How to Set Up Back-in-Stock Notifications in WooCommerce

Set up WooCommerce back-in-stock notifications with the official extension, from installation and catalog visibility to thresholds, waitlists, testing, and delivery troubleshooting.
Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

WooCommerce does not include a complete “notify me when back in stock” workflow in its core plugin. To let shoppers join a waitlist and receive an email when inventory returns, install the official WooCommerce Back In Stock Notifications extension, expose the sold-out product pages, and configure the extension’s consent, account, threshold, and delivery settings.

The setup below covers simple and variable products, minimum-stock alerts, guest signups, double opt-in, testing, background processing, and the most common reasons notifications fail.

What the WooCommerce back-in-stock flow does

The Back In Stock Notifications extension adds a signup form to supported products that are currently unavailable. A shopper enters an email address (or uses the address already associated with a logged-in account), submits the request, and waits for the product or variation to become eligible for notification. When the stock condition is met, WooCommerce creates a recipient queue and sends messages in batches through Action Scheduler.

This is different from merely displaying an “Out of stock” label. The extension records an individual request for a product or variation, applies your consent and verification rules, and removes the need for the customer to keep checking the catalog manually.

WooCommerce describes the feature as a way to recover sales that might otherwise be lost when an item is unavailable. Its Store Owner’s Guide also says that some studies suggest up to 20% of customers receiving a stock notification may return to complete a purchase. WooCommerce does not identify the underlying study or provide a universal benchmark, so treat that figure as a vendor-reported suggestion rather than a guaranteed conversion rate.

Before you install: requirements and scope

Documented environment requirements

The Store Owner’s Guide documents these minimums for the extension:

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  • PHP 7.4 or later.
  • WordPress 6.2 or later.
  • WooCommerce 8.2 or later.
  • Hosting that allows Action Scheduler to process background jobs and permits the required loopback requests.

These are the requirements documented for the extension and can change as new releases are published. Check the current extension documentation and your store’s WordPress, WooCommerce, PHP, theme, and hosting compatibility before installation.

Product types that can accept signups

The Store Owner’s Guide lists support for:

  • Simple products.
  • Variable products and their individual variations.
  • Product Bundles.
  • Simple Subscription products.
  • Variable Subscription products.

Products on backorder are not supported for signups. A customer can register only once for a particular product or variation with the same email address. If a variable product has several sizes or colors, the request is tied to the selected variation, not automatically to every variation in the parent product.

What shoppers see

Logged-out visitors enter an email address in the notification form. Logged-in customers can use the Notify me control without re-entering the address associated with their account. Whether a customer must be logged in, whether unverified requests are deleted, and whether a second confirmation email is required are all settings you review in the extension panel.

Install and activate the official extension

  1. Download the ZIP. Obtain the extension ZIP from your WooCommerce account. Keep the original file available in case you need to reinstall the same release or compare versions during troubleshooting.
  2. Open the plugin uploader. In WordPress administration, go to Plugins > Add New, then select Upload Plugin.
  3. Choose and install the file. Select the downloaded ZIP, start the installation, and wait for WordPress to report that the plugin was installed successfully.
  4. Activate it. Select Activate Plugin. If WordPress reports a PHP, WordPress, or WooCommerce incompatibility, stop and resolve that environment issue before configuring notifications.
  5. Confirm background processing is possible. The extension relies on Action Scheduler. Your host must allow scheduled tasks and loopback requests; a site with disabled WP-Cron or blocked loopbacks can collect signups but fail to process the notification queue.

Installing the extension alone does not make a signup form visible. Catalog visibility and the stock settings below determine whether a shopper can reach an unavailable product and submit a request.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Make sold-out products reachable

  1. In WordPress administration, open WooCommerce > Settings > Products > Inventory.
  2. Locate Hide out of stock items from the catalog.
  3. Disable that option and save the settings.

If this setting remains enabled, out-of-stock products or variations can disappear from catalog and search views. Customers then have no product page on which to join the waitlist. This setting controls catalog visibility; it does not force every product to show a notification form. Product-level stock status, type, variation selection, and the extension’s own rules still apply.

Configure global notification settings

Open WooCommerce > Settings > Stock Notifications. Review each setting against your store’s privacy policy, purchasing flow, and inventory process before inviting customers to subscribe.

Double opt-in and consent

Double opt-in can require a shopper to confirm the request from a verification email before the address enters the active notification list. An explicit consent checkbox is also available for stores that need affirmative permission before sending the stock message. Decide whether your legal and marketing requirements call for one or both controls, and make the checkbox wording understandable at the point of signup.

Double opt-in adds a step, so a customer who submits the form but never confirms should not be treated as an active recipient. The extension includes a setting for deleting unverified signups; choose a retention period or deletion behavior that matches your data-retention policy.

Account requirement

You can determine whether customers must have an account to subscribe. Requiring an account gives you an authenticated customer record but adds friction for first-time or guest shoppers. Allowing guest signups lets a visitor provide an email address directly. Logged-in customers can use the Notify me button with their existing account email.

