Do these 3 things before closing this tab:
1Scan for outdated or missing drivers - takes under a minute2Repair Windows errors before they cause bigger problems3Fix the driver behind crashes, sound loss and screen glitchesYou can share selected passwords safely even when your password manager never synchronizes to the cloud. The dependable pattern is to isolate only the entries the other person needs, keep the exported database or share file encrypted, and deliver its password or key through a separate channel. A local manager such as KeePassXC can share a dedicated group with KeeShare; a one-time encrypted file handoff works without a native sharing feature; and Bitwarden Send provides an online, end-to-end encrypted option if using a hosted service is acceptable.
Never send the encrypted file and its password together. A strong vault password, a separate delivery channel, careful scope, endpoint security and a recovery plan matter more than whether the manager advertises cloud sync.

What “no cloud sync” changes—and what it does not
A local password manager normally stores credentials in an encrypted database file on a device or in storage you choose. KeePassXC, for example, uses the KDBX format and states that a database protected by a strong, long password remains encrypted while stored on a computer or cloud-storage service. The absence of built-in synchronization means the application does not automatically copy changes between devices; it does not prevent you from moving an encrypted file or creating a controlled share.

Scan for outdated or missing drivers - takes under a minuteDriver Scan →Clear out junk files and repair common Windows errorsFree Scan →Sharing is therefore a transport and access-control problem, not a reason to expose plaintext passwords. You decide exactly which entries leave your vault, which service or medium carries the encrypted material, who receives the unlocking secret, and how access ends. The recipient’s device, your own device and the communication channels still matter: encryption cannot protect a password after an attacker has compromised an endpoint or obtained both the ciphertext and its key.

Choose the sharing method before touching your vault
Use the least powerful method that meets the need. A recurring household or team arrangement may justify a KeePassXC group share. A single handoff can use a small encrypted container. A short-lived message to someone who does not run the same manager may fit Bitwarden Send, provided you accept an online host.
| Method | Online service | Best fit | Important limitation |
|---|---|---|---|
| KeePassXC KeeShare | A shared file location is needed; this can be a network share or cloud folder. | Selected entries that may need controlled import, export or synchronization. | Sharing a parent group includes its descendants; sharing the root group exposes the entire database. |
| Encrypted file handoff | Optional. The file can move through physical media or an online transfer path. | A one-time transfer or a manager without a native sharing feature. | The recipient keeps a usable copy; deleting your copy does not revoke theirs. |
| Bitwarden Send | Yes. The encrypted Send is hosted on Bitwarden infrastructure. | A text or file message for a recipient who accepts an online service. | The complete link is a bearer secret, and current expiration or limit settings must be checked in the product you use. |
Do not treat “cloud” and “encrypted” as opposites. An encrypted file in a cloud folder can be appropriate when the provider only transports ciphertext and you keep the decryption secret elsewhere. Conversely, a local file is not automatically safe if it is unencrypted, the password is weak or the recipient’s computer is infected.
Prepare a minimal share
Create a dedicated group or container
Start by listing the exact accounts the recipient needs. Create a new group named for the person, project or purpose, then copy or move only those entries into it. A separate container is preferable for a one-time handoff. Remove notes, recovery codes, unrelated URLs and attachments unless they are genuinely required. Least privilege limits the damage if the shared material is copied, forwarded or later exposed.

Check the credentials before exporting
- Confirm each entry is current and identify whether it includes a username, password, one-time-code seed, recovery code or private key.
- Decide whether the recipient should receive the password itself or whether you can grant access through the service’s normal invitation or account-sharing feature.
- Replace stale passwords before sharing when the account supports it, and record which accounts were included so they can be rotated later.
- Use a strong, unique database or container password. Do not reuse the password that protects your computer, email account or primary vault.
Protect your working copies
Keep the source vault encrypted at rest and make a backup before changing groups or importing shared data. KeePassXC warns that losing a key file can make a database inaccessible, so preserve a safe backup of both the database and any key file. Automatic backup or version history reduces the risk of accidental deletion or corruption. An ordinary USB flash drive is only storage; it does not encrypt files by itself, and it can be lost or fail. If you use removable media, encrypt the database or container before copying it and keep another verified backup.

