In QuickBooks Online, expense categories are accounts in your Chart of accounts. Review those accounts first, then create a bank rule for a recurring transaction you can identify reliably. A rule can categorize a transaction for review; automatically posting it is a separate setting. The steps below reflect the US QuickBooks Online interface documented on October 4, 2026. Labels and available options may vary by plan and company settings.
Before you create expense categories, review your Chart of accounts
Go to All apps > Accounting > Chart of accounts. Look for an existing account that accurately describes the kind of transaction you need to track. Reuse it when it fits rather than making a near-duplicate; the chart feeds financial statements, so a clear, manageable list is more useful than one account for every vendor.

An account’s account type determines how QuickBooks classifies it for financial reporting. Its detail type provides a more specific description and organization; it does not change the account’s accounting behavior. For ordinary operating costs, an Expense account may be appropriate, but the correct account type depends on the transaction’s nature and the business’s accounting treatment.
- Do not treat a loan, owner draw, transfer, or fixed asset as an ordinary expense just because money left a bank account.
- A purchase may belong in an asset or cost-of-goods-sold account rather than an Expense account.
- When the proper classification is unclear, ask the business’s accountant. These setup steps are not tax or accounting advice for a particular business.
Add an account only when the chart needs one
- In All apps > Accounting > Chart of accounts, select New account.
- Enter a recognizable account name, then choose the appropriate account type and detail type.
- Save the account. For a balance sheet account—such as a bank, asset, credit-card, liability, or equity account—QuickBooks asks for an opening balance and an “As of” date.
Account limits depend on the QuickBooks Online plan, so check the current terms for your plan rather than relying on a universal account count. If limits are an issue, Intuit documents making unused accounts inactive.

Create a bank rule for a recurring expense
Rules work best when transaction details consistently identify the expense. Start with a stable vendor or repeat item, not a broad word that could match unrelated purchases.
- Go to All apps > Accounting > Rules > New rule.
- Name the rule so its purpose is easy to recognize. Select Money out for an expense, then choose the specific bank or card account—or all accounts—to which the rule should apply.
- Add conditions using Description, Bank text, or Amount. Conditions can use Contains, Doesn’t contain, or Is exactly. Use the narrowest combination that reliably identifies the intended transactions.
- Choose what QuickBooks should apply, such as the transaction type, category, tags, and payee, as appropriate. Save the rule.
- Review rule order if more than one rule could match. QuickBooks applies the highest-priority matching rule first.
Intuit QuickBooks Help stated in its September 2026 US bank-rules documentation that a rule can have up to five conditions and QuickBooks supports up to 2,000 bank rules. Product limits and interface labels can change.

Description or Bank text?
Description is a simplified transaction description; Bank text is the full text supplied by the bank. The default transaction list may show Description, while a setting can display the full bank description. If a rule does not match as expected, check which field its condition uses and compare it with the transaction details available in the feed.

A rule can assign a category while leaving the transaction in the review flow. In that case, inspect the result and correct the category or other details before accepting it. Rule-matched transactions show a RULE badge in the Category field.

Auto-post is separate: enabling it for a rule automatically adds eligible matching transactions to the books without the usual individual approval. Use it only for a targeted rule whose match and category are predictable. Intuit QuickBooks Help recommends starting with “simple, consistent transactions like rent or gas expenses.”
Choose the right level of categorization automation
| Method | How it works | What to keep in mind |
|---|---|---|
| Manual review | You decide whether to accept or change a suggested category, match an existing entry, or split the transaction. | Useful when context matters or the classification is uncertain. |
| Bank rule | A condition-based rule applies choices such as category and payee when transaction details match. | Rules are deterministic; narrow conditions and rule priority matter. A rule does not by itself mean the transaction is automatically posted. |
| Auto-categorization | QuickBooks uses vendors and prior categories to categorize familiar expenses it considers high-confidence. | Rules run first. This feature applies to remaining eligible transactions, and users can review, edit, undo, or switch it off. |
| Auto-post | Eligible transactions matched by a rule are automatically added to the books. | This skips the usual transaction-by-transaction approval, so reserve it for predictable matches. |
Auto-categorization is distinct from bank rules. Intuit says it excludes money-in transactions, contextual cases such as loans, owner draws, transfers, and check payments, expenses already categorized by user rules, and transactions without enough history. Unmatched or context-sensitive transactions remain for manual review.

Change a category or split a transaction
For a transaction in the bank-feed review flow, inspect the suggested category and choose whether to accept it, change it, match the transaction to an existing entry, or split it. If the category is wrong, select the appropriate account before adding the transaction to the books. The right category depends on the transaction’s accounting treatment, not just its bank description.

Use Split when one payment genuinely covers more than one category. Assign each portion to its appropriate account and enter amounts until the difference is zero. This allocates the single payment across categories rather than forcing the whole transaction into one account.
If the menus or options differ
These paths and labels describe the US QuickBooks Online documentation checked on October 4, 2026. Intuit may change the interface, and plan or company settings can affect available options. If you cannot find a menu, use QuickBooks’ in-app search for the feature name, such as “Chart of accounts,” “Rules,” or “auto-categorization,” and check the current help page for your edition.