Minimum stock quantity

The minimum-stock setting prevents an alert from being released as soon as one unit appears if you want a larger quantity available. For example, if the threshold is set to five, the extension can hold the queue until the product or variation reaches at least five units. The threshold is a release condition, not a promise that every subscriber will be able to buy: other shoppers can purchase inventory while messages are being sent.

Use a threshold that reflects your replenishment pattern. A low threshold can alert customers quickly but may lead to stock disappearing before they arrive. A higher threshold delays the message until a more meaningful quantity is available, which can be useful for products that sell out immediately after a small restock.

Product-page behavior

The extension’s settings control the notification form and related product-page behavior. Check how the form is presented beside the out-of-stock status, whether the customer receives confirmation text, and how the control appears for variations. Use the individual product editor for exceptions rather than changing a global rule for the entire store.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Set product- and variation-level behavior

Global settings establish the default workflow, but individual products can require different treatment. Edit a supported product in WooCommerce and inspect the inventory or stock-notification controls associated with its out-of-stock status.

Simple products

For a simple product, the notification form appears when the item is out of stock and otherwise meets the extension’s rules. Confirm that stock management is configured correctly and that the product is not hidden from the catalog.

Variable products

For a variable product, customers generally need to choose a specific unavailable variation before subscribing. A request for a medium black shirt should not be assumed to cover a large blue shirt. Test each variation that you sell, especially when the parent product is visible but only some child variations are unavailable.

Subscriptions and bundles

Simple Subscription, Variable Subscription, and Product Bundles are listed as supported types. Verify the form and notification behavior on a staging copy or a low-risk product before enabling the workflow across a large subscription catalog. Bundled inventory can depend on component stock, so confirm that the item becomes genuinely purchasable when the threshold is reached.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Backorders

Do not expect a signup form for a product on backorder. Backorder purchasing and waitlist notification are separate flows: a backorder lets a customer place an order despite unavailable inventory, while a notification request waits for a future in-stock condition.

Run a customer-facing test

  1. Create or select a test product that is supported by the extension.
  2. Set the product or a specific variation to out of stock and verify that it is still visible in the catalog and reachable by direct URL.
  3. Open the product as a logged-out visitor in a private browser window. Confirm that the Notify me form appears and that an email address can be submitted.
  4. If your store permits account signups, repeat the test while logged in. Confirm that the account email is used without requiring duplicate entry.
  5. Complete the double opt-in step if it is enabled. Check the consent checkbox if your configuration requires one.
  6. In administration, go to WooCommerce > Stock Notifications > Notifications. Confirm that the request is recorded.
  7. Use the available filters to find the request by email, product, or variation. The documentation states that these records can be exported to CSV.
  8. Increase stock or change the stock status in the same way your inventory team normally does. Watch the notification queue and email delivery rather than relying only on the product-page message.

Test with a real customer-facing path, not only an administrator preview. Themes, caching, variation scripts, consent plugins, and account restrictions can alter what shoppers see.

How the restock queue and minimum threshold work

When WooCommerce detects a transition from out of stock to in stock, the extension builds a recipient queue. Action Scheduler then processes that queue in batches. This design avoids trying to send every message in one web request, but it also means that a stock change and the first outgoing email are not necessarily simultaneous.

If a minimum stock quantity is configured, the extension can defer queue processing until the product or variation reaches that number. The threshold must be satisfied for the relevant item; adding stock to one variation does not satisfy a threshold for another variation.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Batch processing also means that a large list can take time to complete. Do not repeatedly toggle stock status to force a message. Instead, check the scheduled actions and mail logs, confirm that the product has reached the configured threshold, and allow the background worker to process the queue.

Why restock emails may not arrive

The product is hidden

If Hide out of stock items from the catalog is enabled, customers cannot reach the product page to subscribe. Disable the setting and test the public catalog again.

The request was never confirmed

With double opt-in enabled, a submitted address may remain unverified. Check whether the customer completed the confirmation email and whether your unverified-signup deletion setting removed the record.

The product is still below the threshold

A stock status of “in stock” is not enough when a minimum quantity is configured. Check the actual available quantity for the product or variation and compare it with the threshold.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

WP-Cron is disabled

Action Scheduler commonly depends on scheduled WordPress processing. The WooCommerce guide identifies a disabled WP-Cron as a possible reason background notifications do not run. Confirm that scheduled tasks are enabled and that your hosting configuration runs them reliably.

Loopback requests are blocked

The guide also identifies failed loopback requests as a possible Action Scheduler problem. Security rules, firewalls, maintenance modes, authentication layers, or hosting restrictions can prevent the site from calling itself. Ask your host to verify that loopback requests succeed and that scheduled actions can reach WordPress.

Email delivery is limited or rejected

WooCommerce does not guarantee or measure deliverability. Your mail provider’s limits still apply. The documentation gives Gmail’s example limit of 500 emails per day; a large waitlist can exceed that allowance and cause delays or rejections.

