Random freezes, missing sound and display glitches usually trace back to one bad driver. Find and replace yours safely.Free scan · under a minuteAssume sensitive information is off-limits to an AI tool unless the exact product, account, plan and organizational policy explicitly permit it. Before submitting anything, reduce the data to the minimum needed, remove identifiers and secrets, verify where the content will be stored and who can access it, and review the tool’s retention, training, integration and deletion controls. If a contract, law or internal rule forbids disclosure, do not upload the material without documented approval.
What “secure” means for AI use
Securing data in an AI workflow is more than switching off model training. You need to control the entire path: what a person copies into a prompt, what files or connected systems an assistant can retrieve, how the provider stores logs and attachments, who can administer the account, where processing occurs, and what remains after a user deletes a chat.

NIST’s privacy guidance puts the principle plainly: “PII should be protected from inappropriate access, use, and disclosure.” Its SP 800-122 publication (2010) recommends context-based protection rather than treating every data element as equally risky. The Federal Trade Commission (FTC) similarly states: “Effective data security starts with assessing what information you have and identifying who has access to it.” That assessment must include information moving into, through and out of a business.
AI changes the assessment because a seemingly harmless prompt can become identifying when combined with other details. NIST warns that AI systems can create new re-identification risks and reveal additional insights about people. A screenshot, a short code fragment or a partial customer record can therefore require the same care as a complete document.

This is practical risk guidance, not a jurisdiction-specific legal opinion. Privacy, secrecy, employment, export-control, health, financial and customer-contract requirements differ by location and data type. Your legal, security and compliance teams must decide whether a particular use is permitted.
Start with a data-flow and access inventory
Before choosing a tool or writing a prompt, map the information and the people or systems that can touch it. Make the inventory concrete enough that another reviewer can follow the path.
List every input and attachment
- Text typed into the prompt, including pasted email threads, notes and error messages.
- Uploaded documents, spreadsheets, images, audio, source-code repositories and screenshots.
- Retrieved context supplied by search, plug-ins, connectors or an agent.
- Metadata such as file names, usernames, timestamps, case numbers and document properties.
- Outputs copied into ticketing, customer, payroll, clinical, production or other sensitive systems.
Identify access at each stage
Record the submitting user, workspace administrators, support personnel, connected applications, model provider, subprocessors and any downstream system receiving the output. Check whether access follows individual identity and existing permissions or whether a connector uses a broader service account. A tool that can read a user’s permitted files may still expose more information than the user intended if those permissions are overly broad.
Do these 3 things before closing this tab:
1Scan for outdated or missing drivers - takes under a minute2Repair Windows errors before they cause bigger problems3Fix the driver behind crashes, sound loss and screen glitchesClassify the material in context
Use categories that match your organization’s policy. A practical set is public, internal, confidential, personal, regulated, credential-bearing and otherwise restricted. Classify the surrounding context too: a unique date, job title and location can identify a person even after a name is removed.
Include data that the model may infer. A prompt asking for “all employees in a small team who took medical leave in March” can reveal sensitive facts even when no medical record is attached. Treat inferred or combined information as part of the data-flow review.
Apply minimization before disclosure
The safest sensitive-data submission is the one you never make. Ask whether the task can be completed with a synthetic example, a generalized description or a local, approved process.
Remove unnecessary identifiers
Replace names, email addresses, account numbers, customer IDs and unique business details with neutral labels such as [customer], [account] and [employee]. Preserve only attributes needed for the answer. If the model must compare records, use consistent pseudonyms rather than real identifiers.

Reduce the scope of the source
For a question about one clause, provide that clause instead of an entire contract. For a coding explanation, isolate the smallest reproducible function and replace endpoints, tokens, hostnames and proprietary names. For a spreadsheet question, create a synthetic sample with the same column types and edge cases.
Keep credentials out of ordinary prompts
Never paste passwords, API keys, access tokens, recovery codes, private keys, session cookies or connection strings into a general AI chat. Use an approved secrets-management workflow and pass only a non-sensitive reference when the authorized integration supports it. If a secret is accidentally disclosed, treat it as compromised: revoke or rotate it through the organization’s incident procedure.
Check attachments and hidden context
Review comments, tracked changes, hidden spreadsheet tabs, EXIF metadata, document revision history and embedded images before upload. A screenshot can contain an email address or a browser URL that is not visible in the main text. Remove retrieved context that is irrelevant to the task.
Verify the exact account, product and contract
“The AI tool” is not a sufficient security description. A consumer account, managed workspace, application programming interface (API), enterprise plan and connected agent can have different terms, retention periods and administrative controls.
Confirm the account boundary
Sign in to the intended organizational workspace, not a personal account with a similar email address. For managed ChatGPT accounts, OpenAI says an organization administrator may control features and data, including access, retention, export and deletion. Your organization should document which account types may process each data class and block unsanctioned alternatives where possible.
Read the controls for the selected plan
Check the current documentation and contract for:
- Whether prompts, outputs, files or feedback may be used for model improvement.
- Default and configurable retention for chats, attachments, logs, safety review and backups.
- Deletion scope, deletion timing and exceptions for legal, security or safety retention.
- Data location, processing regions, subprocessors and residency commitments.
- Administrator visibility, export, audit and user-access controls.
- Support access and the conditions under which provider personnel may view content.
Do not generalize from a vendor’s brand-level statement. The relevant terms are those for your exact plan, region, feature and configuration.
Secure the prompt while you compose it
- State the task without the sensitive payload. First describe the desired transformation, format or decision. Determine which fields are genuinely required.
- Substitute neutral values. Replace direct identifiers and unique facts with consistent labels. Alter dates, amounts and free-text details when exact values do not affect the answer.
- Send the smallest excerpt. Remove unrelated pages, rows and conversation history. If the model needs structure, provide a schema or synthetic sample rather than the source dataset.
- Inspect the final prompt. Search for secrets, personal data, customer names, internal URLs, file paths, proprietary algorithms and regulated content. Check attached files separately.
- Review the response before reuse. Treat output as untrusted. Verify facts, remove accidental sensitive text and ensure that copying it into another system will not broaden access or trigger an unintended action.
These steps address input confidentiality. They do not replace controls for hallucinations, unsafe recommendations, prompt injection or unauthorized actions. A model can produce a harmful answer even when the original prompt was properly minimized.

