How to Set Up a New Windows Laptop: Updates, Privacy and File Transfer

A safe first-day order for a new Windows laptop: complete setup, install updates, review sign-in and privacy options, then choose how to back up or move files.

On a new Windows 11 laptop, finish the on-screen setup, connect to the internet and power, install Windows updates, then review sign-in and privacy settings. If you are moving from an old PC, confirm you have a usable copy of important files before retiring or erasing it; choose OneDrive, external storage or Microsoft’s PC-to-PC transfer based on what you need to move.

1. Finish Windows setup and connect to power and the internet

Follow the prompts shown on the laptop to complete its initial setup. Keep the device plugged in while it downloads updates or transfers files, and connect to a trusted internet connection when prompted. Setup screens and available choices can vary by Windows version and device.

If you are replacing an old computer, first identify the files you need—such as documents, photos and other personal files—and make sure an accessible copy exists. Do not erase or give away the old PC until you have checked that the files you need are available on the new one or in your chosen backup location.

2. Install Windows updates

  1. Open Settings > Windows Update.
  2. Select Check for updates and install the updates Windows offers.
  3. Restart if Windows asks you to, then return to Windows Update and check again. Additional updates may appear after a restart.

Microsoft identifies Windows Update as the standard route for getting current updates. The optional Get the latest updates as soon as they’re available setting opts in to earlier access to non-security updates, including new features and fixes; it is not required to receive regular security updates. See Microsoft’s Windows update instructions and explanation of the early-update option.

#1 Best Overall

If the laptop runs Windows 10, note that Microsoft ended standard support on October 14, 2025. Microsoft says free software updates through Windows Update, technical assistance and security fixes ended on that date. Check Microsoft’s support guidance for the implications for your device.

3. Choose a Windows Hello sign-in method

Windows Hello can make signing in more convenient. To review the options, open Settings > Accounts > Sign-in options. What you can set up depends on your laptop’s hardware:

  • PIN: A sign-in option associated with that device, according to Microsoft.
  • Fingerprint: Requires a fingerprint reader.
  • Face: Requires a compatible infrared camera.

You can use the options available on your device or keep using another sign-in method. Microsoft’s Windows Hello setup guide explains the choices and hardware requirements.

4. Review privacy settings

Open Settings > Privacy & security and review the controls shown on your laptop. Windows versions do not all present the same pages or labels: Microsoft says the General privacy page is being replaced by a Recommendations & offers page in newer Windows 11 versions. Use the settings on your own device rather than relying on an old screenshot or assuming every option will appear.

One choice you may see concerns the advertising ID. Microsoft describes it as an identifier that apps and advertising networks may use for personalized advertising. Whether to allow that use is a personal preference; Microsoft’s pages on changing Windows privacy settings and General privacy settings explain the relevant controls and page changes.

5. Choose how to back up or move your files

For a new PC, the right option depends on whether you want cloud access, a local copy, or Microsoft’s documented PC-to-PC transfer. Compare their practical requirements before choosing:

Option Internet and storage Hardware What to know
OneDrive with Windows Backup Needs internet access and enough available OneDrive storage. No external drive is required. Windows Backup can sync selected user folders to OneDrive and back up certain settings and preferences. Syncing is not a full computer clone.
External storage Does not require cloud storage; use a suitable local drive or network location. Requires an external hard drive or a network drive. A local alternative for copying files. You choose what to copy and then make it available on the new PC.
Microsoft PC-to-PC transfer Both PCs should be on the same Wi-Fi or LAN and powered during transfer. Requires the old and new PCs. Microsoft documents specific prerequisites and exclusions; it does not transfer everything. Check the current support page before relying on it.

Using Windows Backup and OneDrive

Microsoft describes the Windows Backup app workflow as focused on consumer devices using a personal Microsoft account; work or school accounts do not work with that app. Check that you are signed in to the right account and verify the files and settings you intend to back up before relying on it. Microsoft’s support page states 5 GB of free OneDrive storage with a Microsoft account and 1 TB with a Microsoft 365 subscription; these are the amounts listed on that page, and plan terms may change. See Back up and restore with Windows Backup.

Using an external drive or network location

Microsoft lists external storage as an alternative to OneDrive for moving files. Copy the files you need to the drive or network location, then connect to that location from the new PC. This route avoids depending on OneDrive capacity, but requires suitable storage hardware or network access. An external drive is optional for a fresh setup; it is useful only if you choose a local transfer or backup. Microsoft’s file-migration guide covers OneDrive and external storage.

Using Microsoft’s PC-to-PC transfer

Microsoft’s separate transfer feature has narrower requirements than simply owning two Windows PCs. Its documentation says the new PC must run Windows 11 version 2024 or later, you need a Microsoft account, and both computers should be powered and connected to the same Wi-Fi or LAN. The feature is not currently available in China.

Microsoft says the transfer excludes applications, saved passwords and sign-in credentials, OneDrive files, and BitLocker-encrypted drives. Check the current transfer instructions for availability and scope before you depend on it, and plan separately for anything excluded.
