Protecting business information works best as a layered routine: know what you hold, reduce what can be stolen, restrict access, harden devices and networks, maintain recoverable backups, and rehearse what happens after an incident. The Federal Trade Commission (FTC) puts the business impact plainly: "Your business can’t afford to lose time, information, or money to cyberattacks."
The 17 measures below are designed for small and midsize organizations as well as larger teams. They cover customer and employee records, payment and payroll data, intellectual property, operational systems, cloud services, paper files and the vendors that can reach them.

1. Find every place business information exists
Build a usable data inventory
Start with a written map of customer, employee, financial, intellectual-property and operational information. Record where each dataset lives: laptops, phones, file servers, cloud applications, email, removable media, paper cabinets and backups. Note which employees, contractors and vendors can use it, and what business process depends on it.

A spreadsheet can list the data owner, storage location, access groups, retention period and vendor connections. Update it when you adopt a service, move files or change a process. You cannot protect an account, database or backup that nobody knows exists.

- 12-Month Warranty: Backed by a 12-month manufacturer warranty for peace of mind. Designed to meet strict quality control standards for reliable everyday performance.
2. Keep less information for less time
Set a purpose and deletion date
For every category in the inventory, identify the business or legal reason you keep it. Delete information that has no current purpose and set a retention schedule for information you must retain. Apply the schedule to email exports, downloaded reports, local spreadsheets and test data, not just the main database.
Dispose of paper through secure shredding. When a laptop, phone, USB drive or other storage device leaves service, sanitize it so old files cannot be recovered. Deleting a shortcut or dragging a file to a recycle bin is not a complete disposal process for sensitive records.
3. Classify data so controls match the risk
Use simple, visible labels
Create categories such as public, internal and confidential, then define what each label permits. Payment details, identity documents, health information, payroll records and proprietary material should receive the strongest controls. Put the classification in file metadata, document headers or folder names so employees can make the right handling decision without guessing.
Do these 3 things before closing this tab:
1Repair Windows errors before they cause bigger problems2Scan for outdated or missing drivers - takes under a minute3Clear out junk files and repair common Windows errorsClassification should drive sharing, encryption, retention and access rules. A public marketing image does not need the same treatment as a payroll export. Review classifications when a record is combined with other data or its business purpose changes.
4. Give each person only the access they need
Apply least privilege continuously
Use separate accounts rather than shared credentials, and grant the minimum permissions required for a role. Keep administrator rights limited to the people and tasks that need them. Give vendors time-limited access to a defined system instead of a permanent, broad account.
Review permissions on a schedule and after promotions, transfers, contractor changes and departures. Remove access promptly when someone leaves. Keep an emergency administrator account under controlled ownership, with its use logged and reviewed.
5. Require long, unique passwords
Make 12 characters the floor
FTC guidance describes a strong password as at least 12 characters. Require a different password for every service, never share passwords in chat or email, and do not reuse a business password on a personal site. Long passphrases are easier to manage when they are unique and stored in an approved manager.

Document how employees can report a suspected compromise and change the affected credential immediately. A password that has appeared in a breach, been sent to the wrong person or entered into a suspicious page should be treated as exposed.
6. Deploy a business password manager
Centralize creation and storage safely
NIST recommends considering a password manager to create and store strong passwords. Choose a business service that supports individual accounts, administrative recovery and controlled sharing rather than one household vault passed between employees.
Protect the password-manager account itself with multi-factor authentication (MFA), keep its recovery method current and restrict administrative access. Establish a process for transferring credentials when an employee leaves so service accounts do not become orphaned.
7. Turn on phishing-resistant MFA
Cover every important account
Require MFA wherever a service offers it, prioritizing email, identity providers, remote access, financial systems, cloud administration, password managers and backups. CISA and NIST recommend phishing-resistant methods where available. A FIDO2 security key is a physical option that can provide that resistance; issue a primary key and maintain a controlled spare for account recovery.
Record which accounts are covered and test the recovery path before an emergency. MFA reduces the damage from a stolen password, but it does not remove the need to inspect unexpected login prompts, links and attachments.
8. Patch and update automatically
Close known weaknesses quickly
Enable automatic updates for operating systems, browsers, applications, firmware and security tools wherever business testing permits. Updates fix known vulnerabilities, and delaying them leaves a weakness that attackers already understand.
Maintain a list of unsupported products and replace them or isolate them from sensitive systems. For software that cannot update automatically, assign an owner, a review date and a documented exception with compensating controls.

