How to Reduce Data and Privacy Risks When Using Generative AI

Generative AI is safest when it receives the minimum information needed for an approved task. Reduce exposure by classifying data first, removing identifiers and secrets, checking a provider’s retention and training terms, enforcing least-privilege access and encryption, monitoring use, and deleting temporary data on schedule. Redaction, pseudonymization, anonymization and differential privacy can lower risk, but none is an automatic guarantee.

Why prompts and files can become a privacy problem

A prompt is still a data transfer. Text, images, spreadsheets, source code, retrieved documents and tool outputs may contain personal information, confidential business details or credentials. Once sent, that material can be copied into service logs, support systems, safety-review queues, backups, connected applications or model-development workflows, depending on the provider’s terms and configuration.

The UK Information Commissioner’s Office (ICO) warns that “Using AI to process any personal data has important implications for your security risk profile, and you need to assess and manage these carefully.” The risk is not limited to an obvious breach. A system might retain a prompt longer than expected, reveal a person’s information in an answer, infer a sensitive attribute, or allow an attacker to extract information through repeated queries.

Risk also changes over time. A vendor can change its model, subprocessors, hosting region, retention settings or integration behavior. Your own use can change when a team connects a new data source or moves from experimentation to production. Treat privacy as a lifecycle responsibility rather than a one-time checkbox.

Start with data minimization

Before opening an AI tool, define the task and the smallest input that can produce a useful result. If a model only needs the structure of a document, send a template or synthetic example instead of the real record. If it needs to classify text, remove names, contact details and account numbers first. If it needs to explain code, strip credentials, private keys, tokens and proprietary comments.

Classify what may enter the tool

Data category Default handling Examples and required action
Public or synthetic data Generally suitable for approved tools after ordinary security checks Published text, invented customer records and test datasets. Confirm that synthetic data does not accidentally reproduce a real person’s information.
Internal business data Use only in a tool approved for that classification Draft plans, internal procedures or non-public analytics. Check retention, training use, geographic processing, subprocessors and deletion controls before upload.
Personal data Minimize, redact or pseudonymize; document the lawful basis and purpose where applicable Names, contact details, identifiers, employment records or support conversations. Keep any re-identification key separate and protected.
Special-category or highly sensitive data Exclude unless a documented approval demonstrates necessity and adequate safeguards Health information, financial account details, identity documents, precise location, credentials and secrets. Use a controlled workflow, not an unapproved public interface.
Regulated, restricted or trade-secret material Prohibit by default until security, legal and procurement reviews approve a specific use Customer databases, source-code secrets, private keys, unreleased inventions and information subject to contractual confidentiality.

Minimization means removing data that is not necessary, not merely hiding a few fields. Context can identify someone even after a name is deleted: a rare job title, an exact date, a unique complaint and a small town may be enough when combined with public information. Review the remaining text for linkage clues before submission.

Use a pre-submission checklist

  • What precise output is required, and can a smaller excerpt or synthetic example provide it?
  • Does the input contain names, contact details, account numbers, health information, credentials, customer records, private keys or confidential business data?
  • Can you redact, aggregate, generalize or replace those fields without defeating the task?
  • Is the tool approved for this data classification and purpose?
  • Have retention, training use, subprocessors, processing locations and deletion terms been recorded?
  • Who can access the account, prompt history, uploaded files and generated exports?

Check the provider before enabling a tool

Do not infer privacy protection from a product label such as “enterprise,” “private” or “secure.” Obtain the actual contractual and technical terms for the edition you will use. Record the answers in a system inventory so a later change can trigger a new review.

