To track Bitcoin cost basis, build a lot-level ledger from every exchange, wallet and payment account, reconcile transfers between accounts you control, and preserve the evidence for each acquisition. For a sale or exchange, report the U.S.-dollar proceeds and adjusted basis for the specific units disposed of on Form 8949, then carry the totals to Schedule D. A 2025 Form 1099-DA may show proceeds but no basis, so you may need to reconstruct the basis yourself.
The workflow below covers inventory, transfer matching, lot identification, gain calculations, 1099-DA reconciliation, filing forms and software choices without treating a tax app as a substitute for your records.

What Bitcoin cost basis is
Cost basis is your tax investment in a particular Bitcoin lot. It generally starts with the amount paid to acquire those units in U.S. dollars and includes acquisition fees and other acquisition costs. The IRS Form 8949 instructions state: “The basis of a digital asset is the cost to acquire the digital asset, including transaction fees, commissions, transfer taxes, and other acquisition costs.”

Bitcoin is not one undifferentiated balance for tax purposes. Each purchase, reward, gift received, or other acquisition can create a separate lot with its own date, quantity and cost. When you later dispose of only part of your holdings, the gain or loss depends on which lot supplied those units.

Minimum data for every lot
- Acquisition date and time, with the timezone identified.
- Bitcoin quantity received, carried to the precision shown by the exchange or blockchain.
- U.S.-dollar value at acquisition and the method or statement used to establish it.
- Fees, commissions, transfer taxes and other acquisition costs, including the asset in which a fee was charged.
- The source account, wallet or address and the transaction or order identifier.
- Original exchange confirmations, invoices, blockchain transaction records and any other supporting evidence.
Keep the original transaction currency and quantity as well as the USD conversion. A later tax return may require you to explain how a value was determined, and a rounded portfolio balance is not enough to do that.
Start by inventorying every source
A current exchange statement rarely contains enough history to calculate the basis of a current sale. Begin with an account-by-account inventory, including services you no longer use and wallets whose balances were later moved elsewhere.
Sources to include
- Centralized exchanges and custodial brokers.
- Self-custody wallets and each blockchain address you control.
- Bitcoin ATMs, payment apps and merchant or payroll accounts.
- Decentralized applications, bridges, wrapped-asset services and other on-chain contracts if they touched your Bitcoin.
- Mining, staking or reward services, if applicable to the assets in your history.
- Prior-year tax workpapers and imported histories from former software.
Export a CSV or equivalent transaction history from each source. Also save downloadable statements or confirmations as PDF when available. A CSV can be changed or reinterpreted by a service later; retaining the original file and the date you downloaded it gives you a fixed record.
Fields to capture from each export
| Field | Why it matters |
|---|---|
| Account, wallet or address | Identifies ownership and lets you distinguish a transfer from a sale. |
| Asset and quantity | Defines the units entering or leaving a lot. |
| Timestamp and timezone | Orders lots and supports the short-term or long-term holding-period calculation. |
| USD value and valuation source | Provides the acquisition cost or disposal proceeds used in the tax calculation. |
| Fee asset and fee amount | Allows fees to be included correctly instead of silently reducing the quantity. |
| Transaction ID, order ID or blockchain hash | Connects the ledger entry to primary evidence and helps identify duplicates. |
Do not discard old acquisition records because the Bitcoin is now in a different wallet. The basis follows the units through a transfer, so a sale this year can depend on an acquisition several years ago.
Normalize and reconcile the history
Different services label the same event differently. Before calculating gains, put all records into one ledger with a consistent timezone, date format and USD valuation convention. Keep the original source fields in separate columns so that normalization does not erase evidence.
Match transfers between accounts you control
A withdrawal from one of your wallets and a deposit into another wallet you control is generally a transfer, not a disposal. Match the outgoing and incoming records by asset, quantity, timestamp, address and blockchain transaction ID. Network fees can make the received quantity smaller; record the fee separately rather than treating the whole withdrawal as a sale.
Do not assume that a matching-looking deposit is yours. Confirm the destination address, and investigate deposits with no corresponding withdrawal. A missing transfer leg can cause software to classify the deposit as a new acquisition, giving it a false basis, or classify the withdrawal as a sale.

Resolve common reconciliation problems
- Unmatched withdrawals: check another wallet, an exchange subaccount, a hardware-wallet address or a transaction fee paid in Bitcoin.
- Unmatched deposits: search old exports, payment apps, mining or reward records and blockchain explorers for the address.
- Duplicates: compare transaction IDs and timestamps before deleting anything; one service may show both an order fill and a balance movement.
- Internal ledger entries: label them as transfers only after confirming both accounts are yours.
- Wrapped or swapped assets: preserve the outgoing and incoming asset, quantities and fees. The tax treatment can differ from a simple wallet move, so do not merge them automatically.
- Different timezones: convert to one stated timezone, but retain the source timestamp and timezone in the raw data.
Reconciliation is not cosmetic. It determines which acquisition lot is attached to a later disposal and can change both the amount and the holding period reported.