Evaluate integrations and agents as separate access paths
A prompt may cause an assistant to retrieve information that was never typed by the user. Connectors to mail, storage, source control, customer systems or enterprise search can turn a narrow question into a broad data-access event.
The Tool Desk
Outbyte Driver Updater FREEFix the driver behind crashes, sound loss and screen glitchesFind Drivers →Outbyte PC Repair FREERepair Windows errors before they cause bigger problemsFix Now →Review permissions and scopes
List every connected application and the scopes it requests. Prefer read-only access, resource-level restrictions and short-lived authorization. Remove unused connections. Confirm that the integration honors the user’s existing identity permissions and sensitivity labels rather than using a shared account with wider access.
Check agent-specific terms
Microsoft states that agent handling requires its own review. Read the agent’s terms and privacy statement, including any third-party service it calls. Web-search queries, plugins and custom agents may have distinct data handling from the core workspace. An enterprise control that applies to one feature is not automatically inherited by every extension.
Constrain retrieval and actions
Limit an agent to approved sources, folders or sites. Require confirmation before sending messages, changing records, publishing content or executing code. Log which sources were retrieved and which actions were attempted. Test with non-sensitive data before enabling production access.
What vendor settings can and cannot tell you
Vendor documentation is useful evidence, but it describes particular products and configurations rather than granting a universal approval.

| Model improvement | Are prompts, outputs, files or feedback used to improve or train models? Does a setting cover every feature? | A setting may apply only to new conversations, a specific account type or selected products. |
| History and retention | How long are chats, files, logs, safety records and backups retained? What does deletion remove? | Turning off training is not the same as deleting saved chats. |
| Identity and permissions | Are existing user permissions, groups and sensitivity labels enforced during retrieval? | Plan and connector configuration can change the answer. |
| Integrations and agents | What scopes, subprocessors and third-party terms apply? | Each agent or web-search feature may require a separate review. |
| Audit and governance | Can administrators audit use, enforce retention, restrict sharing and investigate incidents? | Availability varies by subscription and region. |
| Geography and compliance | Where is data processed and stored, and which contractual commitments cover the workload? | Do not infer legal compliance from encryption or a product name alone. |
OpenAI account examples
OpenAI documents that eligible personal ChatGPT users can turn off “Improve the model for everyone” for new conversations. That change does not remove chats from history; saved chats must be deleted separately. OpenAI also states that content from Business, Enterprise, Edu, Healthcare workspaces and the API is not used to train models by default. The account, workspace and administrator settings still govern the actual behavior. Temporary chats have separate handling and may be retained for safety purposes for up to 30 days while temporary. Verify current terms before relying on any of these settings.
Microsoft organizational Copilot examples
Microsoft’s enterprise data-protection documentation describes encryption at rest and in transit, tenant isolation, identity and permission controls, sensitivity labels, retention policies and auditing for organizational Copilot and Copilot Chat, with differences by plan. Microsoft says prompts, responses and Microsoft Graph data accessed through Copilot are not used to train foundation models. Web-search queries and agents can have distinct terms or handling, so assess those paths separately.

