You can schedule YouTube playlist edits from Google Sheets by storing each change in a row, then using an Apps Script time-driven trigger to call the YouTube Data API when the row is due. This is separate from scheduling a YouTube Live broadcast: playlist edits change the videos in a playlist; broadcast scheduling controls the live event itself.
What this workflow schedules—and what it does not
A Google Sheet can act as a queue for playlist changes. Apps Script checks for due rows and uses YouTube Data API methods to add a video or reposition an existing playlist item. The YouTube Live Streaming API manages broadcasts and their associated streams; it does not itself schedule playlist membership or ordering changes. If you need to schedule a broadcast event, that is a separate job using live-broadcast resources.

The official Google documentation describes the required building blocks, but does not provide a ready-made scheduler for this exact workflow. The sheet layout and processor below are implementation guidance based on those APIs and triggers.

Choose columns for each scheduled change
Create a header row and use one row per operation. A practical layout is:

| Column | What to enter |
|---|---|
| Due at | Date and time when the change should be eligible to run. |
| Action | insert to add a video or move to reposition an existing item. |
| Playlist ID | The target playlist’s ID. |
| Video ID | The YouTube video ID to add or reposition. |
| Playlist-item ID | For a move, the ID of the existing playlist-item resource—not just the video ID. |
| Position | Optional target position for a move; YouTube’s example uses a zero-based index. |
| Status | For example, pending, completed, or error. |
| Last run | Timestamp of the most recent attempt. |
| Error | Useful API error detail if the operation fails. |
Use consistent date/time values and verify the spreadsheet and Apps Script time zones agree with the schedule you intend. Treat rows as pending until a successful API response is recorded. Before each attempt, re-check the status so a retry does not blindly submit an insert that may already have succeeded.
Enable YouTube access
- Open the Google Sheet and choose Extensions > Apps Script to create or open its script project.
- In the Apps Script editor, open Services and add the YouTube advanced service. Follow the project prompts to enable the corresponding API if required.
- Run a function from the editor once and complete Google’s authorization prompt using an account that can manage the target YouTube channel. Grant the YouTube access scopes requested by the script.
Google’s Apps Script quickstart demonstrates creating a project from a Sheet and authorizing it; the YouTube advanced service exposes the API methods needed for playlist changes.

Implement the playlist operation
Add a video with playlistItems.insert
For an insertion, build a request with snippet.playlistId set to the destination playlist ID and snippet.resourceId identifying the YouTube video. The API call requires OAuth authorization with a permitted YouTube scope. Google lists the quota cost as 50 units per playlistItems.insert call; your available daily quota depends on the allocation for your project, which is not established by that per-call figure.
Only mark the row completed after the API call succeeds and the response identifies the created playlist item. On an error, preserve the row as an error or pending retry with the response details, rather than recording a success that did not occur.

Move an existing video with playlistItems.update
To reposition a video, identify the playlist-item resource ID first. The update request needs the item ID, playlist ID, video resource ID, and desired position. The YouTube implementation example uses a zero-based position. Position updates require the playlist’s ordering option to be set to Manual; automatic ordering can prevent the requested placement from taking effect.
Construct the update body carefully. When a requested part includes mutable fields, omitted mutable values in those parts can be cleared. Include the values you intend to retain. Do not use contentDetails.startAt or contentDetails.endAt to schedule when a video plays: the playlist-item reference marks those fields deprecated and says values are ignored if set.

Run changes on a schedule
Write a processor function that reads the sheet, selects due rows still marked pending, validates the required IDs and action-specific fields, performs the API call, then records the outcome and attempted time. Install an Apps Script time-driven trigger for that processor. Apps Script trigger configurations range from every minute to once per month, depending on the interval selected.

Do not promise exact-to-the-second execution. Google’s example notes that a recurring 9 a.m. trigger may run sometime between 9 and 10 a.m., then maintain a consistent time. The trigger runs under the Google account that created it, so that account must remain able to authorize and manage the channel.

When setting up the trigger, avoid creating duplicates for the same handler. Google’s sample removes an existing trigger for that function before creating another. Review Apps Script execution records and failure notifications to find runs that did not complete.
Validate, retry, and troubleshoot
- The script cannot access YouTube: confirm the YouTube advanced service is enabled, rerun authorization, and ensure the authorizing account has permission to manage the target channel.
- An insert fails: check that the playlist ID and video ID are present and accessible to the authorized account, and inspect the API error for an inaccessible playlist or unsupported operation.
- A move fails or the order does not change: verify the playlist-item ID (not merely the video ID), playlist ID, video resource ID, and zero-based position. Confirm the playlist uses Manual ordering.
- A row runs more than once: make the processor re-read status immediately before acting, and update status only after a confirmed result. A trigger-driven design should not be treated as an exactly-once guarantee.
- The job runs at an unexpected time: account for Apps Script’s trigger timing window and check the spreadsheet, project, and trigger time-zone settings.
- Quota errors occur: reduce unnecessary writes and repeated attempts. Each insert costs 50 quota units; the available daily quota for a particular project must be checked in its own Google API settings.
Or let it run in the cloud
If the goal is a continuous YouTube stream of uploaded videos rather than scheduled edits to playlist membership or order, StreamNeo is a separate option: upload a recording or build a playlist, add your YouTube stream key once, and go live. It runs from the cloud, so nothing has to stay on at home; it streams what you upload at any quality up to 4K 60fps for one flat price per slot, with no re-encode or quality tiers, and automatically recovers if YouTube drops the stream. The first day is free with no card. Monthly service is $9.99 per month.
