You can set up a professional email address in one of two ways: create a polished @gmail.com address, or use Gmail with an address on a domain you control, such as [email protected]. The first route needs a Google Account; the second requires a domain and Google Workspace configuration. Changing your Gmail display name does not create a custom-domain address.

Create a professional-looking @gmail.com address
- Open Google’s Gmail account-creation guide and follow the link to create an account.
- Choose the account purpose offered in the sign-up flow, such as personal or work/business.
- Complete the form and select an available Gmail username.
- Choose a clear, durable username based on your name or business identity where possible. Avoid confusing strings that are hard to read or say aloud.
Google may reject a username because it is already in use, too similar to another username, was previously used and deleted, or is reserved. If your preferred choice is unavailable, try a simple variation that remains recognizable. A @gmail.com address is still a Gmail address, not an email address on your own domain.

Set up Gmail with your own domain
For an address such as [email protected], you need a domain you control and a Google Workspace setup. The exact DNS fields and screens vary by domain registrar or hosting provider, so use that provider’s instructions alongside Google’s.

- Sign up for Google Workspace. Use the applicable business setup flow and provide the domain you intend to use.
- Verify domain ownership. Add Google’s verification information in the domain’s DNS settings. Google says verification itself does not affect an existing website or email service. Follow Google’s domain verification steps.
- Configure the MX record. At the domain host, add the MX record Google specifies for new setups:
smtp.google.comwith priority1. Follow the host’s field format and Google’s current MX-record instructions. - Activate Gmail. In the Workspace Admin console, complete Gmail activation. Google says it can take up to 72 hours for the new records to be recognized.
- Set up sender authentication. Configure SPF and DKIM for the sending domain. Google recommends a 2048-bit DKIM key when the provider supports it; its email sender guidelines explain the relevant requirements.
- Test the mailbox. Send a message to an address outside the domain, reply to it, and check that both sending and receiving work before relying on the account.
If the domain already has email
MX records determine where incoming messages for the domain are routed. Before changing them, identify the current mail provider and plan the transition; replacing records can interrupt delivery to the existing service. Google’s new-setup guide tells users to remove other incorrect or old MX entries, but existing working Google configurations using supported legacy aspmx records do not need to be changed just to match the new guide. Do not replace a functioning configuration without a reason and a transition plan.
Make the address look professional when you send mail
A good address is only part of the impression. Use a recognizable sender name and a concise signature with your role and useful contact details. Gmail’s settings also let you add a profile photo and signature; follow Google’s Gmail for Google Workspace setup guide for those controls.

- Use a sender name that recipients can identify, such as your full name or business name.
- Keep the signature focused on relevant contact information rather than slogans or long disclaimers.
- Check the address, sender name, and signature by sending a test message and viewing it as a recipient would.
