How to Share AI Workflows With Your Team Without Exposing Sensitive Data

Share the reusable AI method—not the confidential example. Review the full artifact, restrict access and verify the platform controls before sending it to your team.

Share the reusable method, not the confidential example. Keep the task instructions, decision rules and output format; replace real customer, employee or company information with synthetic or approved examples. Before sharing, inspect the entire workflow—including conversation history, files, connected services, permissions and any actions an agent can take—and limit access to the teammates who need it.

Separate the reusable workflow from sensitive material

A useful workflow usually consists of a goal, instructions, expected input, constraints and an output format. Those elements can often be shared without including the real records used to create or test it. For example, share a prompt that says “summarize the support issue, identify the next step, and return the result in these fields,” with a fabricated support example—not a customer’s transcript or account details.

Remove real names, customer identifiers, case details, credentials, internal URLs and pasted source material unless your organization explicitly permits their use and sharing. Preserve the pattern that makes the workflow useful: its sequence, decision rules, required context and expected result.

NIST’s 2024 Generative Artificial Intelligence Profile notes that third-party generative AI integrations can increase intellectual-property, privacy and information-security risks when third-party data is used as model input. Treat every example and connected source as a data-handling decision, not merely prompt-writing material.

Use this review process before sharing

  1. Check policy and classification. Confirm that the AI service, account and intended use are approved for the data involved. Follow your organization’s own labels and handling rules for public, internal, confidential or restricted material; those categories and their permitted uses vary by organization.
  2. Extract the pattern. Keep the task goal, prompt structure, workflow steps, decision rules and output schema. Remove sensitive real-world details that are not necessary to explain the method.
  3. Replace real examples. Use synthetic or approved sample inputs and outputs. Check that they do not retain recognizable details, secrets or combinations of facts that could identify a person or organization. Synthetic examples reduce exposure, but the sources cited here do not establish a universal method for making real data anonymous.
  4. Inspect the whole artifact. Review earlier conversation turns, quoted text, citations, generated output, attachments, task instructions, connected apps and shared links—not just the prompt visible at the top. OpenAI says supported images or uploaded files may be included when a ChatGPT conversation is shared and advises reviewing the content first.
  5. Limit the audience. Share with named teammates or approved groups where possible. Confirm recipients are authorized to access any referenced files or connected data, and check the access scope of links and connectors before enabling them.
  6. Constrain agent actions. Record which knowledge sources, APIs, external services, permissions and actions an agent needs. Prefer trusted sources. Require careful human review before sensitive actions, particularly when an agent processes untrusted input.
  7. Verify the platform’s actual behavior. Check the exact service, plan, feature, connector, retention terms and administrative controls in use. A statement that data is not used for model training does not by itself answer questions about storage, sharing, review, deletion, legal obligations or who can access the artifact.
  8. Make the shared workflow maintainable. Include its owner, intended use, data limits, required permissions, expected output and the date it was last checked. Provide a safe sample rather than a confidential transcript.

Review more than the prompt

A shared workflow may carry context beyond the instructions. A conversation can contain earlier turns, quoted material or attached files; an agent may also draw on connected services or external data. A recipient might therefore see or use information that was not obvious from the prompt itself.

  • Check whether the conversation includes customer, employee, financial or proprietary details in prior turns.
  • Open every attachment and inspect citations, generated output and quoted source text.
  • Identify connected apps, repositories, knowledge sources and external services, then check their permissions and data flows.
  • For automations, review what actions they can perform and where outputs are sent or stored.
  • Confirm whether sharing creates a link, a copy, or another artifact, and what happens when access is changed or the original is deleted.

Microsoft’s extensibility guidance recommends designing for the possibility of a breach when untrusted data sources are necessary, and not giving agents the ability to perform sensitive operations without careful human intervention. See Microsoft’s planning guidance for Copilot extensibility.

Workspace protections differ by product, feature and configuration. These official descriptions explain specific documented behavior; they do not establish that every sharing route in a given organization is safe or compliant.

ChatGPT Business

OpenAI’s ChatGPT Business sharing and privacy guidance, updated October 7, 2026, says workspace data is excluded from model training by default and encrypted in transit and at rest. It also says one member’s chat history is not automatically visible to other members. A user can share a conversation through a workspace link; depending on the sharing experience and recipient permissions, supported images or uploaded files may be included. Review the conversation before sharing.

Integral 4GB Crypto-197 256-Bit 3.0 USB Flash Drive Encrypted - FIPS 197 Certified, Brute Force Password Attack Protection & Waterproof Double Layer Design
  • Certified to FIPS 197 - U.S. Government Approved High Level Information Security Standard.
  • Protection against brute force password attacks - Data is automatically erased after 6 unsuccessful access attempts. The data of the USB flash drive type c encryption with dual connectors is destroyed and the cryptographic drive is reset.
  • Durable dual-layer waterproof design* — Protects the crypto reader from bumps, drops, run-in and immersion in water. The electronics are protected by a hardened internal case. Rubberized silicone outer case provides a final layer of protection.
  • Auto-Lock —The cryptographic key automatically encrypts all data and locks when removed from a PC/Mac or when screen protection or "computer lock" is enabled.
  • Secure Entry —Data on these flash drives cannot be accessed without the correct alphanumeric password of 8 to 16 characters. A password indication option is available for this flash drive. The hint cannot match the password.

OpenAI separately states that inputs and outputs from ChatGPT Business, Enterprise, Edu, Healthcare, Teachers and its API platform are not used to train or improve models by default. Its business data page also describes plan-dependent access management and security features. Do not extend those statements to other OpenAI products or account types without checking their terms.

Google Workspace Gemini

Google’s Workspace Privacy Hub says Gemini does not access Workspace content the user lacks permission to access, and describes protections for business, education and public-sector customers. It also documents feature-specific boundaries: Gemini Notebook creates a new copy of Drive files in Notebook data, and the documentation says Workspace sharing and data-region settings do not apply to that Notebook data; it also says Workspace DLP is not currently integrated with Gemini Notebook. Because feature behavior can change, verify the current documentation and your organization’s configuration before relying on these details.

Microsoft Copilot

Microsoft says Copilot can summarize or reference only content the user is authorized to access. Encrypted content may require EXTRACT and VIEW rights. Where supported, sensitivity labels can be inherited; SharePoint and OneDrive permissions and membership settings also affect access. The details are in Microsoft 365 Copilot architecture documentation.

Microsoft’s security guidance recommends restricting company-wide and “Anyone” links, requiring site sensitivity labels, applying default or automatic labels and using Purview DLP policies to restrict specified files or sensitive prompts. See SharePoint security recommendations. These controls depend on your organization’s setup; verify the relevant policies and permissions rather than assuming they are enabled.

Use a sharing checklist

  • Content: Does the artifact contain real personal, customer, financial, credential or proprietary information?
  • Context: Have you checked the full conversation, files, citations, outputs and instructions?
  • Access: Are recipients limited to the intended people, and are they authorized for referenced source material?
  • Connections: Are connectors, APIs and external sources necessary, understood and permissioned appropriately?
  • Actions: Can an agent make changes, send information or trigger sensitive operations? If so, is careful human review required?
  • Platform: Do the service, plan, feature and organization settings match the protections you are relying on?
  • Ownership: Does the workflow identify its owner, purpose, data limits and last review date?
