reading all included studies. Typical fields include design, setting, sample, intervention or exposure, comparator, outcomes, follow-up, analysis method, effect estimates, uncertainty, funding, conflicts, and limitations. Add fields specific to your question rather than copying a generic template.
Use AI to structure, never to substitute for the paper
You may ask an AI system to locate candidate passages, convert a table into a draft form, or flag an apparently missing value. Verify every value against the article’s full text, tables, figures, supplementary files, appendices, corrections, and cited sources. Check units, denominators, time points, subgroup definitions, and whether an estimate is adjusted or unadjusted.
Never cite an AI summary as evidence. Store the page, table, figure, section, or paragraph supporting each extracted field. If the full text is unavailable, mark the field as unavailable and describe the retrieval attempt; do not infer a result from an abstract, press release, or generated summary.
Quick wins for a faster PC:

Check the tool’s retention, training, access, and regional-processing terms before uploading unpublished manuscripts, participant-level data, reviewer comments, or licensed full text. Use redacted excerpts or an approved institutional system when the material is confidential. Privacy is part of tool selection, not an afterthought.
Expand the set with citation chaining
Keyword searching can miss papers that use unexpected terminology. Citation searching adds a different route to discovery, but it is supplementary to primary text-and-keyword searching.

Backward chaining
For each verified seed paper, inspect its reference list for earlier studies, methods papers, datasets, protocols, and terminology. Record the seed, the direction (backward), the resource used, the date, and the decision for each candidate.
Forward chaining
Use a citation index to find later papers that cite the seed. Examine whether each citing paper contains new data, a replication, a correction, a translation, or only a passing mention. Citation counts are leads, not eligibility evidence.

Related-paper and author-network exploration
Semantic Scholar can help with broad discovery, related-paper exploration, and citation-graph navigation. Its 2023 Open Data Platform paper reported more than 200 million papers, 80 million authors, 550 million paper-authorship edges, and 2.4 billion citation edges at publication time. Those are historical platform figures, not a guarantee of current or subject-specific coverage. Verify every candidate in a trusted index or the paper itself.
The TARCiS statement (2024) recommends reporting the citation-search direction, methods, resources, and seed references. Add that information to your protocol and final methods report.
Run a final gap check before declaring the search complete
Completeness is an argument supported by converging methods, not a label supplied by an interface. Use a final checklist:
- Search the key concepts in a second relevant database and compare unique inclusions.
- Inspect related-paper networks around each important seed and investigate unexplained clusters.
- Hand-check recent issues of the most important journals and the websites of major organizations or registries.
- Search alternative terminology, older names, acronyms, spelling variants, and local-language terms identified during screening.
- Check reference lists and citing papers for every included study and major review.
- Ask a librarian or subject expert to review the strategy when the stakes justify it.
- Investigate every known paper that the strategy failed to retrieve and document the fix or the reason it remains outside scope.
A 2025 scoping review of AI tools for evidence synthesis described a search yielding 7,841 unique citations and 19 gray-literature records. That is the retrieval count for that study’s search description, not a target or benchmark for your review.
Compare AI literature-search tools by workflow fit
“Finds papers for me” describes a discovery feature, not proof of a complete search. Compare tools against the tasks and controls your protocol requires.
Best Value
| Criterion | Questions to ask | Why it matters |
|---|---|---|
| Recall and coverage | Which journals, disciplines, document types, languages, and dates are indexed? Can you test against known papers? | Unlisted coverage gaps can create systematic omissions. |
| Transparency and reproducibility | Can you save the exact query, filters, ranking date, model version, and result set? | A result that cannot be rerun cannot support a defensible methods section. |
| Citation functions | Does it show references, citing papers, and citation context separately? | Direction and context help distinguish evidence from incidental mentions. |
| Full-text access | Are links open, licensed, or merely metadata? Can supplements and corrections be reached? | Eligibility and extraction require the primary record. |
| Screening and extraction | Can it export labels, exclusion reasons, reviewer decisions, and field-level provenance? | Automation is useful only when a human can audit it. |
| Export | Are RIS, BibTeX, CSV, XML, DOI, abstracts, and database identifiers preserved? | Interoperability prevents lock-in and supports deduplication. |
| Privacy | What is retained, who can access uploads, and where is data processed? | Unpublished or licensed material may require stricter controls. |
| Bias controls | Are ranking signals, citation context, language effects, and known blind spots documented? | Popularity and citation volume can hide newer or marginalized work. |
| Cost and access | Which functions require a subscription, institutional login, or usage credits? | A protocol should remain feasible for the whole project. |
Typical roles for named tools
- Semantic Scholar: broad discovery, related-paper suggestions, and citation-graph navigation; verify coverage and metadata independently.
- Scite: citation statements that help inspect supporting or contrasting context; do not use its labels as a completeness or quality verdict.
- Lens.org, SpiderCite, and Microsoft Copilot: examples of tools discussed in comparative evidence-synthesis work; check current indexing, export, access, and privacy terms before adopting them.
- General-purpose chatbots: synonym brainstorming, query translation, and protocol consistency checks; never trust unverified bibliographic details or findings.
A 2025 scoping review found automation tools spanning searching, screening, extraction, and analysis, while also identifying a lack of pragmatic head-to-head evaluations for specific tasks. Choose a tool for a bounded job and validate that job rather than assuming one platform covers the entire review.
Document AI use so the review can be audited
Maintain an AI-use log alongside the search log. For each system, record:
- name, model or release identifier, and access date when available;
- the purpose and exact role in the workflow;
- the prompt, uploaded context, database query, or configuration;
- the generated output and the human changes made;
- the verification method and the reviewer responsible; and
- any failed searches, hallucinated records, bias concerns, privacy decisions, or tool outages.
Report which steps were automated, which remained human decisions, and how disagreements were resolved. If a model generated a search synonym, state whether it was retained, tested, or rejected. If AI ranked screening records, report the ranking rule and the human review of excluded or low-ranked items.

