The safest art budget is an all-in ceiling: the maximum discretionary cash you can spend after adding the artwork price, buyer premium or commission, tax, delivery, customs, framing, installation and insurance. Set that ceiling before you browse or bid, then work backward to find the highest price you can offer. Keep emergency savings and recurring bills outside the calculation, and treat any future resale value as uncertain.
Start with an all-in ceiling, not a sticker price
Write down one number that represents the most discretionary cash you are willing to part with for this purchase. It must be money left after rent or mortgage, debt payments, ordinary spending, planned savings and your emergency reserve. Do not use a credit limit as a substitute for available cash. The ceiling is the total landed cost, not the gallery ticket, online listing price or auction hammer price.

This distinction matters because a work advertised at a price you can technically pay may become unaffordable once the invoice includes a premium, tax, specialist packing, international delivery, framing and insurance. A ceiling also gives you a clear exit: if the completed estimate exceeds it, you pass, choose a smaller or less expensive work, arrange local pickup where practical, or wait.

- Protected money: emergency savings, money needed for bills, taxes, tuition, medical costs and other obligations. It is not part of an art budget.
- Planned cash: funds already assigned to a near-term goal. Include them only if buying the work does not damage that goal.
- Discretionary art cash: the amount you can spend without borrowing or abandoning essential plans. This becomes your all-in ceiling.
If you are buying with another person, agree on the ceiling and who pays which cost before either of you contacts a seller. A shared limit prevents a bid made by one person from silently becoming a household obligation.

Work backward from the ceiling
Once the ceiling is fixed, subtract every cost that will sit on top of the artwork price. The remainder is the maximum price you can offer for the work itself. For an auction, that remainder is not automatically your maximum hammer bid because the buyer premium is calculated from the hammer price.
The cost stack
- Artwork price: the list price for a direct or gallery purchase, or the hammer price for an auction.
- Buyer premium or commission: an auction premium or a dealer/gallery commission stated in the quote.
- Sales, VAT or use tax: tax charged according to the sale location, delivery destination and your status. Ask which jurisdiction applies rather than assuming the displayed price is tax-inclusive.
- Packing, shipping and transit insurance: specialist packing, courier or freight, and cover while the work is in transit.
- Customs, duties and clearance: import charges and broker or clearance fees when the work crosses a border. Confirm who is responsible for paying and arranging them.
- Frame, glazing and installation: framing, conservation glazing, hanging hardware, delivery inside the building and professional installation where required.
- Appraisal and post-purchase insurance: an appraisal or valuation and an initial allowance for insuring the work after delivery.
- Contingency: cash kept inside the ceiling for a quote that changes, a required crate, a larger frame or another cost revealed before delivery.
Use written estimates for each line. If a seller cannot provide a figure yet, leave that amount unresolved and reduce the price you are willing to offer until the uncertainty is resolved; do not quietly assume it will be zero.
Turning an all-in limit into a maximum bid
For a direct purchase, subtract the non-artwork costs from your ceiling. For an auction, use this relationship:

Repair common Windows errors and clear accumulated junk for a smoother, more stable PC - no reinstall needed.Free scan · no reinstallMaximum all-in ceiling = hammer price + buyer premium + tax + shipping and transit insurance + customs and clearance + framing and installation + appraisal and post-purchase insurance + contingency.
Because premium and some taxes are percentages of the hammer price, solve for the hammer price only after you know the applicable rates. In a spreadsheet, put the hammer price in one cell, calculate each percentage-based charge from that cell, add fixed quotes for shipping and framing, and adjust the hammer price downward until the total equals your ceiling. The number in your bidding notes should be the resulting maximum hammer bid, not the ceiling itself.

Do this calculation before the sale begins. During a live auction, do not increase the ceiling because another bidder is one increment ahead. If the next bid would make the all-in total exceed your limit, stop.
Understand auction premiums before you bid
Sotheby’s 2026 buyer-premium schedule for its New York, UAE and Saudi sales lists these hammer-price tiers:
Free tools Windows power users keep installed
One-click scans. No signup required.
| Hammer-price tier | Buyer premium | Scope stated by Sotheby’s |
|---|---|---|
| Up to and including $2,000,000 | 28% | New York, UAE and Saudi sales under the cited 2026 schedule |
| More than $2,000,000 through $8,000,000 | 22% | New York, UAE and Saudi sales under the cited 2026 schedule |
| More than $8,000,000 | 15% | New York, UAE and Saudi sales under the cited 2026 schedule |
These are not universal art-auction rates. They apply to the stated locations, year and sale conditions, and rates can vary by sale and location. Confirm the current conditions of sale for the specific auction. A premium is part of the purchase price, not an optional tip.
Christie’s describes total buyer cost as hammer price plus buyer’s premium plus applicable taxes or shipping charges. That formula is a useful check, but the individual rates and other charges still need to come from the particular sale’s terms and your written quote.

