You can turn a messy review file into a useful defect ranking with a spreadsheet or local Python tools—no paid API required. The key is to preserve each review as evidence, label it consistently, and show counts alongside their denominator, severity, and time period. Getting the reviews is a separate problem: free access and export options depend on the platform and your permissions.
Start with reviews you are allowed to access
First identify who owns the review data and whether you have store or account access. Use the platform’s documented export or API route where available, and retain a source URL or stable review identifier. Do not assume every marketplace offers a free bulk export; access rules and available fields vary.

For WooCommerce, the Store API provides GET /products/reviews, with product and category filters, pagination, and sort options. Its example response includes product ID, review text, rating, date, and a verified flag. See the WooCommerce Store API product reviews documentation. This endpoint is distinct from WooCommerce’s product-review import/export feature: WooCommerce says that feature is not included in the free core plugin and documents its Import Export Suite extension as the route for it. See WooCommerce’s product reviews import/export guide. Whether the Store API is usable for your task depends on access to the relevant store and endpoint.

Keep the evidence intact before cleaning
Make an untouched copy of the source file, then add cleaning and analysis columns in a separate working copy. Record when you collected the data and the filters, products, and date range used. Keep one row per review where possible, with these fields:
#1 Best Overall
- Transform audio playing via your speakers and headphones
- Improve sound quality by adjusting it with effects
- Take control over the sound playing through audio hardware
- Product identifier, such as product ID, SKU, or ASIN, when available
- Review source and review date
- Collection date
- Rating, title, and full original review text
- Review URL or stable row ID, if available
Retaining the original text and a traceable identifier lets someone check a theme count against the underlying reviews. Do not replace the text with a label or paraphrase in your working dataset.
Normalize carefully
Trim extra whitespace, standardize text encoding, and remove markup only if the words remain intact. Check duplicates using stable IDs when possible; if you match on source, date, and text instead, record the rule and any removals or merges. Keep short reviews, missing ratings, and low-star reviews visible. If they are out of scope, filter or segment them transparently rather than silently deleting them.

Define a compact defect taxonomy
Choose labels that map to decisions your team can make. Depending on the product, a starter set might include durability, fit or compatibility, setup, performance, packaging, and support. Define each label in one sentence so that two people are less likely to classify the same complaint differently.

Keep an “Other/Unclear” option for reviews that do not fit, and allow more than one label when a review describes separate problems. Add a subtheme only when it would change the response or owner. For example, “battery life” and “charging-port failure” may require different actions; an extra distinction that changes nothing is needless complexity. Indellia’s template guide suggests defined top-level labels and gives consumer-electronics examples such as battery life, setup difficulty, build quality, durability, packaging, and support; treat that as vendor guidance, not a universal standard: Indellia’s review-analysis template guide.

Choose a spreadsheet or local Python workflow
| Approach | Best fit | Trade-off |
|---|---|---|
| Spreadsheet | Small collections, manual review, and inspectable pivots | Quick to audit, but repetitive tagging becomes laborious as volume grows. |
| Local Python with pandas and scikit-learn | Larger or messier files and repeatable processing | Can support filtering, term counts, and candidate text clusters, but requires Python skills and human review. |
For a spreadsheet, add helper columns for defect labels, product, rating band, and review date or period. Use a pivot table to count themes and compare products or periods. A 2026 AMZShark spreadsheet guide demonstrates rating buckets, phrase flags, review length, discovery month, and pivots for theme comparisons; those techniques are useful as triage, not proof that a rating bucket or keyword equals a defect: AMZShark’s spreadsheet guide.
For local processing, pandas can work with text columns, while scikit-learn provides feature-extraction methods that turn text into representations suitable for analysis. These libraries run locally; they are not paid APIs. Use automated flags or candidate clusters to find reviews worth inspecting, then assign final labels against your taxonomy. Synonyms, context, and negation make keyword matches imperfect.

Build a ranking that readers can audit
Use a table that keeps recurrence, scale, seriousness, and evidence distinct rather than hiding them in one unexplained score:

|---|---|---|---|---|---|---|---|
| 1 | Theme label | Count | Count ÷ relevant reviews; state denominator | For example, low / medium / high, with your definition | Dates covered; comparison if scopes match | Review URL or row ID | Team or next investigation |
Sort by complaint count if recurrence is your primary ranking, and use severity and recency to flag urgent exceptions. A frequent minor annoyance and a rare safety-critical failure should not be treated as equivalent. There is no universal severity formula established here, so define severity criteria for your product and show them alongside the raw count.

Show the denominator with every share. If reviews can receive multiple labels, state that explicitly: category percentages may add up to more than 100%. A review share describes the collected review set, not necessarily the share of all buyers who experienced a failure. Do not call it a statistically adjusted failure rate unless the dataset represents purchases or returns and the method supports that interpretation.
Validate the leading themes and keep them current
For each leading theme, read source reviews, including examples that may contradict the label. Preserve representative URLs or IDs in the working table; paraphrase customer passages if publishing examples. Counts show that complaints recur, not that every complaint has the same underlying engineering cause.
- Split a theme when it combines different failure modes that require different actions.
- Merge labels only when they lead to the same action.
- Compare time periods only when collection scope and filters are comparable.
- Record taxonomy or filtering changes so a later ranking remains interpretable.
Academic review-ranking work should not be mistaken for a defect-priority formula. A 2019 paper proposed ranking reviews by predicted helpfulness using review text, product descriptions, and question-and-answer features, and reported experiments on two Indian e-commerce websites. It addresses helpfulness ordering, not engineering defect prevalence or a universal defect rank: the 2019 paper on helpfulness-based review ranking.
