How to Set Up Everything Search on Windows

Set up Everything with the right Windows build and NTFS service, then add non-NTFS and network locations through folder indexing. This guide covers first-run indexing, search syntax, content-search limits, and troubleshooting.
Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Install Everything with the official guided installer, choose the build that matches your Windows architecture, and enable the Everything service for native NTFS indexing. After the first index is created, filename searches work by typing in the search box; add network shares, non-NTFS volumes, or uncovered folders under Tools > Options > Folders.

Choose the right installation path

Everything has two official distribution styles. The guided installer is the practical choice for most Windows PCs because it configures the application and exposes optional integration settings. The portable package is useful when you want to extract the program to a chosen directory and run Everything.exe without a conventional installation. The documentation says the portable version makes no system changes.

Path What it does Best fit Important limitation
Guided installer Installs Everything and presents service, startup, shortcut, context-menu, and association choices. A normal desktop installation that should index local NTFS volumes automatically. You must select the build and options during setup.
Portable package Extract the files to a folder and launch Everything.exe. Running Everything from a chosen directory without a system installation. You configure and launch it yourself; installer integrations are not added automatically.

Match the Windows architecture

The official installation guide provides x86, x64, ARM, and ARM64 variants, each with its own platform requirements. Select the package that matches the architecture reported by Windows rather than assuming that one download works for every PC. If you are unsure, check the System type information in Windows before downloading. Choosing the matching build is part of setup, not an optional performance tweak.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Installer or portable: a practical decision

Use the installer if Everything will be a normal part of your desktop workflow, should start with Windows, or should be available from a folder’s right-click menu. Choose portable when you need to keep the executable in a chosen directory and avoid a conventional installation. Portable mode does not automatically add the installer’s shortcuts, startup entry, context-menu command, protocol associations, or file associations, so you launch and manage it yourself.

What the installer can add

Startup launch, desktop or Start-menu shortcuts, a folder right-click command named Search Everything…, protocol or file associations, and similar integration options are convenience features. They are not prerequisites for indexing or searching. Enable only the items that fit the way you use Windows. For example, startup launch is useful if you search files throughout the day, while a context-menu entry is useful if you usually begin with a particular folder. Leaving both disabled does not prevent Everything from working.

Install Everything with the NTFS service

For ordinary local NTFS volumes, select the Everything service option offered by the installer. The service performs the low-level indexing and change monitoring while the main Everything window can run as a standard user. The official service documentation describes this as the way to index and monitor NTFS volumes without running Everything as administrator.

  1. Download the guided installer from the official voidtools Everything download page.
  2. Run the installer and select the build matching your Windows architecture.
  3. When the installer presents NTFS indexing choices, enable the Everything service option.
  4. Review the optional startup, shortcut, context-menu, protocol, and association settings. Leave any option you do not need disabled.
  5. Complete the installation and launch Everything.

Running the main application as administrator is an alternative, but it is not required when the service is installed and operating. The service choice is therefore the normal setup for a shared Windows account or any situation in which you want the search window to remain a standard-user application.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Why the service is the normal NTFS choice

Native NTFS indexing is not merely a one-time scan. Everything also needs to notice changes as files are created, renamed, or removed. The service handles that low-level indexing and monitoring work. The main interface can then remain a standard-user process, which avoids making administrator elevation a routine part of opening a search window. If you selected the service but local volumes are not appearing, check the service and its configuration before switching the entire application to administrator mode.

What to expect after installation

Do not judge the setup by whether an optional shortcut was created. The meaningful tests are that Everything opens, the local NTFS volumes appear in its index, and a known filename can be found. Startup and shell integration affect convenience, not the basic filename index.

Wait for the first index, then run a filename search

On first launch, Everything creates its local NTFS index automatically. The initial pass normally takes a few seconds according to the official usage guide, although the exact time depends on the amount of data and the volumes Windows exposes. The result list updates as you type in the search box.

  1. Open Everything after installation.
  2. Allow the initial NTFS indexing pass to finish.
  3. Click the search box and enter part of a filename, such as invoice.
  4. Use the result list to open a file or folder, or refine the query with a path, drive, exclusion, or extension.

This default index is a filename-and-path index. It is not a promise that the text inside every document is searchable; content indexing is a separate feature described later.

A quick first-run test

Start with a short, distinctive fragment of a filename rather than a complex expression. A query such as invoice confirms that the interface is responding and that the basic index contains matching names. If you know the file is on a particular volume, add a drive scope such as d:. Once that works, test a path or extension. This sequence separates an indexing problem from a query that is simply too restrictive.

Everything is designed to show matches while you type. You do not need to wait for a separate Windows Search-style results page after each query. You do need to wait for an added folder’s initial scan, because that location is not searchable until its scan has completed.

Add network shares, external media, and other folders

Native NTFS indexing is intended for local NTFS volumes. Use folder indexing when the location is a network share, mapped drive, FAT32 or exFAT volume, or another folder that is not covered by Everything’s native NTFS index. An external drive can fall into either category: if Windows presents it as a local NTFS volume that Everything indexes natively, no folder entry is needed; otherwise add the required folder manually.