9. Protect every endpoint
Cover laptops, phones and removable media
Use updated antivirus or endpoint-protection software on supported computers and mobile devices. Configure automatic scanning and alerts, and make sure someone is responsible for acting on them. Lock screens when devices are unattended and require a secure unlock method.
Recommended Free Tools
Remove unsupported software and applications that are not needed for work. Establish a process for lost or stolen equipment that can disable accounts, revoke sessions and protect data on the device.
10. Encrypt information in storage and transit
Protect copies, not just primary systems
Encrypt laptops, phones, removable media, backups and cloud storage containing sensitive information. Encryption at rest helps if a device or drive is stolen; encryption in transit protects information while it moves between people, systems or locations.
Use protected channels when sending confidential files and verify recipients before sharing. Keep recovery keys under controlled access and document how authorized staff can retrieve them; encryption that nobody can unlock is an availability failure.
11. Secure Wi-Fi and network equipment
Remove the defaults attackers expect
Change default administrator usernames and passwords on routers and wireless access points. Disable remote management unless it is required and tightly restricted. Log out of administrator accounts after configuration instead of leaving an active session open.
Free tools Windows power users keep installed
One-click scans. No signup required.
Use WPA2 or WPA3 encryption, keep router firmware current and separate guest or personal devices from business systems where the equipment supports network segmentation. Review connected-device lists for equipment that should no longer be present.
12. Back up on a schedule, including the full environment
Keep a copy attackers cannot alter
Back up important files and the full operating environment on a defined schedule. The right interval depends on how much work the business can afford to recreate, but the schedule must be automatic or assigned to a named owner.

Maintain at least one backup disconnected from the network. A synchronized cloud folder is useful for availability, but it remains connected; it should not be the only recovery copy. Protect backup administration with separate credentials and MFA, and encrypt backup media.
| Backup approach | What it provides | Key limitation or requirement |
|---|---|---|
| Connected cloud synchronization | Convenient access to current files across approved devices | It remains connected to the network and does not satisfy the requirement for a disconnected recovery copy. |
| Separately protected or disconnected copy | Recovery data that is harder for a network intruder or ransomware process to alter | It must be stored securely, tracked and brought online under controlled procedures. |
| Full-environment backup | Operating systems, applications, configurations and data needed to rebuild a working service | Restoration must be tested on a schedule; a backup that cannot be restored is not a usable recovery plan. |
13. Test that restoration actually works
Practice before ransomware forces the test
Periodically restore individual files and complete systems to a clean location. Confirm that permissions, application dependencies and data integrity survive the process, and measure how long recovery takes. Record failures, correct them and repeat the test after major system changes.
Include the people who would perform the recovery, not just the person who configured backups. Keep written instructions and an offline copy of essential contact details in case normal systems are unavailable.
14. Log and monitor for early warning
Turn events into assigned actions
Centralize useful logs from identity systems, endpoints, firewalls, cloud services and backup platforms. Alert on unusual sign-ins, privilege changes, mass file changes, disabled security tools and unexpected data transfers. CISA notes that early detection can prevent larger breaches and reduce ransomware impact.
Assign people to review alerts, define severity levels and set response times. Retain enough history to investigate, while applying the same retention and access controls used for other sensitive information. A log nobody reviews is storage, not monitoring.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone.15. Train employees and rehearse phishing reports
Make the safe action obvious
Teach staff to inspect links before opening them, avoid unexpected attachments and verify urgent payment, password or wire-transfer requests through a known telephone number or existing conversation. Explain how attackers imitate executives, suppliers and cloud-service notifications.

16. Prepare and practice an incident-response plan
Write the decisions before an emergency
Your plan should identify who can make decisions, who isolates systems, who investigates and who communicates. Include legal, regulatory, insurance and law-enforcement contacts, along with customer-notification criteria and recovery priorities.
- Identify: Record what was observed, when it began and which accounts, devices or data may be involved.
- Contain: Isolate affected devices or accounts without destroying evidence; preserve relevant logs.
- Investigate: Determine the scope, remove unauthorized access and confirm that patches and credentials are corrected.
- Communicate: Use approved internal messages and coordinate any customer, regulator, partner or media notification with the appropriate advisers.
- Recover: Restore from verified clean backups, monitor for recurrence and return services in business-priority order.
- Improve: Document lessons, update controls and rehearse the revised plan.
Practice the plan with a tabletop exercise at least periodically and after major changes. Cyber-insurance, if purchased, should be understood rather than assumed: FTC distinguishes first-party coverage for the business’s own response costs from third-party liability coverage for claims by others.
17. Secure vendors and physical assets
Extend controls beyond your office
Before granting a vendor access, define the systems, data, duration and support personnel covered by the contract. Require prompt notice of security incidents, cooperation with investigation and confirmation that fixes are complete after a vendor event. Remove access when the engagement ends and review long-running integrations.
Lock rooms containing networking equipment, paper records and backup media. Do not leave laptops or removable drives unattended in public areas or vehicles. Securely destroy paper and storage media when retention ends, and keep a disposal record for sensitive assets.
How to make the 17 tips manageable
Do not treat this list as a one-time compliance project. Assign an owner and review date to each control, then start with identity and recovery: unique passwords in a business manager, phishing-resistant MFA on high-value accounts, automatic patching and a disconnected backup that has been restored successfully. Add inventory, classification, monitoring, training, vendor reviews and physical safeguards as an operating cycle.
Measure completion with evidence: an access review export, an update report, a backup-success record, a restoration log, a phishing-report exercise and a current incident-contact sheet. That evidence shows whether a control works when the business is busy, a device is lost or an attacker is already inside.
