Optional AI can summarize or restructure the text, but it adds configuration, possible data transfer outside your vault, and another accuracy check.
What the workflow produces
A useful YouTube note has three layers:
- Source record: the video URL, title, channel, language, publication date and other available metadata.
- Retrievable transcript: caption text saved in the vault as part of a note or as its own Markdown file.
- Your interpretation: a short summary, questions, decisions, quotations to verify and links to related notes.
Obsidian can search text only after that text is saved in the vault. A transcript visible on YouTube, or temporarily displayed by a plugin, is not a durable vault record until you insert it into a note or create a Markdown file.

Captions are not guaranteed to exist for every video or language. Even when a caption track is available, names, technical terms, numbers and quotations can be wrong. Preserve timestamps so you can check an important passage against the video.
Choose where the transcript should live

Decide this before installing anything. Inline text is convenient for a single research session; a separate source note is easier to deduplicate, tag and link across a long-lived vault.

Prepare Obsidian and the video
- Open the vault where the notes should be stored. Keep source notes in a predictable folder such as
Sources/YouTubeif you want path-based searches later. - Install the transcript plugin you need. In Obsidian, open Settings → Community plugins, turn off Restricted mode if Obsidian asks, choose Browse, find the plugin, install it and enable it. Plugin names and compatibility can change, so check the listing shown in your own Obsidian version.
- Copy the complete YouTube URL. A normal watch URL is the safest input. Keep the URL in the final note even if the plugin also records a video ID.
- Choose a language when the plugin offers one. The selected caption track determines what text is retrieved. Do not assume that an automatically translated track has the same wording as the video’s original captions.
- Create a note title that will still make sense later. A practical pattern is
YYYY-MM-DD — Video title, or a stable title plus the video ID when duplicate titles are common.
Method 1: use YTranscript for inline notes or a side panel
YTranscript documents two useful modes: inserting transcript text into the current note and viewing or searching it in a side panel. Both preserve clickable timestamps that take you back to the corresponding point in the video.
Insert the transcript into the current note
- Open or create the note in which you want the transcript.
- Run YTranscript’s insert-transcript command from the Command palette or its configured hotkey.
- Paste or provide the YouTube URL when prompted, then choose the caption language if prompted.
- Place the generated transcript below a source heading, not above your own interpretation. Keep the timestamp links intact.
- Add a short summary, questions and links to related notes before you move on.
This route is best when the transcript is evidence for a specific project note. It is less suitable for a very long video that you expect to search independently for years.
Read and search in the side panel
- Open the YTranscript side panel and supply the video URL.
- Use the panel’s search to find a word or phrase while you write in your main note.
- Copy only the passages that matter, retaining their timestamp links.
- Write your own conclusion in the main note and record the video URL there.
- If the transcript may be useful again, insert or export the relevant text into a permanent Markdown source note rather than leaving it only in the panel.
The side panel separates reading from your prose, which reduces accidental blending of a speaker’s claims with your conclusions. Its practical limitation is persistence: panel content is useful for the current session, while vault search requires saved Markdown.
Method 2: create a dedicated Markdown note with YouTube Transcript Fetcher
YouTube Transcript Fetcher is the better fit for a source-library workflow. Its documented options include fetching a transcript into a Markdown file, choosing a language, adding YAML frontmatter, selecting output formats and checking for duplicates.
Fetch and save one video
- Open the Fetcher command or view, enter the YouTube URL and select the desired language.
- Choose the destination folder and a filename rule. Include the video ID or another stable identifier if two videos can have the same title.
- Enable YAML frontmatter if you want consistent metadata and property searches.
- Run the fetch. Confirm that the new file contains readable Markdown, the original URL and timestamp links where the selected output format supports them.
- Open the file and check the title, channel, language and first few transcript paragraphs against the video before filing it as trusted source material.
Use metadata without treating it as verified fact
Fetcher can provide fields such as title, URL, video ID, channel, duration, views, publication date and description. These are plugin-provided values retrieved from YouTube. Keep them because they improve sorting and searching, but verify a field when its exact value matters—for example, when citing a publication date or quoting a speaker.
A compact frontmatter pattern could look like this:

Handle duplicate videos
Enable Fetcher’s duplicate-check option when importing repeatedly. A URL or video ID is a more dependable duplicate key than a title, because titles can change and different channels can publish videos with identical names. If you already have a manually written note, link the fetched source note to it instead of creating a second transcript in the same note.
Method 3: process a video or playlist with YT Knowledge Notes
YT Knowledge Notes supports transcript-first notes for an individual video or a playlist. It can create one note per video or a combined playlist note. Transcript and metadata capture do not require an AI API key; AI processing is an optional layer.
Choose per-video or combined output
- Per-video notes: better for independent search results, separate tags and precise links back to one source.
- One combined playlist note: useful for a course or sequential series, but harder to navigate when many videos use the same terminology.
For a playlist, retain each video’s title and URL inside the output. Without those boundaries, a search hit may show the right words but make it difficult to identify which episode supplied them.
Decide whether to enable AI
Leave AI off when you only need searchable transcript text. Enable it when you have a specific transformation in mind, such as a short outline, questions for review or a topic index. AI output should sit in a clearly labeled section separate from the raw transcript, so you can distinguish generated interpretation from source wording.
YT Knowledge Notes states that AI requests include transcript content and prompt context. The configured provider or local server receives that request, and generated content can be inaccurate. Do not treat an AI summary as a replacement for the transcript when an exact claim matters.
Organize the note so search results remain useful
Put stable source information near the top, your interpretation in the middle and the raw transcript in a collapsible or clearly marked lower section if your preferred theme supports that presentation. A consistent structure makes every result understandable without opening the video immediately.
- Source: video URL, title, channel, publication date and language.
- Why I saved this: one sentence describing the question or project.
- Summary: your wording, not an unmarked copy of an AI output.
- Key points: short bullets with timestamps for claims you may revisit.
- Questions and follow-ups: unresolved points and links to other notes.
- Transcript: the complete fetched text, preserved as source material.
Use the same property names in every source note if you plan to filter by them. Inconsistent names such as channel, creator and author turn a simple property query into manual cleanup.