Questions procurement and security should document

Control area Evidence to request Decision question
Retention and training Prompt, file, output, log and backup retention periods; whether content is used to train or improve models; opt-out mechanics Can the organization prevent secondary use and set a retention period appropriate to the data?
Deletion and export Deletion workflow, time to removal, backup handling and export format Can data be deleted and retrieved when required by policy or law?
Encryption and keys Encryption in transit and at rest, key-management design and any customer-managed-key option Are protections and key ownership suitable for the classification?
Identity and audit Single sign-on, multifactor authentication, role-based permissions, administrative logs and API audit events Can access be limited to people and services that need it and investigated later?
Location and subprocessors Processing regions, transfer mechanisms, subprocessor list and change-notification process Where can the data travel, and can those transfers be accepted?
API and integration isolation Network controls, tenant separation, endpoint authentication, rate limits and connector permissions Can integrations be restricted so one compromised credential cannot reach every data source?
Incident response Security contact, notification time, investigation support and customer responsibilities Will the provider supply the information needed to contain and report an incident?
Assessment support Security documentation, audit reports, testing summaries and information needed for a privacy or security impact assessment Can your organization demonstrate that the use is justified and controlled?
Operational cost and friction Administrative effort, monitoring cost, user workflow and limits that affect safe use Will controls be practical enough that users do not bypass them?

Federal guidance for government use calls for written limitations on generative AI and safeguards covering record-keeping, cybersecurity, confidentiality, privacy and data protection. The same discipline is useful in a private organization: make the approved purpose, data classes, users, retention and escalation route explicit before deployment.

Apply privacy-preserving techniques correctly

Privacy techniques reduce exposure; they do not convert sensitive data into risk-free data. Validate the transformation against realistic attacks and the information the recipient could combine with it.

Redaction and minimization

Replace direct identifiers with neutral labels, remove unnecessary passages and generalize exact values. For example, change “Maria Chen, 14 Oak Street, account 483920” to “Customer A, urban area, account ending 920” only if the remaining detail is needed. Inspect the result for names embedded in attachments, metadata, comments, filenames and quoted email chains.

Pseudonymization

Pseudonymization replaces identifiers while preserving a re-identification key. Store that key in a separate system with tighter permissions, encryption and independent audit logs. The pseudonymized dataset remains potentially personal data because someone with the key, or with enough outside information, may identify the person.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Anonymization

Anonymization can lower linkage risk when it is effective, but effectiveness must be tested against plausible auxiliary data and model-inference attacks. Rare combinations, small groups and distinctive narratives can defeat a superficial anonymization pass. Re-test when the dataset, model, audience or available public information changes.

Differential privacy

NIST Special Publication 800-226, published in March 2025, describes differential privacy as “a mathematical framework that quantifies privacy loss to entities when their data appears in a dataset.” It provides a way to reason about a privacy budget and disclosure risk, but implementation choices determine the protection actually achieved. Review the mechanism, privacy parameters, composition across repeated releases, utility trade-offs and possible implementation hazards rather than treating “differentially private” as a universal guarantee.

Secure the account, API and connected data

Data minimization limits what can be exposed; access controls limit who can cause exposure and how far an incident can spread. The joint AI Data Security guidance, version 1.0 published in May 2025 by the FBI Internet Crime Complaint Center and partner agencies, describes data security as “a critical enabler that spans all phases of the AI system lifecycle.”

Identity and permissions

  • Require strong, phishing-resistant authentication where available and enable multifactor authentication for administrators and users.
  • Use single sign-on and role-based groups so access can be removed centrally when a person changes role or leaves.
  • Give each API integration its own credential with the narrowest scopes, short expiry and a documented owner.
  • Separate experimentation, testing and production projects. Do not let a prototype account read production customer data.
  • Keep model, connector, storage and administrative permissions separate; a user who can generate text does not automatically need export or data-source administration rights.

Secrets and network controls

  • Keep API keys, passwords, private keys and session tokens in a secrets-management system. Never paste them into prompts, notebooks, tickets or source files.
  • Encrypt data in transit and at rest. Restrict outbound connections and allow only approved endpoints for automated workflows.
  • Use rate limits, quotas and budget alerts to contain automated abuse and runaway loops.
  • Log authentication, prompt and file events, connector calls, exports, administrative changes and policy decisions in a protected, access-controlled system.

Monitoring and anomaly response

Review API queries and account activity for unusual volume, impossible travel, repeated extraction attempts, unexpected data sources or a sudden increase in exports. The ICO recommends monitoring API queries for suspicious activity and considering investigation or account suspension. Define thresholds in advance, preserve relevant logs, and route alerts to someone who can block credentials or connectors quickly.

Remember that outputs can expose data

Privacy review does not end when the model returns an answer. A generated response may reproduce a confidential passage, infer a sensitive attribute, include hidden instructions from a retrieved document or expose information supplied by another connected source. Treat outputs as potentially sensitive until a person checks them.

