To publish PDFs safely, decide first whether each file is public or restricted, then choose a storage and display method that matches that policy. A public PDF can often live in a CMS media library and use a descriptive direct link. User uploads or private documents need explicit validation, authorization, and controlled delivery; an embedded viewer does not make a file private.
Choose how the PDF will be stored and displayed
The right approach depends on who uploads the file, who may retrieve it, and whether visitors need more than basic viewing or downloading.

| Option | Useful when | Trade-offs |
|---|---|---|
| Direct file link | The PDF is public and basic viewing or download is enough. | Simple and broadly compatible, but offers less integrated navigation and interaction. |
| CMS media library | Editors manage a modest set of site documents. | Familiar publishing workflow, but permissions, limits, and URL behavior depend on the platform. |
| Custom upload and managed storage | Users submit files or the workflow needs tighter validation and access control. | Offers fine-grained control but requires engineering and operational work. |
| Embedded viewer | In-page reading or viewer controls materially improve the task. | Requires checks for JavaScript, CORS, privacy, browser support, and accessibility. |
| Third-party document service | Hosting or collaboration is delegated to a provider. | Can simplify setup, but requires review of access settings, data handling, and dependency risk. |
Before choosing, specify whether uploads, management, and retrieval are public or restricted. These are separate authorization decisions: permission to upload a document does not automatically grant permission to manage or retrieve it.

For an application that accepts files, treat every upload as untrusted. OWASP recommends multiple safeguards rather than relying on a filename or request header to establish that a file is safe. See the OWASP File Upload Cheat Sheet for its full guidance.

- Get NVMe solid state performance with up to 1050MB/s read and 1000MB/s write speeds in a portable, high-capacity drive(1) (Based on internal testing; performance may be lower depending on host device & other factors. 1MB=1,000,000 bytes.)
- Up to 3-meter drop protection and IP65 water and dust resistance mean this tough drive can take a beating(3) (Previously rated for 2-meter drop protection and IP55 rating. Now qualified for the higher, stated specs.)
- Use the handy carabiner loop to secure it to your belt loop or backpack for extra peace of mind.
- Help keep private content private with the included password protection featuring 256‐bit AES hardware encryption.(3)
- Easily manage files and automatically free up space with the SanDisk Memory Zone app.(5). Non-Operating Temperature -20°C to 85°C
- Allowlist only the file extensions the feature needs. Inspect the content and do not trust the request’s Content-Type header alone.
- Generate an application-controlled storage name. Restrict the original filename’s length and characters, and do not use it as a filesystem path.
- Set a maximum upload size and enforce it on the server. If files are extracted or processed, account for expanded size and processing resource limits as well.
- Require authentication and authorization for uploaders. Protect the upload endpoint against cross-site request forgery (CSRF).
- Store files outside the webroot or on a separate server when practical. Map public retrieval through application identifiers where appropriate.
- Use antivirus or sandbox scanning when available; consider Content Disarm & Reconstruct for supported document types.
- Keep libraries that process PDFs securely configured and up to date.
Turn these controls into acceptance checks: reject files that fail validation, require appropriate permission for replacement and deletion, log administrative changes, and test that one user cannot retrieve another user’s restricted PDF by changing an identifier. These are implementation safeguards, not a claim that every CMS applies them automatically.
Organize documents through their lifecycle
Maintain a record for each PDF with a human-readable title, stable identifier, owner or responsible team, publication status, visibility or access policy, and revision date. Decide how replacement works before publishing the first version.
- Where possible, preserve a stable public URL when replacing a public file, and clear stale cached copies.
- State whether previous revisions remain available and who may access them.
- Use permissions to protect confidential files. A read-only or content-lock setting is not access control: Google Drive’s documentation makes clear that a content restriction is not an access restriction. See Protect file content.
Display a PDF with a link or an embedded viewer
Start with a direct link when it meets the need
A descriptive link is usually the simplest and most resilient choice. Label it so visitors know which document they will open or download, and make the action clear. A direct link is appropriate only if the file’s delivery permissions already match its intended audience.

Use an embedded viewer when its controls help
Adobe PDF Embed API is a JavaScript option with display modes including inline and lightbox presentations. Adobe documents both URL-based PDFs and file promises; URL delivery may require CORS configuration. The fileName metadata is required, and rendering can fail if it exceeds the documented timeout. Consult the PDF Embed API overview and how-to documentation for current implementation details.
Test the chosen viewer on the browsers and mobile layouts the site supports, as well as with assistive technology. Keep a direct PDF link as a fallback. An iframe or viewer does not make a public file private; restricted documents still need authenticated delivery or another access mechanism suited to the application.
Check third-party processing and data handling
Adobe says the Embed API’s core functionality runs in a sandboxed HTML iframe. Its security documentation says server-side PDF Services and Embed API components are processed in Adobe Document Cloud, customers can choose a processing region, and data in transit is encrypted using TLS 1.2 or greater. Adobe also describes limited client-side Embed API calls and an opt-in analytics configuration. These are Adobe’s published service descriptions, not an independent assessment. Review the current Adobe security documentation against your organization’s data requirements before sending sensitive documents to a third party.

Account for WordPress embed restrictions
WordPress does not accept every arbitrary provider URL as an embed. Core maintains a whitelist; a provider may need to support oEmbed and be registered, or a developer may need to register an embed handler. WordPress also filters discovered embed HTML and applies sandboxing and restrictions in relevant cases. See the WordPress oEmbed handbook. If the provider URL is not accepted, use an appropriate registered integration or link directly to the PDF rather than assuming any pasted URL will become an embed.

Make the document usable and accessible
Accessibility depends on the PDF as well as the viewer. Use structured headings and a meaningful reading order, make text selectable, set the document language, and provide text alternatives for informative graphics. Use descriptive link text on the web page and retain a clear route to the file if the embedded experience fails. Verify applicable WCAG and PDF accessibility requirements before making compliance claims.
Troubleshoot common problems
- The upload is rejected: Check the configured extension allowlist, content validation, size limit, and uploader permissions. Do not solve a validation failure by trusting the browser-supplied Content-Type.
- A restricted PDF opens to an unauthorized visitor: The file may be delivered from a public URL. Enforce retrieval authorization at the storage or application layer; hiding a link or using an iframe is not a privacy control.
- An embedded PDF does not load from its URL: Check cross-origin (CORS) behavior and the viewer’s URL requirements. For Adobe Embed API, also supply the required
fileNamemetadata and check whether rendering exceeded its documented timeout. - A WordPress URL appears as plain text instead of an embed: The provider may not be in WordPress’s oEmbed whitelist or registered through an appropriate mechanism. Use the handbook’s provider or handler guidance, or provide a direct link.
- A replacement still shows old content: Check caching and invalidate stale copies as part of the revision workflow. Confirm whether the old revision is supposed to remain available.
- A visitor cannot use the document effectively: Test keyboard and assistive-technology use, mobile layouts, selectable text, reading order, and the direct-link fallback.
Capture a screenshot of a PDF page for documentation
If you need an image of a page for a website or issue report, capture only documents you are authorized to access and share. A screenshot documents a rendered page; it does not replace secure PDF delivery or make the underlying document accessible.

For a local browser-based capture, open the PDF in a browser, navigate to the page, set a suitable zoom, and use the browser’s screenshot or operating-system capture function. This manual method captures what is visible; it is not a reliable way to produce a full multi-page PDF or a repeatable automated capture.