Retain and delete interactions deliberately
Set a written schedule for chats, uploaded files, logs, feedback and exports. The FTC recommends documenting what information must be kept, how it is secured, how long it is retained and how it is disposed of. Align the schedule with legal holds, contractual duties, incident investigations and business need.
- Identify the workspace or account where the interaction resides.
- Use the product’s deletion controls for chats, files and shared links, not only the training-control toggle.
- Remove copies in browser downloads, local sync folders, ticket systems, notebooks and backups according to policy.
- Confirm whether deletion is immediate, delayed or subject to safety, legal or backup exceptions.
- Record completion when the material is regulated, contractually restricted or involved in an incident.
Keep history only when there is a defined purpose and approved access. A convenient archive of prompts can become an ungoverned repository of personal or confidential information.
Build an organizational policy that people can follow
A policy should give users an answer at the moment they are about to paste data, not merely state that security matters.
Define allowed and prohibited categories
- Allowed: public information and approved synthetic or anonymized examples.
- Conditionally allowed: internal or confidential material in an organization-approved plan with documented controls and a defined business purpose.
- Prohibited without explicit approval: credentials, private keys, unredacted regulated records, customer-confidential material covered by a disclosure restriction, and data that policy or contract forbids sending to external services.
Specify exceptions, the approving role, required documentation and the approved tool or account. Make the rule apply to attachments, screenshots, retrieved context and outputs, not just typed prompts.
Assign responsibilities
Data owners classify information; security teams approve architecture and integrations; privacy or legal teams interpret applicable obligations; administrators configure retention and access; users inspect prompts and report mistakes. Role-based access should ensure that an administrator can manage settings without automatically receiving every conversation’s content.
Train and test
Use realistic exercises: redact a customer email, identify a hidden spreadsheet tab, inspect an agent’s requested scopes and practice deleting a saved chat. Test whether logging, alerts and incident escalation work before a sensitive workload is enabled.

Compare an AI option before approving it
Use the following checklist in a procurement or security review. Require evidence for each answer rather than accepting a general marketing statement.
Best Value
| Decision question | Evidence to request |
|---|---|
| Which account and contract apply? | Plan name, service terms, data-processing agreement and administrator documentation. |
| Can content improve models? | Current training/model-improvement policy and the exact setting scope. |
| What is retained? | Retention periods for chats, files, logs, feedback, safety review and backups; deletion procedure. |
| Who can access content? | Identity model, administrator roles, support access, tenant isolation and audit records. |
| What can integrations retrieve or change? | Permission scopes, connector list, agent terms, action approvals and source restrictions. |
| Where is data processed? | Regions, residency options, subprocessors and contractual commitments. |
| Can the organization enforce policy? | Retention administration, sharing restrictions, approval workflows, monitoring and incident export. |
Compare the actual configured plan, not two brands in the abstract. Microsoft notes that controls vary by subscription, and OpenAI distinguishes consumer settings from managed workspace controls. A lower-risk account can become high-risk when an unrestricted connector, broad group permission or long retention period is added.
Respond to an accidental disclosure
Do not wait to determine whether the model “used” the information. Preserve the relevant facts and notify the organization’s incident channel promptly.
- Stop further sharing and disconnect the affected integration if doing so will not destroy evidence.
- Record the account, workspace, time, prompt, attachments, recipients, connected sources and resulting actions.
- Ask an administrator to apply chat, file and link deletion controls and to preserve required audit records.
- Rotate exposed passwords, keys, tokens or certificates through the approved secrets process.
- Notify the data owner, security, privacy, legal or contractual contacts required by policy.
- Assess whether the output was copied into another system, sent externally or used to make a consequential decision.
- Document corrective actions, such as narrower permissions, a new redaction rule or disabling an unapproved agent.
NIST SP 800-122 includes incident-response planning among its recommendations for protecting personally identifiable information. Your response plan should therefore cover AI prompts and retrieved context, not only conventional databases.
A practical go/no-go decision
Approve the use only when all of these conditions are true:
- The task has a defined business purpose and cannot be completed with less data.
- The material is classified and the organization’s policy permits the disclosure.
- The exact account, plan, contract and processing location are known.
- Identifiers, secrets and irrelevant context have been removed.
- Retention, deletion, model-improvement and access controls are documented.
- Connected apps and agents have approved scopes and terms.
- The response will be reviewed before it enters a sensitive system or triggers an action.
- An owner, audit trail and incident path exist.
If any answer is “no” or “unknown,” pause and use a synthetic example, an approved local workflow or an escalation route. Convenience is not a sufficient reason to disclose restricted information.
Frequently Asked Questions
How do I stop my chats from training ChatGPT?
For eligible personal ChatGPT accounts, turn off “Improve the model for everyone” in the product’s data-control settings. This applies to new conversations and does not delete chats already saved in history; delete those separately. Check the current help documentation because account eligibility and behavior can change.
What if I want to keep my history on but disable model training?
Use the model-improvement setting without disabling history, if that combination is offered for your account. Treat the two controls separately: history governs access and retention, while model-improvement settings govern use for training or improvement. Confirm the scope for your exact account and feature.
Free tools Windows power users keep installed
One-click scans. No signup required.
Is an enterprise or business AI plan automatically safe for confidential data?
No. Managed plans may provide stronger controls, but approval still depends on the exact subscription, contract, region, retention configuration, permissions and integrations. Classify and minimize the data, then verify those controls before use.
Can I paste a password or API key into an AI assistant if I delete the chat afterward?
No. Do not place credentials in an ordinary prompt. Use an approved secrets-management workflow; if a secret was exposed, revoke or rotate it and follow the incident process. Deleting a chat does not guarantee that every log, backup or recipient copy disappears immediately.
Does encryption mean an AI tool complies with my privacy obligations?
No. Encryption protects data in particular states, but compliance also depends on purpose, permissions, retention, processing location, contracts, user rights, connected services and the type of information involved. Obtain a jurisdiction- and workload-specific review when required.