Review before sharing

  • Compare claims and quoted passages with the permitted source material.
  • Search for personal names, identifiers, secrets, internal URLs and confidential details that were not intended for the recipient.
  • Check whether a summary combines several harmless fields into a revealing profile.
  • Inspect citations, links, attachments and tool actions before forwarding or publishing.
  • Apply the destination’s access controls and retention policy to the output itself; an answer copied into email or a ticket can outlive the original session.

For retrieval-augmented systems and agents, review every connected source and action separately. A model may be isolated while a connector is over-permissioned. Limit the documents, databases, functions and write operations available to each use case.

Write an organizational AI-use policy

A short policy is more effective when it tells people what to do at the moment they are about to paste data. Publish three categories, examples and an approval path.

Allowed

Public information, synthetic examples and de-identified material may be used in tools approved for the task, provided users follow account, copyright, security and review requirements.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Restricted

Internal, personal or confidential information requires an approved tool, a documented purpose, minimum necessary content, defined retention and a responsible owner. Require additional review for health, financial, employment, children’s or other sensitive information.

Prohibited by default

Credentials, private keys, authentication tokens, unapproved customer records, regulated datasets, trade secrets and information whose contract forbids external processing should not be entered into a generative-AI service unless a specific exception is approved and technically enforced.

Make the policy usable

  • Train employees, contractors and temporary staff with realistic examples of safe and unsafe prompts.
  • Provide a reporting channel for accidental disclosure without encouraging people to hide mistakes.
  • Require human review for externally shared or high-impact outputs.
  • Define who approves exceptions, what evidence is required and when approval expires.
  • Keep an inventory of models, accounts, data sources, owners and processing locations.

Use a complete lifecycle workflow

Before use

  1. Define the business or personal task and the minimum information needed.
  2. Classify the data and remove direct identifiers, secrets and unnecessary context.
  3. Choose a tool approved for that classification and record retention, training use, locations, subprocessors, deletion and incident terms.
  4. Complete a privacy or security impact assessment when the purpose, scale, sensitivity or technology warrants it.
  5. Configure identity, permissions, encryption, logging, rate limits and connector scopes before inviting users.

During use

  1. Prefer synthetic, redacted or pseudonymized inputs and verify that context cannot easily reverse the transformation.
  2. Keep production data separate from experimentation and keep secrets outside prompts and source files.
  3. Monitor access, API calls, exports and anomalous behavior.
  4. Review generated content and tool actions before disclosure or execution.
  5. Record important decisions, approvals and exceptions so the use can be audited.

After use

  1. Delete temporary uploads, prompts, exports and cached results according to the approved schedule.
  2. Dispose of sensitive information securely and confirm that downstream copies have the required retention treatment.
  3. Review logs, unusual queries, sharing events and failed policy checks.
  4. Investigate suspected privacy attacks promptly; rotate or suspend credentials and block accounts or connectors when warranted.
  5. Reassess the system when the model, vendor, data source, integration, user population or purpose changes.

Prepare for an incident

Assume an accidental disclosure will eventually occur and make the first response unambiguous. The person who notices it should stop further sharing, preserve the prompt, output, account and timestamp, and notify the designated security or privacy contact. That contact should determine what data was exposed, which recipients and systems can access it, whether credentials or connectors must be revoked, and whether contractual or legal notifications apply.

Do not “clean up” by deleting the only evidence. Preserve relevant logs under controlled access, document containment decisions and communicate with affected teams. After containment, identify why minimization, permissions, monitoring or training failed and update the control, not just the reminder.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Reassess risk as the system changes

The ICO states that “There is no ‘one-size-fits-all’ approach to security.” A low-risk public summarization workflow and an agent connected to customer records need different controls, evidence and review frequency. Revisit the risk assessment after model updates, new subprocessors, regional changes, connector additions, policy exceptions, incidents or a change in the information being processed.

For each review, confirm the purpose, lawful basis where applicable, data classes, retention, access list, processing locations, vendor terms, model behavior, monitoring coverage and deletion process. If the organization cannot explain what data enters the system, who can retrieve it, how long it remains or how an incident will be contained, the use is not ready for sensitive information.
