1Repair Windows errors before they cause bigger problems2Scan for outdated or missing drivers - takes under a minute3Clear out junk files and repair common Windows errorsSet cloud data retention by data purpose, classification, and applicable legal or contractual obligations—not by a single duration for everything. Document an approved schedule, apply it to primary data and its copies, then configure and test cloud lifecycle controls for tiering and deletion. A lower-cost storage tier does not end a retention obligation, and deletion rules may leave data recoverable for a time or blocked by a retention lock.
How long should you keep data in the cloud?
Keep each data set only as long as its documented purpose and applicable obligations justify. There is no universal cloud-retention period: the answer can differ by data category, purpose, jurisdiction, contract, and business need.

For personal data, GDPR Article 5(1)(e) requires it to be kept in identifiable form “for no longer than is necessary” for the purposes of processing. Article 5(2) makes the controller responsible for demonstrating compliance. The UK Information Commissioner’s Office (ICO) likewise says UK GDPR does not prescribe specific time limits for different types of personal data; organizations must set and review periods based on their purposes. These are purpose-based principles, not a schedule of fixed durations.

For each data class, identify the relevant law or regulation, contract, business need, and any litigation hold. Have the organization’s records, privacy, and legal owners approve the period and its trigger—for example, a date, transaction, or other defined event. Do not treat a provider default, lifecycle-rule limit, or general industry convention as the legally correct period.

How to set a cloud data retention policy
Build the policy as an approved records schedule first, then translate it into service-specific controls. An operational schedule should tell data owners what is covered, when the clock starts, what happens at the end, and how exceptions are handled.
1. Inventory and classify the data
For every data set, record its owner, business purpose, sensitivity or classification, location, system of record, and material copies. Include object versions, replicas, exports, and backups; a primary bucket or storage account is not the whole data estate. AWS recommends using data classification to inform handling procedures, and NIST calls for lifecycle coverage wherever enterprise data resides.
2. Establish the obligation and retention trigger
For each class, have the appropriate owners determine the applicable purpose, legal and regulatory duties, contractual terms, business need, and any hold requirements. State when retention begins and how its end date is calculated. GDPR also requires accountability for demonstrating compliance, so retain evidence of the decision and its approval.

3. Write an operational schedule
Document these fields for each data class:
- Owner, purpose, and classification.
- Scope and location, including systems and copies covered.
- Start event and approved retention duration.
- Review date and required access or archive state during retention.
- Final disposition, such as deletion or another approved outcome.
- Hold and exception process, including who may apply or release an exception.
- Evidence the system or responsible team must retain to show enforcement.
This is a practical operating format, not a statutory template. The ICO identifies a retention schedule as one possible part of broader information-asset and processing documentation.
4. Translate the schedule into cloud controls
Only after approval, configure provider lifecycle rules to match the schedule’s scope, trigger, transition, and final disposition. AWS Well-Architected guidance recommends managing data through its lifecycle and automating deletion to limit unnecessary storage. A lifecycle rule implements the decision; it does not make the legal or business decision for you.
Check whether a rule applies to current objects, old versions, tagged subsets, replicas, or an entire bucket or account. Confirm how the provider calculates eligibility and what happens when deletion is blocked by a hold, retention policy, or soft-delete setting. Test the intended behavior in a limited scope before broad rollout.

How to balance storage cost and access needs
Tiering and deletion are separate decisions. Moving an object to a lower-cost class may reduce storage expense while leaving the retention obligation intact. Deletion should occur only when the approved period has ended and no applicable hold or other restriction prevents it.

Compare expected storage savings with transition or operation requests, retrieval needs, and minimum-storage-duration or early-deletion charges. Object size and access patterns matter: Google warns that Class A operations to change storage class can outweigh the savings for small objects, while AWS documents transition-request charges and potential minimum-duration charges. No universal savings estimate follows from these mechanics; validate current provider pricing against your workload before choosing a tier.
Before changing a class, consider whether teams will need timely access, whether retrieval has a charge, and whether a minimum storage term makes a short-lived object more expensive to transition. The right tier is the one that meets the required access and retention conditions at an acceptable total cost.

