Give an AI email tool only the access its specific task requires, check what it can do with your messages, and review any consequential action before it happens. A connection screen is not a complete privacy or safety explanation: permissions, provider data practices, AI instructions embedded in messages, and the way you revoke access all matter.
1. Define the job before connecting your inbox
Write down exactly what you want the tool to do, such as “find messages from this sender and summarize them.” Then ask what access that task requires. Reading and summarizing messages does not, by itself, require permission to send, delete, or modify email.

Google’s OAuth policy says apps should request the smallest set of scopes necessary for the functionality a user chooses. It gives the example that an app which occasionally sends email should not request full email access. Google’s OAuth 2.0 Policies also describe secure consent context and user-visible app identity. If the requested permissions seem broader than your task, pause rather than approving them by default.

Before approving access, verify the app’s identity and where the authorization is being granted. Read each permission in the consent screen, not just the app’s name or the button label. Permission wording varies by provider, so determine whether the tool can only read messages or can also send, change, or delete them.

- POWERFUL SECURITY KEY: The Security Key C NFC is the essential physical passkey for protecting your digital life from phishing attacks. It ensures only you can access your accounts.
- WORKS WITH 1000+ ACCOUNTS: Compatible with Google, Microsoft, and Apple. A single Security Key C NFC secures 100 of your favorite accounts, including email, password managers, and more.
- FAST & CONVENIENT LOGIN: Plug in your Security Key C NFC via USB-C and tap it, or tap it against your phone (NFC) to authenticate. No batteries, no internet connection, and no extra fees required.
- TRUSTED PASSKEY TECHNOLOGY: Uses the latest passkey standards (FIDO2/WebAuthn & FIDO U2F) but does not support One-Time Passwords. For complex needs, check out the YubiKey 5 Series.
- BUILT TO LAST: Made from tough, waterproof, and crush-resistant materials. Manufactured in Sweden and programmed in the USA with the highest security standards.
- Stop if you cannot identify the app or understand who will receive access.
- Stop if the requested access materially exceeds the task you defined.
- Prefer a narrower read-only option when it can do the job.
- If sending or modifying email is necessary, look for a separate confirmation step that lets you inspect the action first.
OAuth is an authorization mechanism, not a blanket guarantee that an integration is safe or that every data-handling question is answered. Evaluate the app and its terms as well as the permissions.
3. Treat email content as untrusted instructions
An email can contain text aimed at manipulating an AI assistant, including instructions that are hidden or visually unobvious to a person. Microsoft describes direct and hidden instructions in messages in its guidance on prompt injection protection in Microsoft Defender for Office 365.
Providers may add protections, but those protections are not a guarantee against every attack. Google says Gemini may warn about, exclude, or decline to respond to suspicious content, including malicious instructions in email. Google’s explanation of Gemini protections describes those behaviors. OpenAI likewise cautions that prompt-injection advice may not prevent every attack and recommends limiting an agent’s access to the data it needs: Understanding prompt injections.

- Unit auto-locks for 30 minutes after 5 consecutive incorrect PINs
Give the assistant a narrow instruction tied to your goal. “Summarize the latest invoice from this sender” is more bounded than “review my emails and take whatever action is needed.” Treat an email’s request for the AI to reveal information, follow links, or take unrelated actions as content to assess—not as authority to override your instructions.
4. Keep sending and other consequential actions under review
Whether an AI can send email depends on the permissions you grant and the product’s action controls. A tool with sending permission may be able to act from your account; a read-only connection should not be assumed to have that capability. Check the consent screen and the product’s settings for the actual distinction.
For any send, deletion, or other consequential change, review the details before confirming. OpenAI’s user guidance recommends checking what information will be shared before confirming actions such as sending email. Inspect at least:

- the recipient and any copied recipients;
- the message text and any quoted or attached information;
- links and attachments;
- the action being taken, especially if it changes or removes mailbox content.
Start with a low-risk task and observe how the tool behaves before relying on it for important correspondence. Do not give a broad instruction that leaves the assistant to decide what action is appropriate.
5. Read the provider’s data and account settings
The permission grant tells you what the app is authorized to access; it does not, by itself, explain how retrieved information is stored, processed, used for model improvement, or retained in chats and memories. Review the AI provider’s current privacy terms and the relevant account controls. For a work account, check workspace settings and ask an administrator about applicable restrictions.
For ChatGPT connected to Google apps, OpenAI says the connection is subject to account permissions and workspace settings. Its Google app data controls FAQ says connected Google app data is not used to train generalized models except in listed circumstances; when Memory is enabled, eligible information may personalize the experience. Those statements are specific to ChatGPT’s Google connection and should not be generalized to other AI tools. OpenAI also says connected non-synced third-party apps are governed by the provider’s terms in its guidance on admin controls, security, and compliance for apps in ChatGPT.

6. Know how to disconnect access and manage what remains
Plan how to remove access before you grant it. There may be two separate controls: revoke the app’s permission in your email account’s connected-app or app-permissions settings, and disconnect the integration inside the AI product if it offers that option. Removing one connection does not necessarily delete information already retained in conversations or saved memories.
OpenAI says disconnecting a Google app does not automatically delete related chats or saved memories; consult its Google app data controls FAQ for the relevant controls. Review and delete retained chats or memories separately if you want them removed. For a work-managed agent, Microsoft recommends validating that revocation takes effect and checking logs and downstream enforcement; its guidance on least privilege for AI agents discusses scoped permissions, action boundaries, tool allowlists, auditing, and revocation. These enterprise controls vary by product and configuration, and may not be available in consumer connectors.

Quick Recap
Before you approve: a practical checklist
- Name one specific task the AI should perform.
- Verify the app identity and authorization destination, then read every requested permission.
- Choose the narrowest access that supports the task; do not grant sending or modification rights for a read-only job.
- Check the provider’s data, retention, memory, and workspace settings.
- Use a low-risk test, then inspect recipients, text, links, attachments, and changes before confirming consequential actions.
- Know where to revoke account access and how to separately remove retained chats or memories.