Build a tax-lot ledger
After the source histories are normalized, create one row for every acquisition and every disposal. A lot ledger can be a spreadsheet, database or tax application, but it must remain auditable without relying on a portfolio chart.
Acquisition rows
For each purchase, enter the gross amount paid, acquisition fees and the resulting quantity. If the fee was charged in Bitcoin, record both the fee quantity and its USD value under the convention used for the transaction. Keep the order confirmation showing the fill price and fee; an exchange’s end-of-day price is not necessarily the execution price.
Bitcoin received for mining, a service, wages or another income-producing activity may have income treatment when received. Record the fair-market value and the nature of the receipt separately from later capital gain calculations. A fork, reward or other special event should not be forced into an ordinary purchase row without examining its facts.

Record the date, quantity, asset received or cash proceeds, disposal fee and destination. Selling Bitcoin for dollars is a disposal. Exchanging Bitcoin for another digital asset and spending Bitcoin for goods or services are also dispositions of the Bitcoin units used. The receipt of a new asset can create a separate acquisition record at its value on the exchange date.
Do not average away the lots
A portfolio app may display an average purchase price for convenience, but a federal return generally requires you to know the basis of the units actually sold. Keep lot-level dates, quantities and costs even when several purchases occurred at similar prices.
Identify which lots were sold
When a disposal uses only part of a holding, document the exact units and lot or lots selected. Specific identification is useful when you want to choose high- or low-basis units, but it is valid only when the identification and the broker’s records satisfy the applicable IRS requirements.
What a valid identification record should show
- The asset and quantity being sold.
- The acquisition date and lot identifier for each selected unit or group of units.
- The instruction sent to the broker or exchange, and when it was sent.
- Confirmation that the broker acknowledged or recorded the selected lots.
- The final execution report tying the selected lots to the disposal.
Save screenshots, order tickets or downloadable lot reports with the tax workpapers. A later spreadsheet label saying “specific ID” is weaker than contemporaneous evidence that the instruction was made and accepted.
If you did not specifically identify lots
IRS FAQ guidance permits specific identification and certain standing orders. If you do not make a valid identification, the IRS default ordering described in its FAQs generally treats the earliest-acquired units of the same asset held with the broker as disposed of first. Apply the rule consistently and retain the broker’s holdings history that supports the ordering. Do not switch between FIFO and another method merely to obtain a preferred result after the sale.

Calculate each gain or loss
For each disposal, calculate the proceeds in U.S. dollars, subtract selling costs as applicable, and subtract the adjusted basis of the identified units. The result is a capital gain or loss. Classify the lot as short term or long term under the federal holding-period rules by comparing the disposal date with the lot’s acquisition date.
| Calculation element | What to enter | Evidence to retain |
|---|---|---|
| Gross proceeds | Cash received or the USD value of property or digital assets received at the disposal time. | Trade confirmation, payment record or exchange statement. |
| Selling costs | Commissions and other costs directly connected with the disposition, recorded under the applicable reporting rules. | Fee detail and execution report. |
| Adjusted basis | Original acquisition cost plus allowable acquisition costs, allocated to the units sold. | Lot ledger, purchase confirmation and fee record. |
| Gain or loss | Proceeds after applicable selling costs minus adjusted basis. | Calculation worksheet linking every number to source records. |
| Holding period | Short term or long term based on the selected lot’s dates. | Acquisition and disposal timestamps with timezone. |
Do not combine an exchange and a transfer. Moving Bitcoin between your own accounts preserves the existing lots; exchanging Bitcoin for another asset closes the Bitcoin lots and creates a new acquisition of the asset received. Spending Bitcoin similarly disposes of the units used for the payment.
Understand Form 1099-DA and the phase-in
Digital-asset reporting is being phased in. Brokers report gross proceeds for transactions effected on or after January 1, 2025. Basis reporting applies to certain transactions effected on or after January 1, 2026. IRS Tax Tip 2026-07, dated January 28, 2026, says most Form 1099-DA statements for 2025 transactions will not include basis.