What cloud storage lifecycle controls do—and do not do
The services below support lifecycle actions, but their deletion and retention behaviors differ. These examples describe documented control mechanics, not a recommendation about how long to retain any data. Verify current service behavior and pricing for the exact configuration you plan to use.
| Service | Lifecycle actions and scope | Deletion or retention constraint | Cost consideration |
|---|---|---|---|
| Amazon S3 | Lifecycle rules can transition objects or expire them. Confirm how the rule applies to the object and version scope you need. | Expiration must match the approved end date; a lifecycle rule is not itself a retention decision. | AWS documents transition-request charges and possible minimum-storage-duration charges. |
| Azure Blob Storage | Lifecycle rules can delete blobs based on age or tags. | With soft delete enabled, a lifecycle deletion makes a blob soft-deleted for the configured soft-delete retention period; that is not immediate permanent removal. | Assess the costs and operational consequences of the configured lifecycle and soft-delete behavior against current Azure terms. |
| Google Cloud Storage | Lifecycle rules can expire objects or change storage class. | Expiration can be constrained by a bucket retention policy. A locked bucket retention policy cannot be reduced or removed; object-level retention can also prevent deletion until its retention expiry. | Google warns that Class A operations to change storage class may outweigh savings for small objects. |
Provider behavior in the table is documented by AWS, Azure, and Google Cloud Storage product guidance. It does not establish a legally correct retention duration, and it is not a complete feature comparison across every configuration.
Does deleting a cloud object remove it permanently?
Not necessarily at the moment a lifecycle rule fires. The resulting state depends on the service and its settings. In Azure Blob Storage, soft delete retains a soft-deleted blob for the configured period. In Google Cloud Storage, a retention policy can prevent expiration, while a locked bucket policy cannot be shortened or removed. An object-level retention lock can also prevent deletion until its retention expiry.

Define the required end state in the schedule—such as when data must become inaccessible, when recoverability must end, and how copies must be handled—then verify that the configured provider controls achieve it. If a rule fires but deletion is blocked or delayed, the policy should make clear what happens next and who investigates.
Do retention rules cover backups and old versions?
They should be addressed by the policy, but coverage is not automatic. NIST guidance calls for tracking copies and backups against protection and retention policy, including affirmative deletion when the data is no longer needed. Inventory versions, replicas, exports, and backups, then assign each a defined route to the required end state. Check whether lifecycle rules cover each one or whether another process must enforce its disposition.
For every copy, identify the responsible system or owner, its retention trigger, and the evidence used to confirm removal. Include legal holds and approved exceptions so a deletion process can pause where required and resume when an authorized person releases the hold. A schedule that covers only the system of record can leave retained copies outside the organization’s intended controls.

Before enabling a rule broadly, test it against representative data and confirm that the configured conditions match the approved schedule.
- Check filters, tags, dates, and eligibility calculations.
- Verify current-object and version behavior, plus replica, export, and backup handling.
- Observe transitions and deletion outcomes, including soft-delete windows and retention-policy blocks.
- Confirm that holds suspend deletion when required and that only authorized people can apply or release them.
- Keep evidence of the approved schedule, deployed configuration, exceptions, and outcomes.
Review the schedule when the data’s purpose, applicable obligations, system, or access needs change, and on the review date recorded for the data class. Confirm that lifecycle actions are occurring and that data and copies are actually removed when obligations end. The ICO recommends reviewing whether personal data is still needed and erasing or anonymizing it when there is no clear reason to retain it longer.
When to use a locked retention setting
A retention lock is a strong enforcement control, not a substitute for deciding the right schedule. Google Cloud Storage Bucket Lock is irreversible after activation: the locked bucket retention policy cannot be reduced or removed. Before activating it, have the appropriate owners verify the data scope, duration, exceptions, and operational consequences. A mistaken lock can prevent deletion even after the organization’s intended retention period has changed.