  1. Open Tools > Options.
  2. Select Folders.
  3. Click Add and choose the folder, mapped location, share, or other storage path.
  4. Confirm the selection and close the options dialog.
  5. Wait for the first scan of that location to complete before treating an empty result as a failure.

Folder indexing does not require administrative privileges or the Everything service. Its first scan can take minutes, and the folder is not available to searches until that scan has completed. Folder indexing is also slower than native NTFS indexing because it uses an approach similar to Windows Search rather than the NTFS change information used by the service.

How to handle an external drive

First identify the drive’s file system and how Windows exposes it. A local NTFS external disk may already be covered by the native NTFS index. A FAT32 or exFAT disk, a drive mounted through a network path, or a removable location that is not included automatically should be added under Folders. Add the specific folder or drive path, then allow the initial scan to finish. You do not need to run Everything as administrator merely because the disk is external.

For an NTFS volume that is already handled through the NTFS index, use the NTFS settings rather than adding the same volume as a folder. Keeping each location in the indexing method intended for it prevents overlapping result sets.

Folder indexing and access

Folder indexing does not grant access to files that Windows itself cannot read. Select a path that is available to the account using Everything, and confirm that the share or removable disk is connected. If a newly added network location is empty, first check the connection and then check whether its initial scan is still running. Rebuilding an index cannot make a disconnected share appear.

Understand the three kinds of indexing

Indexing method Typical locations Administrator or service requirement What it searches Timing and behavior
Native NTFS indexing Local NTFS volumes Best configured with the Everything service; the main app can remain a standard-user process. File and folder names and paths. Initial index is usually created within seconds; changes are monitored quickly.
Folder indexing Network shares, mapped drives, FAT32, exFAT, and other selected folders No administrator access and no Everything service required. File and folder names and paths in the selected folders. Initial scans can take minutes and are slower than native NTFS indexing.
Content indexing Text inside files covered by the Windows index Separate configuration; not the default filename index. Indexed file content when queried through the Windows index. Requires Everything 1.5 according to the Options documentation.

These methods solve different coverage problems. Native NTFS indexing is the preferred route for local NTFS volumes because it is fast and monitors changes. Folder indexing extends filename-and-path searches to locations outside that native route. Content indexing is about text inside files and is separately configured; it should not be confused with either filename index.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

The Options documentation notes that an NTFS volume can also be indexed through folder indexing in some circumstances. That does not make it a good default. Adding an already natively indexed NTFS volume as a folder can produce duplicate results, so keep NTFS volumes in the native NTFS configuration unless you have a specific reason to use a different method.

Use search syntax to narrow results

Everything starts matching as soon as you type, but simple operators make large indexes manageable. These examples come from the official search guide.

Goal Query Effect
Find PDF invoices invoice *.pdf Requires both the term invoice and a PDF filename pattern.
Exclude drafts !draft *.docx Finds Word documents while excluding names that match draft.
Search one drive d: Limits results to drive D.
Search either of two drives c: | e: Returns results from drive C or drive E.
Limit results to a folder C:WindowsMedia The trailing backslash identifies a folder path.
Handle spaces in a path "c:program files" Quotes the path so the spaces are treated as part of one expression.

Build a query in stages

When a result set is large, add one restriction at a time. Begin with a term, add an extension such as *.pdf, then scope it to a drive or folder. To remove unwanted names, add an exclusion such as !draft. This makes it easier to see which part of a query removed an expected match.

Search options can make a query appear unexpectedly narrow. Check whether Match Case, Match Whole Word, Match Path, Match Diacritics, or Enable Regex is active before assuming that a file is missing. A selected filter can also restrict the result type or location, so verify the filter whenever a query returns less than expected.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Search inside file contents when you need it

Everything’s normal index is for filenames and paths. Searching the words inside documents is a separate capability and should not be inferred from a successful filename setup.

The Options documentation identifies content indexing as requiring Everything 1.5. It also documents the si: search function, which asks the Windows index for content matches. This is distinct from native NTFS filename indexing and from folder indexing. If your goal is to find a phrase inside a document, configure the content-indexing feature supported by your Everything version and use the documented si: form; otherwise, a filename query will not inspect document text.

Consequently, a successful search for report proves only that a name or path matches. It does not prove that a document contains the word “report.” Treat filename search and content search as separate setup decisions, and verify that your installed version supports the content feature before relying on it.

Fix missing results

Work through these checks in order. Each one addresses a different reason a file can be absent from the result list.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
Symptom Likely cause Action
No results even for a filename you know exists A restrictive filter or search option is active. Check the selected filter and turn off Match Case, Match Whole Word, Match Path, Match Diacritics, or Enable Regex unless you intentionally need it.
A local NTFS file is absent The volume is not configured or the service/settings are not operating as expected. Verify the volume in the NTFS index settings and confirm the Everything service and its configuration.
A network, FAT32, exFAT, or selected external folder is absent The path has not been added to folder indexing, or its first scan is still running. Use Tools > Options > Folders > Add, then wait for the initial scan to finish.
A newly added folder appears empty Folder indexing has not completed its first scan. Allow the scan, which can take minutes, to complete before testing the query again.
The same file appears twice An NTFS volume is indexed natively and has also been added as a folder index. Remove the duplicate folder entry and leave the NTFS volume in the native NTFS index.
The index appears stale after configuration changes The existing index needs to be regenerated. Open Tools > Options > Indexes and choose Force Rebuild.

