To protect your laptop files, turn on automatic backup, keep a second encrypted copy somewhere separate from the laptop, and test that you can restore files. Use cloud storage for an offsite copy, an encrypted external drive for a local copy, or both. Keep at least one backup disconnected or otherwise inaccessible to the laptop when it is not updating.
Build a backup plan that survives loss of the laptop
A backup helps preserve access to your files if the laptop fails or disappears. It does not protect the files’ privacy by itself: a thief who gets an unencrypted laptop or backup drive may be able to read its contents. CISA recommends encrypting devices and media and backing up to secure external storage or a vetted cloud service (CISA device data guidance).

A useful planning heuristic is 3-2-1: keep 3 copies of important data, on 2 media types, with 1 copy offsite. The California Privacy Protection Agency describes this approach in 2026; it is a way to reduce single points of failure, not a guarantee that data can always be recovered (California Privacy Protection Agency backup guidance).

- Add a separate copy: use encrypted cloud backup or an encrypted external drive kept away from the laptop. Using both gives you more recovery options.
- Keep one copy out of reach: disconnect an external drive when backup is complete, or use a backup destination protected from the laptop’s credentials and active malware.
- Prove recovery works: open backed-up files and learn the restore process before an emergency.
Choose what to back up
List the files you could not easily replace: personal documents, photos, work files, and app-specific data that is not already recoverable elsewhere. Check where each item lives and whether the backup method actually includes it.

File syncing is not automatically a complete backup. A synced folder may keep devices aligned without preserving every earlier version or protecting against deletions that propagate. Check the service’s coverage, restore history, retention, and account recovery options rather than assuming that anything visible in a sync folder can be recovered.
Choose cloud, an external drive, or both
Cloud and local backups solve different problems. Cloud storage can keep a copy away from the laptop and is useful when you need access from another location, but restoring depends on internet access and your provider account. An external drive can hold large collections and restore without an internet connection, but it can be lost, damaged, stolen, or left connected to malware.

| Option | Useful when | Security and recovery checks |
|---|---|---|
| Cloud backup | You need an offsite copy or remote access, and have sufficient internet access for backup and restore. | Use a unique password and multifactor authentication (MFA). Check encryption, version history, retention and deletion behavior, account recovery, and how files are restored. Consider encrypting sensitive files before uploading them. |
| Encrypted external drive | You have many or large files, limited internet access, or want a local copy available without a network connection. | Encrypt the drive, store it separately, and disconnect it after updates. Check its capacity, connection compatibility, and restore process. |
| Both | You want a local recovery option as well as a geographically separate copy. | Keep the local drive offline when idle and protect the cloud account. Verify that each method covers the files you care about. |
For a shared or network destination, find out who controls it and who can access the backup. A copy is only useful if you can retrieve it, and only private if access is appropriately restricted. Microsoft’s Windows guidance discusses cloud options alongside external or network drives, including the usefulness of local storage when internet access is unavailable or files are large (Microsoft: Choose a backup solution in Windows).

Encrypt both the laptop and removable storage
Full-disk encryption helps protect data if the laptop is stolen. Encrypt removable backup drives too: an unencrypted disk can expose its contents to whoever obtains it. Apple specifically recommends encrypting a Time Machine disk, while CISA recommends encrypting stored data and backup media (Apple Time Machine security guidance; CISA device data guidance).

- Note: This is only compatible with Apple devices that have a USB‑C port (including iPhone 15 and later, as well as all iPads with USB‑C). Using a Lightning to USB‑C adapter will not resolve the compatibility issue.
Keep recovery credentials independent
Store encryption passwords and recovery keys somewhere separate from both the laptop and the backup disk. If the only copy of a key is on a device that is stolen or on the drive it unlocks, you may not be able to restore the backup. Secure cloud accounts with unique passwords and MFA, and make sure you understand how to recover the account if you lose access to your usual device.
Disconnect an offline drive when it is idle
Connect an external drive for the backup, confirm the update finished, safely disconnect it, and store it separately. CISA warns that ransomware may reach a connected drive; Microsoft has also recommended periodic offline backups as a ransomware-resilience measure (CISA backup guidance; Microsoft Security Blog, March 28, 2017). If practical, rotate drives so one copy can remain isolated while another is being updated.
Verify that you can restore files
A backup is not dependable until you have checked recovery. Open a few representative files from the backup and learn how to restore them to the laptop or another device. For cloud storage, confirm that you can sign in and retrieve files; for a drive, confirm that it connects and that you know the encryption password.