Failure: trusting a generated bibliography
Symptom: a plausible list contains incorrect titles, authors, or nonexistent papers. Fix: verify every bibliographic field in a trusted index and retrieve the paper before screening.
Failure: using one interface as the whole search
Symptom: the tool returns polished results but no reproducible query or coverage statement. Fix: run documented database-specific searches in multiple relevant indexes, then use AI for expansion and prioritization.
Failure: stopping when results become repetitive
Symptom: later pages look similar, so the remaining queue is discarded. Fix: follow a prespecified stopping rule, inspect a sample of the remainder, and complete citation and hand-search checks.
Failure: accepting a summary instead of checking the paper
Symptom: an extracted effect or quotation cannot be located in the article. Fix: trace it to the full-text page, table, figure, supplement, or cited source; mark it unavailable when verification fails.
Failure: losing the audit trail
Symptom: the team cannot explain which query, filter, model, or deduplication rule produced the final set. Fix: preserve original exports, dated queries, decision logs, prompts, versions, and amendments from the first search onward.
Quick Recap
A repeatable end-to-end checklist
- Write the question, eligibility criteria, date and language limits, databases, and protocol.
- Build concept blocks and database-specific Boolean and controlled-vocabulary searches.
- Use AI to propose synonyms and syntax; test and edit every suggestion.
- Run each final search and save the exact query, interface, filters, date, and count.
- Export complete metadata, preserve original files, and deduplicate with documented rules.
- Screen titles and abstracts with explicit inclusion rules and exclusion reasons.
- Use AI only to prioritize or flag records; human reviewers verify uncertain and included items.
- Read full texts and extract into a structured form, checking every field against primary sources.
- Perform backward and forward citation searches from recorded seed papers and report direction, resources, methods, and seeds.
- Complete the second-database, network, hand-search, terminology, and expert gap checks.
- Log every AI system, version or access date, prompt, role, human check, and correction.
- Report limitations honestly: no interface guarantees complete coverage, and the final set reflects the documented scope and methods.
