Ask one short question that names that interaction, offer a clear response scale, add an optional reason prompt for low ratings, and make sure the survey’s channel and automation rule are active. In Zendesk, saving the survey is not enough: an administrator must activate a channel and its rule before customers receive it.
What a post-support CSAT survey measures
A transactional CSAT survey captures how a customer felt about a particular support exchange. The interaction might be a solved email ticket, a completed chat, or a messaging conversation that has ended. This narrow scope is its strength: the respondent can recall the problem, the reply and the outcome instead of trying to judge your entire company at once.
As an Amazon Associate I earn from qualifying purchases.
It is not automatically a measure of overall loyalty, product quality or every interaction a customer has had with your business. Zendesk describes its survey as feedback on a customer’s support experience and solved ticket. SurveyMonkey similarly recommends triggering a transactional survey from the event being evaluated. Delighted’s interaction-specific approach follows the same principle.
Use the score as a signal to investigate service performance. Read it with the customer’s comment and other operational evidence, rather than treating one rating as a complete explanation of what happened. Salesforce recommends combining quantitative and qualitative evidence for that reason.

Plan the survey before you configure it
1. Define the completion event
Choose one event that unambiguously identifies the conversation being rated. A solved ticket is usually the clearest event for email-based support. For live chat or social messaging, use the platform’s ended or closed-conversation event. Do not trigger a survey merely because an agent sent a reply; the customer may still be waiting for a solution.
Document what counts as solved in your workflow. If agents can mark a ticket solved before the customer confirms the fix, the survey will measure that premature closure. If your help desk uses several statuses, select the status that actually ends the support obligation and apply it consistently.
2. Select a delivery window
Send the question close enough to the interaction that the details are fresh, but not while the customer is still trying to obtain help. Delighted describes a broad deployment window of about one minute to one week after a touchpoint. That range is a planning reference, not a universal rule: the usable window depends on your platform, channel and workflow.
SurveyMonkey recommends a transactional trigger from the event itself. In other words, schedule delivery from the solved or ended event rather than sending a general survey blast later. A delayed batch can mix several interactions in the respondent’s memory and make the answer harder to interpret.
3. Decide which channel should carry the question
Match the survey channel to the conversation. Email works when the original case was handled by email and the customer is accustomed to following a message link. An in-product or messaging prompt is more immediate for a chat that ended inside your app. A help desk may impose its own channel-specific timing and display rules.
| Approach | Best fit | Timing to verify | Diagnostic depth | Main operational question |
|---|---|---|---|---|
| Email after a solved ticket | Email support and asynchronous cases | Often delayed by the help desk; Zendesk documents one day for email | Rating plus optional comment | Will the customer recognize which ticket the message refers to? |
| In-product or web prompt | Support completed inside a website or application | Can be immediate after the conversation ends, subject to the platform | Fast rating; a short follow-up can be added | Does the prompt appear only after the interaction is actually complete? |
| Mobile prompt | Conversations handled in a mobile support experience | Platform-specific | Rating with optional explanation | Is the prompt usable on the device and screen size? |
| Social or messaging prompt | Support conducted through supported messaging channels | Zendesk documents display in the messaging interface immediately after solving | Rating and, where configured, comment or reason | Does the customer remain in the same messaging thread? |
The Zendesk timing examples in the table describe Zendesk’s documented behavior, not a standard shared by every help desk. Confirm the actual behavior in the account and plan you use.

Write a question customers can answer accurately
Use one interaction-specific rating question
Put the object of the rating in the sentence. A clear starting point is: “How satisfied were you with the support you received today?” If your workflow uses tickets, you can ask the customer to rate the solved ticket. Avoid a vague question such as “How do you feel about us?” because it invites opinions about the product, price or brand instead of the support exchange.

Zendesk describes its survey as a quick way to collect a rating and, optionally, a comment. The question should not force the customer to reconstruct the entire case before choosing an answer.
Choose a scale that matches your reporting
Zendesk documents three range options—1–2, 1–3 and 1–5—and allows numerical, emoji or custom-text response types. These are Zendesk configuration choices, not a universal requirement. Use endpoint labels that make the direction unmistakable, such as “Very dissatisfied” and “Very satisfied.” If you use numbers without labels, explain which end is positive.
- Two points: a very simple positive/negative choice when speed matters more than nuance.
- Three points: adds a neutral middle response while remaining easy to scan.
- Five points: offers more gradation for customers who want to distinguish a merely acceptable interaction from an excellent one.
- Emoji or custom text: can make the response feel natural in a messaging interface, but the labels still need to convey the underlying direction.
Do not compare scores from different scales as though they were identical measurements. Keep the range and labels stable while you trend a team, queue or channel, or clearly document a change when you alter them.
Add a conditional explanation, not a second survey
An optional open-text question can explain a low rating. “What could we have done better?” is a concise example. Zendesk also documents an optional dropdown for customers who give a negative rating; a list of common reasons can make recurring issues easier to group.