The absence of basis on the form does not eliminate your obligation to calculate it.
Reconcile the statement line by line
- Compare the form’s payer, account and transaction dates with the broker or exchange account you imported.
- Match each reported quantity and proceeds amount to an execution, including sales made through multiple fills.
- Check whether the statement marks the transaction as covered or noncovered and whether a basis amount is present.
- Attach the matching lot or lots from your ledger, including the specific-identification evidence or default-ordering rationale.
- Investigate differences caused by fees, transfers, rounding, cost adjustments or transactions that occurred in another account.
- Keep a written explanation for every correction or difference, along with the original 1099-DA.
The IRS states: “Whether or not you receive a Form 1099-DA, you must report all income, gains and losses from digital asset transactions on your federal income tax return.” Treat the form as a proceeds and information-reporting check, not as a complete replacement for your records.
Use the correct tax forms
Form 8949 and Schedule D
Sales and exchanges of Bitcoin held as a capital asset generally go on Form 8949. Report the proceeds, acquisition date, disposal date, basis and resulting gain or loss for the applicable categories, then carry the totals to Schedule D. Follow the current form instructions for covered-status codes and adjustments when a 1099-DA does not show basis or contains an error.
Events that may use different treatment
Staking or other rewards, mining income, hard forks, wages paid in Bitcoin and business receipts can create ordinary income or self-employment considerations before any later capital gain or loss. The form depends on the facts and the activity. Keep the income event separate from the later disposal of the received units so that the same value is not counted twice.

Software can reduce reconciliation work, but it cannot own the result
Tax software is most useful when it imports all sources, matches transfers and lets you inspect and edit the underlying transactions. It cannot recover a missing acquisition that you never exported, prove that an address belongs to you, or decide a complex fork or DeFi event correctly from incomplete data. You remain responsible for the return and the records supporting it.
Features to compare
| Capability | Questions to ask before relying on it |
|---|---|
| Exchange, wallet and blockchain coverage | Does it connect to every source and support the chains and address types you used? |
| Transfer matching | Can it match internal transfers after network fees, or will you have to edit them manually? |
| Manual controls | Can you split, merge, relabel and delete transactions while preserving an audit trail? |
| Cost-basis methods | Does it support the method and specific-identification records you actually used? |
| Complex activity | How does it treat staking, mining, bridges, wrapped assets, swaps and forks? |
| 1099-DA reconciliation | Can you import the statement, compare proceeds and mark basis as taxpayer-calculated? |
| Reports | Are Form 8949 and Schedule D totals available, along with CSV and PDF exports? |
| Limits, price and support | What transaction limit, tax year, jurisdiction and support level does the plan cover? |
CoinTracker
CoinTracker’s current product pages list integrations with more than 500 wallets, exchanges and blockchains, automatic categorization, transfer matching, cost-basis rebuilding and filing integrations. Its annual self-serve pricing page lists plans from $0 for tracking and previews to paid tiers reaching $1,999, depending on transaction limits. The company reports more than 3 million crypto investors; that is a vendor-reported figure, not an independent measure of accuracy. Verify the current plan limits and tax-year support before importing a large history.
Koinly
Koinly’s documentation says its disposal calculations use complete transaction history and that it provides CSV and PDF reports. That makes a complete import important: a report generated from only one exchange can assign the wrong basis when earlier acquisitions or wallet transfers are elsewhere. Confirm that the report format and supported jurisdiction match your filing needs.
DIY spreadsheet or database
A manual ledger can work when activity is limited and every source is available. Use immutable raw exports, a separate normalized table, formulas that allocate quantities by lot and a review column for each unmatched item. Once you have many addresses, frequent swaps or missing years, the time spent proving every match may exceed the cost of software or professional assistance.
Common failure modes and fixes
Only importing the year of sale
Symptom: the software labels old Bitcoin as having no basis or assigns a recent deposit as the acquisition.
Fix: import prior-year and closed-account history, then match the original acquisition lots before calculating the current disposal.
Treating every withdrawal as a sale
Symptom: a transfer between your own exchange and wallet produces an unexpected gain.
Fix: verify both addresses, match the blockchain transaction and mark the movement as an internal transfer. Keep any network fee as a separate record.
Best Value
Using an average balance
Symptom: the ledger has one blended Bitcoin basis with no lot dates.
Fix: restore each acquisition lot and document the ordering or specific identification used for every partial disposal.
Ignoring fees
Symptom: the quantity or basis differs from the exchange confirmation.

Record-retention checklist
Before filing, verify that the workpaper package can be understood by someone who did not build it.
- Raw CSV, PDF and API exports from every exchange, broker, wallet and payment source.
- A source map listing each account, wallet address and ownership status.
- Normalized transaction ledger with one timezone and a stated USD valuation convention.
- Transfer matches, unresolved-item log and explanations for manual edits.
- Lot table showing quantity, acquisition date, basis, fees and source evidence.
- Specific-identification instructions or the documented default ordering for partial sales.
- 1099-DA statements, proceeds reconciliation and notes for any basis correction.
- Form 8949 and Schedule D calculations, plus records for income events reported on other forms.
- Copies of filed returns and the software report or spreadsheet version used to prepare them.
When to get professional help
Consider a credentialed digital-asset tax professional when records are missing for an earlier year, ownership of an address is disputed, you used multiple DeFi protocols or bridges, you received mining or staking income, you had a fork or large volume of transactions, or a 1099-DA conflicts materially with your ledger. Provide the professional with raw exports and your reconciliation notes, not just a portfolio screenshot. Ask which jurisdiction, tax year and digital-asset activities the engagement covers.
