To change beneficiaries or life-insurance coverage, sign in through your employer’s official HR or benefits address, open the applicable election, enter the requested beneficiary details or coverage amount, review the summary, and select Save, Submit, or Confirm. Keep the confirmation number or downloaded receipt, then reopen the election to verify that the new values and effective date appear.
Beneficiary designations and coverage amounts are separate fields. They can have different approval rules, effective dates, and documentation requirements, so changing one does not necessarily change the other. Your plan’s summary plan description (SPD) and related notices control the details for your employer.

What to check before you make an edit
A new portal may use different menu names from the system it replaced. Before entering anything, have the plan documents and the information for every beneficiary available.

Find the controlling plan documents
For an ERISA-covered plan, the U.S. Department of Labor says the plan administrator must provide important plan facts and documents, including a summary plan description (SPD) explaining what the plan provides and how it operates. The SPD and any enrollment notices—not a generic portal help page—control eligibility, deadlines, underwriting, waiting periods, and administration. The DOL also advises participants to check plan materials or benefit statements for beneficiary-designation information.

Look in the employer intranet, benefits welcome email, or portal document center for:
- The current SPD and any summary of material modifications.
- The plan’s enrollment or election deadline.
- Rules for changing an election outside the normal enrollment window.
- Evidence-of-insurability (EOI) or medical-underwriting requirements for additional coverage.
- When a new election becomes effective and whether it is subject to a waiting period.
- Portability or conversion terms if you leave employment.
- Contact information for the plan administrator.
Prepare beneficiary information
Most portals ask for each person’s legal name, relationship to you, date of birth, address, and allocation percentage. Gather the information from official records so it matches the person’s identity. Decide who should be a primary beneficiary and who should be contingent. A contingent beneficiary receives the benefit only if the relevant primary beneficiary cannot receive it, subject to the plan’s terms.
Some plans restrict designations involving minors, trusts, estates, or certain relationships. If the portal displays a warning or the SPD describes a restriction, follow that instruction rather than trying to bypass the field.

Check for a maintenance or blackout period
When a plan changes recordkeepers or investment options, a temporary blackout period can prevent participants from viewing or changing certain information. The DOL specifically identifies blackouts as a possibility during these transitions. If the portal says the election is unavailable, read the notice for the reopening date and contact the plan administrator if the timing is unclear.
Sign in through the employer’s official route
- Open the benefits or HR URL supplied by your employer. Do not use an unsolicited link from an email or text message. If you are uncertain, start at the employer’s known intranet or contact HR for the correct address.
- Sign in with your employee credentials and complete multifactor authentication if prompted.
- Confirm that the portal shows your own name and employment record before editing anything. A newly migrated account can contain more than one profile or an incomplete enrollment record.
- Open the section for the relevant election. Common labels include Life, AD&D, Supplemental Life, Insurance, Beneficiaries, or Edit elections. Labels differ by employer and portal vendor.
If you cannot find an election, do not assume that the coverage has disappeared. Use the portal’s search or help function, check the SPD for the plan’s formal name, and ask HR or the plan administrator which menu contains it.
Change beneficiary designations step by step
- Open the beneficiary editor. Choose the life, accidental-death, or other benefit for which you want to change beneficiaries. Some plans require a separate designation for each benefit.
- Review existing entries. Note the current primary and contingent designations before replacing them. If the portal offers a download or print view, save it for your records.
- Add or edit one person at a time. Enter the person’s legal name, relationship, date of birth, address, and any other required identifier exactly as requested. Use the person’s current legal information; do not substitute a nickname when the field asks for a legal name.
- Choose the status. Mark each person as primary or contingent when the portal provides those choices. If the plan allows both categories, make sure you are editing the intended category rather than adding everyone as primary.
- Assign allocations. Enter a percentage for each beneficiary. The portal may require the primary percentages to total exactly 100 percent and may apply a separate 100 percent rule to contingent beneficiaries. Correct rounding or missing percentages before continuing.
- Review special instructions. Read notices about spouses, community-property rules, trusts, estates, minors, or required signatures. A field that is locked or a notice that requests a form means the portal cannot complete the change by itself.
- Continue to the summary. Confirm that names, relationships, beneficiary categories, and percentages are correct. A beneficiary change is not complete merely because an entry appeared on screen.
If you need to remove an old beneficiary, use the portal’s explicit Remove or Delete control and verify that the person no longer appears in the summary. Leaving an obsolete person at zero percent may not be equivalent to removing the designation under your plan’s rules.