For higher volumes, WooCommerce recommends using a dedicated SMTP provider or an HTTP-based email service such as Mailgun or SendGrid. Configure the service according to its own authentication and sending requirements, then send a test to several mailbox providers. Check spam folders, provider logs, bounce messages, and your domain’s email authentication separately from the WooCommerce queue.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

A plugin or theme conflicts

To isolate a conflict, WooCommerce recommends temporarily disabling all plugins except WooCommerce and Back In Stock Notifications. Test the signup and processing flow with a standard theme or a staging site where possible. If the problem disappears, re-enable extensions one at a time until the conflicting component is identified. Do not perform this isolation on a busy production store without a maintenance plan or a staging copy.

Manage notification records and customer data

The Notifications screen lets you filter records by email, product, or variation and export them to CSV, according to WooCommerce’s documentation. Use those filters to answer operational questions such as which variation has the longest queue or whether a particular address submitted duplicate requests.

The extension keeps waitlist contact details after notifications are sent, allowing export for email-marketing use. That retention capability does not automatically grant marketing permission. Use the consent state collected at signup, your privacy notice, and applicable email laws to decide whether a record may be used for campaigns beyond the stock alert.

Define an internal process for correcting an email address, honoring a deletion request, and removing data that no longer has a legitimate business purpose. Do not export the entire list to an unrelated marketing system unless your consent and data-processing documentation cover that use.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Official alternatives and third-party options

WooCommerce also offers a separate Waitlist extension. It can notify users when stock changes to in stock or crosses a configured quantity threshold, and its email subject and body can be edited through WooCommerce email settings. It is a separate product, so compare its behavior with Back In Stock Notifications before installing both on the same store; overlapping forms or duplicate messages can confuse customers.

WordPress.org listings document third-party choices such as Back In Stock Notifier and WT Waitlist. Availability, maintenance, and compatibility can change, so evaluate the current listing and support policy rather than assuming that an older release supports your store.

Use these criteria when comparing an option:

Decision area Questions to answer
Product coverage Does it support your simple, variable, bundle, and subscription products? Can a customer subscribe to one variation without subscribing to every variation?
Stock threshold Can alerts wait for a configured quantity, and is the threshold applied per product or per variation?
Signup access Can guests subscribe, or is an account required? Does a logged-in customer avoid re-entering an email?
Consent Are double opt-in, an explicit consent checkbox, and deletion of unverified requests available?
Email controls Can you edit the subject and content, and does the system use WooCommerce email settings or its own templates?
Queue processing Does it use Action Scheduler or another background method? Is WP-Cron required, and can your host make loopback requests?
Delivery compatibility Can it work with your SMTP or HTTP-based email provider, and can you inspect failures or bounces?
Data management Can staff filter, export, or manage requests from the customer account area?
Support and compatibility Does the current release support your WordPress, WooCommerce, PHP, theme, payment, caching, and consent stack?

Avoid enabling two waitlist systems on the same product unless you have deliberately tested how their forms, queues, and emails interact.

Operational checklist

  • Confirm the documented PHP, WordPress, and WooCommerce minimums before installation.
  • Install and activate the official extension from the WooCommerce account ZIP.
  • Disable catalog hiding for out-of-stock items.
  • Review double opt-in, consent, account, unverified-signup, and threshold settings.
  • Check the product editor for exceptions and test each important variation.
  • Submit a guest and, where applicable, logged-in test request.
  • Verify the record under WooCommerce > Stock Notifications > Notifications.
  • Test stock changes, threshold behavior, queue processing, and actual mailbox delivery.
  • Confirm WP-Cron and loopback requests before diagnosing the email layer.
  • Use a suitable SMTP or HTTP service when the waitlist volume exceeds ordinary mailbox limits.
  • Document consent, retention, export, correction, and deletion procedures for waitlist data.

Common design choices and their trade-offs

Allow guest signups or require accounts?

Guest signups maximize access for first-time shoppers and reduce the steps between an unavailable product and a notification request. Account requirements provide a stronger identity link and can make account-area management easier, but they can reduce signup completion. Choose one deliberately and test the form as both a guest and an authenticated customer.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Send at the first unit or at a larger threshold?

Sending at the first available unit prioritizes speed. It can be appropriate for products replenished continuously or in small quantities. A larger threshold makes the alert more useful when a tiny restock would sell out before most recipients can act. The correct value depends on replenishment size, demand, and how quickly your store consumes stock.

Use double opt-in?

Double opt-in confirms control of the email address and can support a stricter consent process, but it introduces a confirmation step that some shoppers will not complete. If you enable it, make the confirmation email clear and monitor unverified requests so you understand the drop-off.

What a successful setup looks like

A working implementation has four observable parts: an unavailable product remains reachable; the customer can submit a valid request under your account and consent rules; the request appears in the Notifications screen; and a later stock change creates and processes a queue that results in an email through your configured delivery service. If any one of those stages fails, troubleshoot that stage specifically instead of assuming the entire extension is broken.