Share a selected group with KeePassXC KeeShare
KeeShare is designed for sharing a KeePassXC group through a share file. It offers three modes: Import is read-only for your local group and merges incoming changes; Export writes changes outward without importing changes back; and Synchronize supports read/write sharing with merge behavior. The exact labels and behavior can vary with the KeePassXC release, so check the current guide for the version installed on both sides.
1. Build the recipient group
- Open the vault and create a new group at an ordinary, non-root level.
- Copy or move only the entries intended for this recipient into that group.
- Review child groups. KeeShare applies to a group and its descendants, so every nested entry is included.
2. Enable KeeShare on that group
- Select the dedicated group and open its KeeShare or sharing settings.
- Choose Import, Export or Synchronize according to the direction of change you need.
- Do not enable sharing on the root group unless you genuinely intend to share every entry in the database. Root-group sharing includes the whole vault.
3. Select a share-file location
Choose a location the other person can reach, such as a controlled network share or a cloud folder. The share file remains encrypted, but the storage provider still controls availability, account access and deletion. Use an account or folder with the narrowest practical permissions; do not place the file in a publicly readable link. For a temporary exchange, copy the encrypted share file to removable media or use a private transfer channel.
4. Deliver the share secret separately
KeeShare uses a password for the share container. Send that password or key through a different channel from the share file—for example, provide it in person, read it over a verified voice call, or use a separate secure messenger. Do not assume the application transmits the secret separately for you. If someone who should not receive the file can also read the secret channel, the separation fails.

Ask the recipient to open the share with the current KeePassXC version and confirm that the intended entries, usernames and notes are present. A successful import does not prove that every nested group or attachment was appropriate to share. Resolve merge conflicts deliberately; KeeShare relies on entry history, and simultaneous edits can produce changes that need human review.

6. End the arrangement deliberately
When the sharing need ends, disable or remove the share configuration, delete accessible share files where practical and rotate the affected account passwords if the recipient should no longer be able to sign in. KeeShare does not magically erase copies already imported into another person’s vault. Revocation is an operational process, not a promise that a previous recipient can be remotely wiped.
Use an encrypted file for a one-time handoff
If your manager has no group-sharing feature, create a small encrypted database or container containing only the required entries. KeePassXC’s encrypted KDBX file can be saved to a location you choose, including a cloud-storage folder, while remaining encrypted at rest. The same principle applies to another manager or archive format: encryption must happen before transfer.
- Create a temporary vault or container and add only the credentials needed for this handoff.
- Set a long, unique password. If the format supports a separate key file, generate one and keep it out of the transfer channel.
- Close the file and reopen it locally to verify that it decrypts and contains the intended entries.
- Send the encrypted file through the chosen transfer path. A recipient can download it without learning the password from the file itself.
- Send the password or key through a different, verified channel. Never put it in the same email, message thread or shared folder.
- Ask the recipient to confirm successful access, then remove temporary copies from download folders, mail attachments and unencrypted working directories.
This method has weaker ongoing control than managed sharing. Once the recipient opens and saves a copy, changing or deleting your source cannot retract that copy. For accounts that protect money, identity or production systems, rotate the credentials after the handoff if continued access is not intended.
Use Bitwarden Send when an online host is acceptable
Bitwarden Send provides an alternative for sending text or files through an online service. Bitwarden documents client-side encryption, AES-256 encryption for the content and metadata, and a 128-bit Send secret. The decryption key is placed in the URL fragment; Bitwarden states that the fragment is not included in network requests. These are documented implementation details, not a guarantee that every endpoint or recipient device is secure.

