Do these 3 things before closing this tab:
1Repair Windows errors before they cause bigger problems2Fix the driver behind crashes, sound loss and screen glitches3Clear out junk files and repair common Windows errorsStart with one collaborative workflow your team already performs, not an attempt to rebuild the whole company inside a new app. Map the current process, set up one project or list around its real steps, give tasks clear owners and due dates where timing matters, and add structure only when the team has a recurring need for it.
Start with the work, not the software
Before configuring a workspace, write down how one important piece of work moves through your team today. Note where it begins, who handles it, where handoffs happen, which tools are already involved, and where work tends to stall. Preserve practices that are working; the goal is to make the process easier to see and coordinate, not to replace every existing habit.

Choose a workflow with a clear deliverable and enough collaboration to benefit from shared visibility. Asana’s adoption guidance recommends assessing current processes and tools, then beginning with one high-impact workflow rather than migrating everything at once. A launch checklist, customer-request review, or recurring content approval process might be a suitable first candidate if your team already handles that work together.

Build one simple project or list
Match the container to the work. Use a project for coordinated work involving multiple steps or people, a task for an individual action, and subtasks when a task needs smaller pieces or contributors. For an ongoing process, stages such as “New,” “In review,” and “Complete” may make progress clear. For work bounded by a deadline, phases or time periods may fit better. Asana’s project setup guidance and workflow foundation describe these kinds of structures.

Make each task an action or output that someone can recognize as complete: “Review homepage copy” is more useful than “Website.” Assign an owner, and add a due date when timing matters. A readable board or list should make it clear what the work is and what happens next.
Add only fields that answer a recurring question
Extra fields can help when the team repeatedly needs the same information to decide or report. Possible examples include status, priority, requester or department, estimated budget, or actual cost. Add a field only when someone will use it; otherwise it becomes another detail to maintain. Use short, unambiguous names so teammates know what to enter. Asana’s workflow guidance offers these examples and naming advice.

Choose the view that makes work easiest to act on
Use a board or list when the important question is what stage each item is in. A timeline or calendar can be more useful when dates and sequencing are central. Pick a default view that makes the work the team needs to act on visible when it opens the project. Asana documents these project patterns and views in its project guidance.

Introduce the workflow and look for signs it is working
Explain what belongs in the new project, who updates it, and how the team should use it during handoffs. Set a small, practical success measure—for example, whether owners are updating their tasks or whether teammates can tell what is waiting for review. Ask a few trusted team members to champion the workflow and surface confusion early. Asana’s adoption guidance recommends clear success measures, champions, and starting with a workflow people will use often.

Once the team has used the workflow, check whether the project makes ownership and next steps easier to see. If people are not updating tasks, first clarify expectations or simplify the structure; adding more fields or rules will not solve an unclear process.
Expand only when a real need appears
Make recurring work repeatable
If the team has settled on a process it repeats, save its proven structure as a template rather than designing a new one each time. If incoming requests follow a consistent pattern, an intake form can collect the necessary details at the start. ClickUp documents Forms and templates in its small-business setup guidance; Asana also covers project templates in its project guidance.

Connect tools or automate a specific handoff
Consider an integration or automation only after you can identify the friction it should remove, such as duplicate entry, a missed handoff, or poor visibility. Both Asana and ClickUp document integrations and automation as configuration options, but their setup materials do not establish that every startup needs them at the outset. ClickUp’s project-management guidance describes these options.
Compare software against the same workflow
Do not choose a product by counting features in the abstract. Set up the same real workflow in the products you are considering, then assess whether each makes the work understandable and maintainable.

Keep the first version deliberately small
Asana Help Center puts the principle succinctly: “When in doubt, build the simplest version that reflects your real steps.” (Asana workflow-foundation guidance.) A useful first setup is one the team can keep current. Let real use—not the possibility of adding another feature—tell you what to configure next.