Change a coverage amount
Coverage is usually edited in a separate election from beneficiaries. Select the amount offered by the plan and read every prompt before submitting. The available choices, payroll deduction, approval process, and effective date are plan-specific.
| Decision point | What to look for in the portal or plan documents |
|---|---|
| Coverage amount | The exact benefit amount selected and whether it is employee, spouse, dependent, supplemental life, or AD&D coverage. |
| Payroll deduction or premium | The deduction associated with the selected amount, its pay-period frequency, and whether the displayed figure is an estimate or a confirmed rate. |
| Evidence of insurability | Whether an increase requires a health questionnaire, medical evidence, or insurer approval. The portal may record the request without making the higher amount immediately effective. |
| Effective date | The date the new amount starts, which may differ from the submission date and may depend on approval, eligibility, or a waiting period. |
| Portability or conversion | What happens to the coverage if employment ends and whether a separate application or deadline applies. |
Increasing coverage
An increase can trigger evidence of insurability or underwriting. Follow the portal’s instructions for completing the questionnaire or sending medical evidence, and note whether the insurer must approve the increase. Until the plan confirms approval and an effective date, do not treat the requested amount as active coverage.
Decreasing coverage
A decrease may have a different effective date or election rule from an increase. Check the confirmation for the amount that remains in force, the first paycheck affected, and any restrictions on restoring the higher amount later.

Changing more than one benefit
If you are changing employee life, spouse or dependent life, and AD&D elections, open each election separately. A saved beneficiary designation for one benefit does not prove that another benefit has been updated.
Review, submit, and preserve proof
- Use the final review screen. Compare every value with your intended change: plan name, coverage amount, premium or payroll deduction, beneficiary names, primary or contingent status, percentages, and effective date.
- Submit the election. Select the portal’s final control—often Save, Submit, or Confirm. A button that only saves a draft may not transmit the election.
- Wait for a success result. Look for a success message, confirmation number, timestamp, or downloadable receipt. Do not close the browser immediately after clicking the button if the portal is still processing.
- Download or print the confirmation. Record both the submission date and the stated effective date. Keep the file in a secure location because it contains sensitive personal and benefit information.
- Verify after submission. Leave the election, sign in again later, and reopen the relevant plan. Confirm that the new values—not merely a pending request—are displayed. For an increase subject to underwriting, verify whether the status is approved, pending, or declined.
An on-screen change without a confirmation or later verification is not sufficient proof. If the portal times out after submission, check for a confirmation in the document center or email, then contact the plan administrator with the approximate submission time.
Why a beneficiary or coverage change may not save
| Symptom | Likely issue | What to do |
|---|---|---|
| The Continue or Submit button is disabled | A required name, relationship, date of birth, address, status, or percentage is missing. | Review every required field, including sections that are collapsed or below the visible screen. Use the exact format requested by the field. |
| The portal says allocations are invalid | Percentages do not satisfy the portal’s 100 percent rule, or primary and contingent totals were mixed. | Check each category separately and make the displayed total exactly 100 percent, subject to the plan’s instructions. |
| A field is locked | The plan requires a paper form, spouse consent, administrator action, an eligibility check, or is in a blackout period. | Read the on-screen explanation and the SPD, then contact HR or the listed plan administrator. Do not enter substitute information. |
| An increased amount is marked pending | Evidence of insurability or insurer underwriting is required. | Complete the requested medical or insurer process and wait for an approval notice and effective date. |
| The old value reappears after you sign in again | The change was saved as a draft, rejected, or not transmitted. | Look for a confirmation number or rejection message. If none exists, submit again only after checking that a duplicate election will not be created, or ask the administrator to confirm the status. |
| The confirmation shows an unexpected effective date | The plan applies a future enrollment date, waiting period, approval date, or other rule. | Compare the date with the SPD and enrollment notice. Ask the administrator which date governs coverage. |
| The portal shows the wrong employment or coverage record | A migration or eligibility record has not been updated. | Stop editing and contact HR so the underlying record can be corrected. |
How effective dates and approval status work
The date you submit an election and the date it takes effect are not necessarily the same. Beneficiary changes may become effective when accepted by the plan, while a coverage increase may wait for underwriting or another eligibility condition. A portal can therefore show a submitted request without showing the final active amount.

Use the summary and confirmation to distinguish among submitted, pending, approved, and effective. If the portal uses different labels, ask the plan administrator what each status means. Keep the confirmation even after the election becomes active; it establishes what you submitted and when.
Privacy and recordkeeping
Beneficiary records contain names, dates of birth, addresses, and family relationships. Coverage confirmations can also reveal insurance amounts and payroll deductions. Store downloaded files in a password-protected device or approved employer storage, limit access to people who need it, and avoid leaving printed confirmations in a shared workspace. Do not email an unencrypted copy to a personal address unless your employer’s policy permits it.
When your family circumstances change, review the designation against the plan’s rules rather than assuming an informal conversation or a will automatically updates the portal. Make a fresh election, obtain confirmation, and retain the record.
When to contact HR or the plan administrator
Escalate when the portal cannot accept a valid change, a beneficiary field is locked, an allocation rule is unclear, an increase remains pending, or the effective date conflicts with the SPD. Use the contact listed in the summary plan description or the portal’s plan-information page. Include your employee ID only through the employer’s approved secure channel, and provide the confirmation number, submission date, plan name, and a description of the error.
Ask for a written explanation when the answer affects coverage, a deadline, underwriting, or beneficiary priority. The administrator—not a generic technical-support representative—can interpret the plan’s governing provisions and tell you whether a paper form, consent, or additional evidence is required.