The cheapest displayed price is not necessarily the cheapest or safest transaction. Compare the complete landed cost and the protection attached to it.
| Buying channel | All-in cost and fee transparency | Authenticity and provenance | Returns and payment protection | Shipping, insurance and installation |
|---|---|---|---|---|
| Direct from an artist or gallery | May have fewer intermediary fees; request a written invoice showing every charge and tax | Ask for the artist or gallery’s authenticity documentation, dimensions, medium and condition details | Return terms and payment protections depend on the seller’s written policy | Confirm who packs, ships, insures and installs the work; framing may be included or extra |
| Online marketplace | Price filtering helps set a range, but shipping, tax and service charges can change the total | Check seller identity, provenance, edition status and the platform’s verification process | Read the written return window, dispute process and accepted payment methods before paying | Obtain a destination-specific shipping quote and learn when transit risk transfers to you |
| Auction | Published buyer premiums make the price stack clearer, but tax, shipping and customs still require separate estimates | Review the catalogue description, condition report and provenance checks; ask what has actually been examined | Sales are often governed by specific conditions, so understand cancellation, non-payment and return rules before bidding | Bespoke packing and freight may be necessary; arrange transit cover, delivery access and installation in advance |
For every channel, compare the work’s dimensions, materials, framing status, delivery timing and insurance requirements as well as the price. A local work that can be collected safely may have a lower landed cost than a lower-priced work that requires international freight and customs clearance.
Get a written, itemized quote
Ask for one document or email that lets you reconcile the quote to your ceiling. It should identify:
- Artwork title, artist, edition or unique-work status, dimensions, medium and condition.
- Price, buyer premium or commission, every applicable tax and the currency.
- Packing method, shipping service, destination, delivery timing and transit-insurance limit.
- Customs, duties and clearance responsibility, including who acts as importer of record.
- Frame and glazing details, installation charges and whether those services are optional.
- Seller identity, authenticity or provenance documents supplied, and any condition report.
- Written return policy, cancellation terms and secure payment method.
For a secondary-market or high-value work, ask which condition and provenance checks were completed, by whom and when. Keep the quote, invoice, photographs and condition report together; they may be needed for a return, an insurance claim or a future appraisal.

Budget for framing, delivery and insurance realistically
Framing and installation
Measure the finished dimensions, not just the image area. Confirm whether the frame is included, whether the glazing is ordinary or conservation-grade, and whether the piece needs special mounting. Oversized, fragile or heavy works can require delivery access planning and professional installation. Obtain the framer’s and installer’s quotes before you finalize the art price.
Transit and post-purchase insurance
Transit insurance covers a different risk from an ongoing fine-art policy. Ask when responsibility changes hands, what exclusions apply and whether the carrier’s limit equals the work’s agreed value. After delivery, check whether your home or business policy covers the work fully; a specialist policy may require an appraisal, photographs, security measures or a scheduled item.
Kiplinger Personal Finance reported a typical fine-art insurance range of 1% to 5% of value per year in 2026. That is a broad range, not a quote. The actual premium depends on the work, location, security, valuation and coverage terms, so obtain an insurer’s offer and include the first-year amount in your ceiling or post-purchase cash plan.
Use a cooling-off rule to prevent auction emotion
Choose a rule while calm and write it next to your maximum bid: no bid, offer or counteroffer may raise the all-in ceiling. At an auction, set a hard stop in the bidding interface or on paper. In a gallery or marketplace negotiation, leave the conversation if the revised quote crosses the limit.
If the total is too high, change the purchase rather than the budget. Options include a smaller work, a less expensive edition, an unframed work when you have priced framing separately, a local pickup arrangement, or waiting until the required cash is available. A discount that still leaves unknown shipping or tax costs is not proof that the purchase fits.
Best Value
Decide whether the work fits your life as well as your wallet
Check the wall, lighting, humidity, security and access route before buying. Confirm that the dimensions work in the intended room and that you can safely store the work if installation is delayed. For works on paper, textiles or other sensitive materials, ask about display and conservation requirements; those requirements can change the long-term cost.
Keep records of the invoice, provenance, condition, photographs, shipping documents and appraisal. Those records support insurance and make a later sale more orderly, but they do not guarantee that you will recover your purchase price.
Why resale should not determine your budget
Art can be difficult to price and sell, and a future buyer may value a work differently from you. Candace Worth, an art adviser and founder of Worth Advisors, put the risk plainly: “When it comes to assessing resale value, it’s very much buyer beware.” Market demand, artist reputation, condition, provenance, timing, fees and access to buyers can all change.
Buy a work because you want to live with it and can afford its complete cost. Do not borrow, raid emergency savings or stretch the ceiling on the assumption that appreciation will repay you. If resale matters, treat it as a possibility rather than an asset value in your household budget, and ask an appropriately qualified professional about valuation and selling costs before relying on any estimate.
Quick Recap
A practical decision sequence
- Set the ceiling: record the discretionary cash limit and exclude protected money.
- Define the brief: choose acceptable size, medium, condition, edition status, delivery date and location.
- Collect comparable quotes: obtain the seller’s price, every fee, tax, shipping, customs, framing and insurance estimate.
- Verify the work: review dimensions, materials, condition, authenticity, provenance, seller identity and return terms.
- Calculate the maximum offer: subtract fixed costs and solve for the highest list or hammer price that keeps the total within the ceiling.
- Set the stop: write the maximum bid or offer and commit not to exceed it.
- Pay securely and document delivery: use the agreed secure method, photograph the package on arrival and report damage promptly under the stated policy.
- Complete ownership costs: arrange installation, appraisal and ongoing insurance, then store the records with the invoice and provenance documents.
Common budgeting mistakes and fixes
- Using the hammer price as the budget: add the buyer premium before deciding what you can bid.
- Ignoring destination costs: request a quote to your actual address, including packing, transit insurance, customs and clearance.
- Assuming a frame is included: confirm frame and glazing details in writing and price installation separately.
- Leaving tax until checkout: ask which jurisdiction applies and whether tax is charged on related services.
- Relying on a verbal return promise: obtain the policy in writing before payment.
- Confusing transit cover with ongoing insurance: verify both periods and the point at which risk transfers.
- Counting expected appreciation as cash: keep resale out of the affordability calculation.
- Increasing the limit under pressure: apply the cooling-off rule and walk away when the all-in estimate exceeds the ceiling.
