How to Use a Chromebook Offline and Sync Files When You Reconnect

Prepare Google Drive files before disconnecting, confirm their offline check marks, then reconnect to sync your edits. Learn Chromebook Plus options and what may not work offline.

To work offline on a Chromebook, prepare while you still have internet: enable Google Drive offline access, mark the files or folders you need as Available offline, and wait until each shows a check mark. Edit those copies while disconnected; Google says changes sync to Drive the next time the Chromebook reconnects.

Make Google Drive files available offline

  1. While connected to the internet, open Google Drive settings and scroll to Offline. Turn on offline access. Activation can take a few minutes.

  2. Open the Chromebook Files app and select Google Drive. Select the file or folder you need, then choose Available offline. Google says this process also works with shared drives.

  3. Wait for a check mark beside each item. It indicates the offline copy has synced. If the mark does not appear, the item may still be syncing or may not have synced successfully; stay online and check again before disconnecting.

Once offline, open the prepared items and make your edits. When the Chromebook reconnects, changes to files made available offline sync to Drive. Google does not specify a universal sync time or a single conflict-resolution procedure, so let the device reconnect and verify the updated files in Drive before deleting local copies or acting on unexpected versions. See Google’s Chromebook instructions for using Drive files offline.

Choose between selected files and Chromebook Plus File sync

Most users can prepare just the items they need. Chromebook Plus offers a broader option for syncing My Drive to the device:

Approach Device and scope Storage implications
Make selected items available offline Use the Files app to select particular files or folders in Google Drive; the workflow also supports shared drives. Uses device storage for the selected offline copies, so the amount depends on what you choose.
File sync On Chromebook Plus, syncs My Drive broadly. Items outside My Drive can still be selected individually in the Files app. Can use substantially more local storage because it syncs My Drive; the feature can turn off automatically if available storage runs low.

Turn on File sync on Chromebook Plus

  1. While online, open Settings > System preferences > Google Drive.

  2. Enable Access your Google Drive files when you’re offline. This starts syncing My Drive files to the Chromebook.

  3. Wait for the check mark beside a file to confirm it has synced before relying on it offline.

For either approach, check available capacity in Settings > Storage management before preparing a large set of files. Google’s Drive settings include Clean up storage, but some files may remain offline after cleanup. Google classifies offline files as temporary versions of Drive files saved for offline use; low storage can also affect downloads and other local data. If space is limited, select only what you need for the trip.

A USB flash drive for Chromebook can provide a separate local copy or help transfer files, if the device ports and drive format are compatible. It is a manual copy option, not a way to automatically sync offline edits back to Drive. See Google’s guide to supported Chromebook file types and external storage.

Other Chromebook tasks that can work offline

Google notes that some apps and services do not work offline, and some offline features are unavailable in Incognito or guest mode. Work or school administrators may also control offline Gmail settings. For the broader list, see Google’s Chromebook offline guide.

Reconnect and check that edits synced

  1. Reconnect the Chromebook to the internet and allow Drive time to sync.

  2. Open the files in Drive and check that the latest edits are present.

  3. If the result looks unexpected, keep local copies until you have checked which version contains your edits. Google confirms syncing on reconnection, but does not document a universal completion time or conflict-resolution workflow.
