Use AI at work only through a service and account your employer has approved, and do not enter confidential company information, personal information, credentials, or regulated data unless the organization has explicitly authorized that use. Check the output before relying on it, and consider who could be harmed if it is wrong or biased.
Start with your employer’s policy—not the tool’s availability
A service being easy to access, free, or familiar does not make it appropriate for work. Before using AI for a task, check your organization’s current AI policy and approved-service list. Confirm that both the specific tool and the intended use are permitted.

If the policy does not clearly cover your task or the information you would enter, pause and ask the designated manager, security, privacy, or legal contact. Microsoft’s employee guidance likewise recommends using employer-approved services and checking with the organization when in doubt: Safety tips for using AI at work.
Keep sensitive information out of unapproved AI services
Do not paste or upload confidential business material, personal information about employees or vendors, credentials, or regulated information into a service unless your organization has authorized that data and use case. Sensitive information can appear in more than a document: a prompt, spreadsheet, screenshot, meeting transcript, code sample, or file attachment may disclose it.

Microsoft Support puts the boundary plainly: “Avoid disclosing sensitive or confidential company details, including personal information about employees or vendors, to AI services.” The advice applies especially when a tool or account has not been approved for that information.
Minimize the information you provide
Where an approved task allows it, use a general description or remove identifying details. For example, ask for a template using fictional names and figures rather than pasting a real customer record. But removing a person’s name alone does not necessarily make information safe: combinations of details can still identify someone, and business context can remain confidential. Follow your employer’s classification and handling rules rather than deciding on your own that a dataset is anonymous.

Check the account, contract, and connected features
Privacy and data-handling commitments are specific to the service, account, contract, and configuration. An employer-approved organizational account may have different protections and controls from a personal or consumer account. Do not assume that signing in with a work email, using a familiar brand, or paying for a subscription makes a particular use authorized.

For an approved tool, check the current terms and settings relevant to prompts, uploaded files, retention, access, and use of data. Also check any connected agent or integration separately: it may have its own privacy statement and terms. Microsoft’s documentation for organizational Copilot describes protections under applicable Microsoft product terms and its data protection addendum; those commitments concern Microsoft’s covered organizational offerings and should not be treated as a promise about other providers or account types. When comparing approved options, ask your employer or verify in current vendor documentation:
- Is this service approved for the intended task and information category?
- Which account, contract, and data-protection terms apply?
- How are prompts and files retained or used?
- What access controls, tenant boundaries, and audit records are available?
- How do connected agents and integrations handle data?
- Who reviews outputs, and where should concerns be escalated?
Review AI output before using it
AI-generated material can be inaccurate, incomplete, or misleading. Microsoft Support advises: “Always double-check AI-generated results before using them in your work.” Verify factual claims, calculations, and cited sources; check that the response has not exposed confidential information; and use your normal professional review before sharing or acting on it.

For decisions that could materially affect a person, do not treat an AI response as a substitute for qualified human judgment or the organization’s established decision process. Escalate uncertain or consequential results through the appropriate channel.

Consider fairness and potential harm
Accuracy is not the only responsibility check. Ask whether the output could unfairly disadvantage an individual or group, reproduce bias, or influence a consequential decision without adequate review. Microsoft includes fairness among the principles in its own responsible-AI framework; this is a vendor’s stated framework, not a guarantee that a particular output is fair. NIST describes its AI Risk Management Framework as a voluntary resource to help people manage AI risks that may affect individuals, organizations, society, or the environment. It is guidance, not a law, certification, or assurance that a system is safe. NIST says the framework is under revision, so organizations should consult its current status and materials: NIST AI Risk Management Framework and NIST AI RMF FAQs.
What employers should put in place
Safe use cannot rest on employees guessing which data is acceptable. NIST’s Generative AI Profile recommends acceptable-use policies and discusses risks that can arise from third-party integrations, including privacy, information-security, and intellectual-property concerns. It also describes procurement due diligence, service-level agreements, and transparency materials as possible management tools. The profile was published July 26, 2024; see NIST AI 600-1.
Depending on the organization’s needs, governance can include assessing use cases and risks, defining approved tools and data categories, limiting access, and monitoring use. Microsoft’s governance guidance presents AI risk management alongside cybersecurity and privacy governance and discusses role-based access controls as one way to mitigate insider risks: Microsoft AI governance. These are examples of organizational controls, not a universal checklist or a guarantee of safety.