Check the storage method before rebuilding

Rebuilding is not the first response to every missing file. First identify where the file lives and which indexing method covers that location. Native NTFS volumes belong in the NTFS settings; shares and non-NTFS folders belong in the Folders list. Rebuilding the wrong index will not add an unconfigured path.

Check the active search state

If the location is configured correctly, inspect the filter and matching options. A query can be valid yet return nothing because Match Case, whole-word matching, path matching, diacritics, regular expressions, or a restrictive filter changes what counts as a match.

When Force Rebuild is appropriate

Use Tools > Options > Indexes > Force Rebuild after you have confirmed the volume or folder is configured and the existing index still appears stale. The rebuild regenerates the index; it does not replace the need to add a network share, non-NTFS volume, or other uncovered path in the first place. Allow the rebuild to finish before drawing conclusions from an incomplete result list.

Do you need to run Everything as administrator?

No, not for the recommended NTFS setup. Install the Everything service so it performs NTFS indexing and change monitoring while the main program runs as a standard user. Folder indexing likewise does not require administrator access or the service. Running Everything as administrator remains an available alternative, but it is not necessary simply to obtain native NTFS results.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Common setup mistakes to avoid

  • Choosing a build without checking architecture: use the Windows System type information and select x86, x64, ARM, or ARM64 accordingly.
  • Adding every NTFS drive under Folders: local NTFS volumes are normally covered by the native index; duplicating them can produce duplicate results.
  • Expecting content search by default: the normal index covers names and paths, while content indexing is separate and requires Everything 1.5.
  • Testing a folder before its first scan finishes: folder indexing can take minutes, especially for a network or large removable location.
  • Elevating the main app unnecessarily: the Everything service is intended to provide NTFS indexing while the interface runs as a standard user.
  • Debugging the index before checking filters: Match Case, Match Whole Word, Match Path, Match Diacritics, Enable Regex, and the selected filter can all narrow valid results.

A reliable setup decision in one minute

  1. Choose the guided installer unless you specifically need a no-install portable executable.
  2. Match x86, x64, ARM, or ARM64 to the architecture shown by Windows.
  3. Enable the Everything service for local NTFS volumes.
  4. Launch Everything and wait for the initial index.
  5. Type a partial filename to test the native index.
  6. Identify each external or secondary location by file system and connection type.
  7. Add only uncovered network, mapped, non-NTFS, or other folders through Tools > Options > Folders.
  8. Wait for each folder’s initial scan before testing it.
  9. Use search operators and review filters when results are too broad or too narrow.
  10. Configure content indexing separately if you need to search inside file text.
  11. If results are stale, verify the storage method and settings before using Tools > Options > Indexes > Force Rebuild.

Frequently Asked Questions

How do I set up Everything search on Windows?

Download the official guided installer, choose the build matching your Windows architecture, enable the Everything service for local NTFS volumes, and launch the program. Wait for the initial index, then type a partial filename in the search box. Add network, non-NTFS, or otherwise uncovered folders under Tools > Options > Folders.

Do I need to run Everything as administrator?

No. With the Everything service enabled, the service handles NTFS indexing and change monitoring while the main application runs as a standard user. Folder indexing also requires neither administrator access nor the service.

How do I get Everything to search an external drive?

If the external drive is a local NTFS volume already covered by native NTFS indexing, no extra folder entry is needed. For FAT32, exFAT, network-mounted, or otherwise uncovered storage, add the drive or required folder under Tools > Options > Folders and wait for the initial scan.

Why is Everything not finding my files?

Check the selected filter and make sure Match Case, Match Whole Word, Match Path, Match Diacritics, and Enable Regex are not restricting the query unintentionally. Then verify that the file’s location is in the correct NTFS or Folders index and that any initial scan has finished.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Why does Everything show the same file twice?

The NTFS volume is probably indexed natively and also added as a folder index. Remove the duplicate folder entry and keep the volume in the native NTFS index.

Can Everything search inside documents?

The normal Everything index searches filenames and paths, not document text. Content indexing is a separate feature identified in the Options documentation as requiring Everything 1.5, and the documented si: function queries the Windows index for content matches.

How long does folder indexing take?

The first scan can take minutes, depending on the location and amount of data. The folder is unavailable to searches until that initial scan completes, so an empty result during the scan is not necessarily an error.

What should I do if the index is stale?

First confirm that the location is configured in the appropriate index and that filters are not hiding results. If the configuration is correct, open Tools > Options > Indexes and choose Force Rebuild.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

The Bottom Line

Use the guided installer with the Everything service for local NTFS volumes, then test a known filename after the first index completes. Add network, removable, FAT32, exFAT, or other uncovered folders through Tools > Options > Folders, avoid indexing an NTFS volume twice, and treat content search as a separate Everything 1.5 feature.