Set up the survey in Zendesk
The following path and timing details come from Zendesk’s documented CSAT workflow. Labels can change as the product evolves, and account permissions or plan differences can affect what you see.
- Open the configuration area. In the Admin Center, go to Objects and rules → Business rules → Customer satisfaction.
- Edit the survey. Choose the current CSAT survey configuration and set the rating question so it refers to the support interaction being evaluated. Select the documented scale range—1–2, 1–3 or 1–5—and choose numerical, emoji or custom-text responses.
- Add the optional diagnostics. Enable the open-ended comment prompt if agents need the customer’s words. If your account offers it, configure the negative-rating dropdown with a small set of reasons that your team can act on.
- Save the survey. Saving stores the configuration; it does not, by itself, deliver a message.
- Activate at least one channel. Select the channel that matches the support interaction, such as email, web, mobile or social messaging, and activate it. Zendesk requires an administrator to configure and activate a channel.
- Activate the associated rule. Turn on the business rule that sends CSAT after the ticket is solved. A channel that is active while its rule is inactive will not produce the expected survey.
- Check the delivery behavior. Zendesk documents email delivery one day after a ticket is set to solved. Its web, mobile and social-messaging surveys appear in the messaging interface immediately after the ticket is solved. Treat those timings as Zendesk-specific and verify them in your account.
- Review legacy settings. Older CSAT configurations or custom business rules may still exist. Zendesk notes that legacy CSAT and custom rules can require attention before enabling the updated option. Identify overlapping rules so a customer does not receive duplicate or conflicting prompts.
- Run a controlled test. Solve a test ticket through the same channel your customers use. Confirm that the question names the right interaction, the response controls work on the recipient’s device, the comment or negative-reason option appears only when intended, and the response is visible in reporting.
If your account does not show one of these labels, use the current Zendesk administration documentation or contact an administrator with the required permissions. Do not assume that a saved draft is live.
Timing and channel decisions that change the result
Email after one day
Zendesk’s documented email behavior sends the survey one day after the ticket is marked solved. This delay separates the rating from the agent’s final message while keeping the case identifiable. Check whether your process automatically reopens a ticket when the customer replies; decide whether a reopened case should receive a new survey or remain tied to the original interaction.

Immediate messaging prompts
For Zendesk web, mobile and social-messaging workflows, the documented behavior is an immediate prompt in the messaging interface after solving. This keeps the response in context, but it also means the agent must solve at the correct moment. Closing a conversation before the customer has tested the fix can generate a rating about an unfinished experience.
Other help desks and survey tools
Survey platforms and help desks implement triggers differently. Use the platform’s event, channel and timing rules rather than copying Zendesk’s one-day or immediate behavior. The decision framework remains the same: tie the prompt to the completed interaction, make the reference obvious, and avoid asking while support is still in progress.
Read scores and comments together
Start with the interaction record
When a rating arrives, review the ticket or conversation, the agent’s replies, resolution status and any customer comment as one record. A low score with a comment about a missing feature is different from a low score about an unanswered message, even though both produce the same rating.

Look for patterns without inventing a benchmark
The setup materials do not establish a universal response-rate target or industry CSAT benchmark. Avoid declaring a score “good” or “bad” based on an unsourced number. Instead, compare like with like inside your operation: the same scale, channel, queue, issue type and time period. Record any change in question wording, scale or delivery timing because it can affect the meaning of the trend.
Use comments to choose an action
- Agent coaching: recurring comments about clarity, empathy or follow-through can guide a conversation review.
- Process repair: repeated complaints about handoffs, waiting or premature closure point to workflow changes rather than individual coaching alone.
- Product feedback: comments about missing capabilities should be routed separately from support-quality issues so the teams can investigate the right cause.
- Recovery: a negative rating with a clear unresolved problem can trigger a human follow-up, provided your privacy and contact policies allow it.
Keep the original comment with the rating when you report a pattern. A percentage without examples can hide the reason customers are dissatisfied.