Search the saved transcripts in Obsidian
Once the Markdown files are in your vault, Obsidian’s search can find words in the transcript, your summary and frontmatter. Start with a distinctive phrase, then narrow the result when common words produce too many matches.

Basic phrase searches
- Search an uncommon technical term, proper name or exact phrase first.
- Use quotation marks for a phrase, such as
"gradient descent". - Search the video title or channel when you remember the source but not the wording.
Use operators to narrow results
Obsidian documents operators for content, lines, sections, blocks and properties. The following patterns are useful for transcript libraries:

Operator behavior depends on the exact note structure and the Obsidian version you use. If a query returns nothing, test the plain phrase first, then add one operator at a time.
Search for ideas, not only quotations
Speakers may use different words for the same idea. Add your own consistent tags, aliases or summary vocabulary so a search for your preferred term can find a video that used a synonym. For example, put both the speaker’s phrase and your normalized concept in the summary or properties rather than editing the transcript and losing the original wording.
Verify captions, timestamps and generated text
Searchability is not verification. Caption-track retrieval and transcript-processing tools provide text, but the reviewed plugin documentation does not promise perfect transcription. Check these items against the video before relying on them:

- Numbers, dates, units and code identifiers.
- Negations such as “not,” which can reverse a claim.
- Specialist vocabulary and words that sound alike.
- Quotations and statements that you plan to publish or cite.
Click the timestamp beside the passage, listen to enough surrounding context to understand the claim, and correct your summary if the transcript is wrong. Keep the original transcript visible or unedited when possible; record corrections in your notes so you can tell the source text from your interpretation.
Understand privacy and data movement
YTranscript
YTranscript says its transcript request sends the video ID and language or country settings to YouTube to obtain a caption track and that it contacts no other servers. The request still depends on YouTube’s availability of the selected caption track.

YouTube Transcript Fetcher
Fetcher requests video information and transcripts from YouTube. If you turn on AI processing and configure a provider, it sends transcript content to that provider. Its documentation says API keys are stored locally in Obsidian settings and sent only to the respective provider.
YT Knowledge Notes
YT Knowledge Notes says YouTube requests go directly from Obsidian to YouTube. AI requests go to the configured provider or local server and include transcript content and prompt context. A local server can keep processing within your own environment, but it still requires setup and does not make generated text automatically accurate.

The Interpreter feature lists API and local-model options. Its documentation recommends small models for speed and reasonable accuracy, which is guidance rather than a guarantee. A local model changes where processing occurs; it does not remove the need to review the result.

No transcript is returned
- Check whether the video actually offers captions and whether the chosen language exists.
- Try the video’s original language instead of an automatic translation.
- Confirm that the URL identifies the video, not a playlist page or a shortened redirect that the plugin cannot parse.
- Try again later if YouTube is temporarily unavailable. A plugin cannot fetch a caption track that YouTube does not expose.
The text is in the wrong language
Re-fetch with the intended language selected and record that language in frontmatter. Keep the original transcript if you need to compare a translated track with the speaker’s wording.
The note was created but does not appear in search
- Make sure the file is inside the vault and saved as Markdown, not only displayed in a panel.
- Wait for indexing, then search for a distinctive word copied directly from the file.
- Check that the phrase is not inside an unsupported or accidentally malformed section of the file.
- Remove an overly restrictive operator and test the plain phrase before rebuilding the query.
Several imports created the same source
Compare URLs or video IDs rather than titles, enable duplicate checks where available and merge your summary into one canonical note. Link alternate notes only when they contain genuinely different language tracks or personal annotations.
Timestamps do not open the expected passage
Test the link in a browser, confirm that the video has not been removed or replaced, and check whether the timestamp points to the original video rather than a translated or re-uploaded version. Do not silently keep a timestamp you have not tested if precise navigation matters.
A practical decision rule
- Choose YTranscript inline when one note is the destination and you want the transcript immediately below your analysis.
- Choose YTranscript side panel when you are extracting a few passages while drafting and do not need the entire transcript in the final note.
- Choose YouTube Transcript Fetcher when your vault is becoming a searchable source library with one file per video.
- Choose YT Knowledge Notes when you need repeatable imports for individual videos or playlists and may later add an optional AI transformation.
- Use Web Clipper for ordinary page capture, not as an assumed solution for every YouTube transcript.
For most long-term research vaults, a separate Markdown source note with a URL, consistent metadata, timestamps and a short human-written summary offers the clearest separation between evidence and interpretation. Add AI only when its output saves a specific step and your privacy settings match the sensitivity of the transcript.
