To set one up, open the Space, Folder, Subfolder, or List where it should apply, select the robot icon, choose a trigger, add any needed conditions, and configure the actions. Before relying on it, confirm the rule’s scope, your permissions, and your plan’s usage limits.
How ClickUp Automations work
An Automation is a rule built from a trigger, optional conditions, and one or more actions. The trigger is the event that starts the rule; conditions narrow which tasks qualify; and actions make the requested changes. For example, a trigger might be a task status change, a condition might limit the rule to tasks with a particular assignee, and an action might update a field.

Automations follow the location hierarchy. A rule created in a List applies to tasks in that List, while a Folder-level rule can affect tasks in its Lists and Subfolders. ClickUp describes this as affecting “all tasks beneath them in the Hierarchy.” Choose the narrowest location that contains the intended tasks so the rule does not change more work than expected. ClickUp’s Automation limits and availability documentation explains scope and limits.
Before you create a rule
- Confirm the Automation ClickApp is on. A Workspace owner or admin must activate it. Members, admins, and owners can create Automations when their location permissions allow; some guest and view-only roles cannot.
- Check the plan allowance. The current published limits, accessed October 7, 2026, are below. These quotas can change, so check ClickUp’s live availability and limits page in your Workspace before designing a workflow around a specific allowance.
- Know the per-rule caps. ClickUp lists a maximum of one trigger, 15 conditions, and six actions per Automation.
- Decide what belongs in the rule. Use conditions to prevent unrelated tasks from qualifying, and keep the location scope as precise as possible.
| Plan | Active Automations | Monthly actions | Usage history |
|---|---|---|---|
| Free Forever | 5 | 100 | 1 day |
| Unlimited | 500 | 1,000 | 1 day |
| Business | Unlimited | 5,000 | 1 day |
| Business Plus | Unlimited | 25,000 | 30 days |
| Enterprise | Unlimited | 250,000 | 6 months |
These are the limits listed in ClickUp Help’s “Automations feature availability and limits” page, accessed October 7, 2026. “Unlimited” refers to the number of active rules, not action consumption; every plan shown has a monthly action allowance.

How to create a ClickUp Automation
- Open the intended location. Go to the Space, Folder, Subfolder, or List where the rule should operate, then select the robot icon.
- Choose Create Automation. Pick a suggested Automation or template if it fits. Choose a custom Automation when you need to specify a different workflow.
- Select the task scope and trigger. Choose whether the rule applies to tasks or subtasks and, if relevant, the task-creation source. Select one trigger event. Trigger choices and settings can vary; refer to ClickUp’s trigger reference for the options shown in your workspace.
- Add conditions if needed. Conditions make the rule apply only to tasks that meet the criteria you set. ClickUp says conditions are available on Business and above. Leave them out when every task matching the trigger should receive the action.
- Configure the actions in order. Choose what ClickUp should do after the trigger and conditions match. Most Automations can run multiple actions, up to the six-action limit.
- Name the rule and create it. Add an optional name and description to make the rule easier to identify, then select Create.
- Check usage and activity. Use the Automation activity and usage views to see action consumption and whether dispatched actions succeeded or failed.
For the current creation flow, see ClickUp’s guide to creating an Automation.
How action limits and conditions affect usage
ClickUp resets monthly action limits on the first of each month in Pacific Standard Time (PST). An action counts when it is dispatched, even if it fails. An action skipped because a condition was not met consumes no actions. If the monthly allowance is exceeded, Automations pause for the remainder of that monthly cycle. These rules make conditions useful both for precision and for avoiding actions on tasks that should not qualify. ClickUp documents the counting and reset rules here.

Email actions
An Automation containing a Send Email action can contain only additional Send Email actions. To pair email with another type of change, such as updating a task field, use separate Automations. ClickUp’s creation guide suggests giving them the same trigger or using a field or status change from one rule to start the other.

Subtasks and due dates
Rules triggered by subtasks can also be triggered by nested subtasks. An action to create another subtask works only when the triggering subtask is not the lowest subtask. Moving a nested subtask can move its top-level parent and all subtasks as well. A due date set to “Today” triggers at 4 a.m. unless a time is specified.
Integration Automations
ClickUp’s integration guide lists Bugsnag, Calendly, Email, GitHub, Google Calendar, Google Drive, Gmail, HubSpot, Slack, Twilio, and Outlook Mail as supported integration Automation apps. Examples include creating a task from a Google Calendar event and updating a task after a GitHub pull request is merged. To use one, choose an integration trigger or action, or select an app template, then configure the rule. Availability depends on plan and role. See ClickUp’s integration Automation guide for details.

How to troubleshoot an Automation
- The rule cannot be created: Ask a Workspace owner or admin to confirm the Automation ClickApp is active, and verify that your role has permission for the selected location.
- It runs on unexpected tasks: Check whether it was created at a Folder or higher location that includes more Lists or Subfolders than intended; add conditions or move the rule to a narrower scope.
- It stops running: Review monthly action usage. Once the allowance is exceeded, Automations pause until the next monthly reset.
- An action did not complete: Inspect the activity view. A dispatched action counts even if it failed, whereas an action skipped because a condition was unmet does not.
- More than one rule changes the task: Automations with the same trigger fire at the same time. Review each rule’s trigger, conditions, and actions to identify overlapping changes.