Safer Send setup
- Create a Send containing only the required password or encrypted file, not your entire vault.
- Set an additional Send password when the current product settings offer it. Bitwarden describes this password as an authentication gate; it is not the encryption key.
- Copy the link and inspect it before sending. A complete link includes the decryption key, so anyone who obtains it may be able to decrypt the Send.
- For stronger separation, send the link without its key and deliver the key through another channel, or send the complete link and the Send password through separate channels.
- Tell the recipient not to forward the link, save it in a shared bookmark system or paste it into a ticket visible to others.
- Verify the recipient received and opened the Send, then remove it or let its configured lifetime end according to the current settings.
Do not call a Send “unhackable,” and do not assume that a link is harmless because the key is in a fragment. Browser history, screenshots, clipboard managers, synchronization tools and malware can still expose it. A Send also does not meet a strict no-cloud requirement because encrypted data is uploaded to Bitwarden servers.
Keep the two secrets on separate paths
The encrypted file and its unlocking secret must not travel together. A practical pairing is a private file transfer plus an in-person or verified voice delivery of the password. If distance requires messaging, send the file in one service and the secret in a different service with a separately verified recipient identity. Avoid sending both through ordinary email, SMS, shared spreadsheets, sticky notes or unencrypted notes applications. Those channels commonly retain copies, sync to additional devices or expose content through notifications and account recovery.
Verify the recipient before disclosing anything. Confirm a phone number or account using a contact method you already trust, and beware of look-alike addresses. If the recipient’s account has been taken over, a perfectly encrypted file and correctly delivered password can still land with an attacker.
Recovery, backups and account rotation
Back up what can lock you out
Maintain at least one encrypted backup of the source database and a safe backup of every required key file. Store backups in locations that do not depend on the same device, account or removable drive. Test restoration periodically by opening a copy, not by editing the only original. KeePassXC specifically cautions that a lost key file can prevent database access, while thumb drives can be lost or unreliable.
Track what was shared
Record the recipient, date, entries and method in a private administrative note that contains no passwords. This makes later rotation possible without placing another plaintext secret in the record. For a shared group, note whether the mode was Import, Export or Synchronize and who can access the share location.

Rotate after the purpose ends
When access should stop, change the password at the service itself, update your vault and distribute the replacement only to currently authorized people. Deleting a file, disabling a link or removing a folder permission does not invalidate a password that someone already copied. Rotation is especially important when a device was lost, a share link was forwarded or a recipient’s account cannot be verified.
Common failure modes and fixes
The recipient cannot open the share
Confirm that both sides use a compatible KeePassXC release, that the share file was not truncated or altered during transfer, and that the correct share password or key was supplied. Re-export a fresh copy rather than repeatedly retrying a possibly corrupted file. Do not email the key alongside the replacement file.
What’s actually slowing this PC down?
Pick the symptom - the matching free tool is one click away.
Unexpected entries appear
Inspect the group hierarchy. KeeShare includes descendants, so an entry in a nested subgroup may have been included unintentionally. Move unrelated entries out, create a new minimal group and export again. Check the root-group setting first; enabling it shares every database entry.
Changes conflict after synchronization
Stop editing the same entry on both sides until the conflict is understood. KeeShare’s merge behavior uses entry history, so compare the histories and retain the authoritative value manually. For infrequently changing credentials, choose Export or Import instead of read/write synchronization.
The file was sent with the password
Assume the transfer is compromised. Create a new encrypted container with a new password, deliver the new secret separately and rotate the account credentials if the old material could have been downloaded. Deleting the original message is useful housekeeping but is not a revocation guarantee.
A USB drive was lost
If the drive held only a properly encrypted database and the key was kept separately, the encryption is the primary protection. Still rotate any credentials that may have been unlocked on the drive, replace the media and restore from a verified backup. An unencrypted database should be treated as exposed.

A decision checklist
- One-time, same manager: use a minimal encrypted file or KeeShare Export.
- Ongoing selected-group collaboration: use KeeShare Import or Synchronize only on a dedicated group, with a controlled share location.
- Recipient does not use your manager: send a single password or encrypted file through Bitwarden Send if an online host is acceptable.
- Strictly no cloud: use encrypted removable media or a direct local transfer, and deliver the key separately.
- High-value or regulated account: prefer the smallest possible scope, verify the recipient’s device and identity, document the handoff and rotate the credential when the need ends.
The safest workflow is the one that limits exposure at every stage: share fewer entries, encrypt before transport, separate the key, verify the recipient, back up the originals and rotate access when the job is finished.