No customer receives a survey
- Confirm that an administrator activated a channel, not merely saved the survey.
- Confirm that the business rule associated with that channel is active.
- Check that the ticket reached the solved status that the rule watches.
- Look for a legacy CSAT or custom rule that overrides, duplicates or suppresses the current configuration.
- Run a test through the same channel and recipient type; a rule may behave differently for email and messaging.
The survey arrives at the wrong time
Verify which event triggered it and whether the platform applies a delay. In Zendesk, email is documented as one day after solving while web, mobile and social messaging are documented as immediate in the messaging interface. If your process changes a ticket back and forth between statuses, review which transition actually fired the rule.
Customers rate the wrong experience
Rewrite the question to identify the interaction (“the support you received today” or the solved ticket), and ensure the trigger occurs only after the intended conversation ends. A generic brand-satisfaction question or a survey sent after several unrelated cases cannot reliably describe one support exchange.
Comments are too vague to use
Replace a broad prompt with a focused one such as “What could we have done better?” For negative ratings, add a short reason dropdown if the platform supports it. Keep the choices mutually understandable and review free-text comments periodically so you can update the list when a new recurring reason appears.

Launch checklist
- The trigger is a solved ticket or ended conversation, not an arbitrary broadcast date.
- The rating question names the support interaction.
- The scale and endpoint labels are clear and documented.
- The optional comment or negative-reason prompt has a specific operational purpose.
- The selected channel matches how the conversation happened.
- The platform’s timing for that channel is understood and tested.
- In Zendesk, both the channel and its business rule are active.
- Legacy or custom CSAT rules have been checked for overlap.
- A test response appears in the same reporting view used for analysis.
- Owners know how ratings and comments will lead to coaching, process work, product feedback or customer recovery.
How to choose among implementation options
Use the following decision order when more than one configuration is available:
Best Value
- Start with the interaction. If the customer just finished a chat, prefer a prompt in that messaging context; if the case was asynchronous email, an email survey may be more recognizable.
- Choose the shortest reliable delay. Immediate delivery is useful when the platform can display it after a genuinely completed conversation. A delayed email is appropriate when the tool documents that workflow.
- Keep the scale consistent. Select a range and response style that customers understand and that your reporting can preserve over time.
- Add only actionable diagnostics. Use a comment or conditional dropdown when someone is responsible for reviewing and acting on the information.
- Prefer native trigger and reporting support. A survey that is easy to configure but disconnected from solved-ticket data will be harder to interpret than one integrated with the help desk’s event and reporting model.
Conclusion
A useful post-conversation CSAT survey is deliberately narrow: one completed support interaction, one clear rating question, a scale customers can interpret and an optional explanation that helps the team act. Configure the trigger and channel carefully, test the actual delivery timing, and read the resulting score with the conversation and comment. In Zendesk, activating the channel and its rule is the step that turns a saved survey into a live one.
Frequently Asked Questions
Should a CSAT survey be sent after every support conversation?
Send it after the interaction your process can identify consistently, such as a solved ticket or ended chat. If a customer has several linked cases, decide whether each case is a separate experience before enabling an automatic trigger.
What question should appear first?
Use a single interaction-specific question, such as “How satisfied were you with the support you received today?” The wording should make clear that the rating concerns support, not the entire product or company.
What’s actually slowing this PC down?
Pick the symptom - the matching free tool is one click away.
Which CSAT scale is best?
There is no universal required range. Zendesk documents 1–2, 1–3 and 1–5 options, with numerical, emoji or custom-text responses. Choose one whose labels customers understand and keep it stable for comparable reporting.
Can I ask for a comment after a low rating only?
Yes. Zendesk documents an optional open-ended question and an optional dropdown for customers who provide a negative rating. Conditional follow-ups reduce extra effort for customers who have nothing more to add while giving your team reasons to investigate dissatisfaction.
Why did my Zendesk survey not send after I saved it?
Zendesk requires an administrator to activate at least one channel and activate the associated business rule. Also check that the ticket reached the status watched by the rule and that an older CSAT or custom rule is not interfering.
When does Zendesk send a CSAT email?
Zendesk documents email delivery one day after a ticket is set to solved. Its documented web, mobile and social-messaging behavior is an immediate prompt in the messaging interface after solving. These timings are product-specific and should be verified in your account.
Do these 3 things before closing this tab:
1Scan for outdated or missing drivers - takes under a minute2Clear out junk files and repair common Windows errors3Fix the driver behind crashes, sound loss and screen glitchesIs a CSAT score a measure of customer loyalty?
No. It is a post-interaction signal about the support experience named in the survey. Use comments, the conversation record and other service evidence when evaluating broader sentiment or loyalty.
What should we do with a negative rating?
Read the rating with the ticket and any comment, classify the underlying issue, and assign an action such as agent coaching, process repair, product feedback or a customer-recovery follow-up. Do not rely on an unsourced industry benchmark to decide what the score means.
