How to Reconcile UPI Transactions With Your Business Accounts

Reconcile UPI at three levels: match each payment by its transaction ID or UTR, tie the UPI settlement report to the bank statement, and then explain the difference between gross activity and the net amount credited. Keep fees, refunds, reversals, chargebacks, and timing differences as separate records rather than forcing everything into one net figure.

This approach works because UPI is an instant payment system developed by NPCI, an RBI-regulated entity, while settlement and bank posting are separate reporting events. A payment can appear successful in an app before its final settlement, refund, or reversal is reflected in the business account.

What UPI reconciliation is—and what it is not

UPI reconciliation is the controlled process of proving that every material UPI transaction in your operational records has the same identity, amount, direction, status, and final settlement outcome in your bank and accounting records. It is not simply comparing the month’s sales total with the month’s bank credits.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

A reliable close answers four separate questions:

  • Did the payment or payout exist in the UPI source system?
  • Did the corresponding bank entry post to the correct account?
  • Was the amount settled gross, or reduced by a fee, refund, adjustment, or chargeback?
  • Does the accounting entry show the correct business outcome and retain evidence for review?

NPCI’s settlement design is based on daily reports. Its settlement-process guidance says members should use “the reports provided by NPCI and bank’s own reports” to reconcile and raise adjustments for exceptional transactions. A business-level control should apply the same principle: use independent UPI and bank reports, preserve both, and investigate differences instead of overwriting them.

Collect the complete evidence set before matching

Start with a fixed reporting period and preserve the original exports in read-only storage. Do not begin by copying only the rows that appear to match; missing rows are themselves reconciliation exceptions.

Required source files

  1. Business bank statement: Export every relevant account and the full date range, including opening and closing balances, credits, debits, narration, value date, posting date, and bank reference.
  2. UPI app or PSP transaction history: Capture the transaction ID or UTR, timestamp, amount, payer or payee, VPA or name, direction, and displayed status.
  3. Merchant or collection dashboard: Include the order, invoice, payment, refund, and failure records used by the operating team.
  4. Settlement report: Obtain the report that groups transactions into settlement batches and shows settlement date, fees, adjustments, refunds, or other deductions.
  5. Accounting ledger extract: Export the sales, expense, refund, fee, clearing-account, and journal lines that should be linked to the UPI activity.

Lock the period and provenance

Record the extraction date, bank account, PSP or UPI source, reporting timezone if the system provides one, and the exact start and end dates. Keep the unmodified files alongside the working reconciliation table. If a report is regenerated, retain the earlier version and document why the replacement was used.

Use one reconciliation owner and one reviewer, even when different teams own the bank, payment dashboard, and ledger. This prevents a transaction from being marked complete merely because it appears in one system.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Build one normalized reconciliation table

Different systems label the same event differently. Normalize them into one row per transaction or adjustment before matching. Do not combine a payment, its refund, and its bank settlement into a single row; link related rows with the transaction ID, UTR, invoice, or settlement reference.

Field What to record Why it matters
Transaction ID or UTR The identifier from the UPI, bank, or settlement report Primary matching key and audit trail
Date and time Original transaction timestamp and, where available, posting or settlement date Separates same-day activity from timing differences
Amount Transaction amount in the source currency Confirms the value before fees, refunds, or adjustments
Credit or debit direction Whether money enters or leaves the business account Prevents a refund or expense from being treated as a sale
Payer or payee VPA and/or displayed name Supports counterparty validation
Bank account The account expected to receive or send the funds Detects postings to the wrong account
Status Successful, pending, failed, reversed, refunded, or disputed status shown by the source Determines whether a final business outcome exists
Settlement date Date the settlement batch is expected or shown to reach the bank Explains posting delays between payment and credit
Fees or adjustments Every deduction or addition shown in the settlement report Keeps gross activity separate from net bank credit
Invoice or journal link Sales invoice, expense document, refund record, or journal-entry identifier Connects payment evidence to the accounting books

Use consistent formats for dates, amounts, signs, and identifiers. Preserve leading zeroes and punctuation in UTRs and transaction IDs. If a source truncates an identifier, retain the original value in a separate field rather than silently editing it.

Match transactions in a controlled order

Matching should be deterministic. A row is reconciled only after the identity, value, direction, date, counterparty, and final status agree across the relevant sources.

  1. Match the transaction ID or UTR first. Search the bank statement, UPI history, settlement report, and ledger support for the exact identifier. Do not rely on a customer name or amount alone when an identifier exists.
  2. Confirm the amount. Check whether the amount is gross transaction value, a fee, a refund, or the net settlement amount. A lower bank credit may be correct when the settlement report documents deductions.
  3. Confirm direction. A customer collection should be a credit to the collection account; a refund, fee, or chargeback may be a debit or a separate adjustment.
  4. Check dates in context. Compare transaction time, settlement date, value date, and bank posting date. A date difference is not automatically an error.
  5. Validate the counterparty and account. Confirm the payer or payee and the bank account expected for that flow.
  6. Check final status. Do not mark a row reconciled because an app says “success” if the settlement or bank report still shows pending, reversal, refund, or dispute activity.
  7. Link the accounting entry. Attach the invoice, expense, refund, fee, or journal reference and retain the source evidence.

When the identifier is missing

Do not invent a UTR. Use a documented composite key only when the source lacks a usable identifier. The key can combine the normalized date and time, amount, credit or debit direction, payer or payee, bank account, and settlement batch. Mark the row for review, record the fields used, and obtain independent evidence before closing it.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Two transactions with the same amount and counterparty must remain separate unless the source identifier or a documented composite key proves they are the same event. This is especially important for recurring payments and bulk settlement files.

Reconcile settlement totals to the bank statement

After row-level matching, move to the batch level. Group the UPI transactions by settlement date and settlement reference, then compare each group with the corresponding bank credit or debit.

Keep gross and net figures separate

Your reconciliation should show at least four distinct totals:

  • Gross transaction value: The value of successful collections or outgoing payments before deductions.
  • Fees: Charges identified by the settlement or bank report.
  • Refunds and other adjustments: Amounts returned or corrected after the original transaction.
  • Net bank credit or debit: The amount that actually posted to the business account.

The settlement bridge should explain how the gross activity becomes the net bank amount. If the bridge does not balance, leave the difference in the exception log; do not bury it in a manual journal without evidence.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Separate settlement timing from a true difference

A payment made near the end of a reporting period may appear in the UPI history but settle to the bank in the next period. Compare the settlement date and bank posting date before treating it as missing. Keep the original transaction in the period in which it occurred and link the later bank posting as the settlement event, according to your accounting policy.

Conversely, a bank credit without a corresponding UPI or settlement row is not automatically revenue. It may be a delayed batch, adjustment, refund reversal, or an entry posted to the wrong account. Assign it an exception reason and obtain the settlement evidence.

Reconcile the settled amount to the accounting ledgers

Once the bank and settlement reports agree, connect the result to the books. The ledger should preserve the distinction between what the customer paid, what the payment service deducted, what was refunded, and what reached the bank.

Collections and sales

Link each settled customer payment to its invoice or sales journal entry. If one settlement batch contains many invoices, retain the batch-to-invoice mapping rather than posting a single unexplained total. The batch total, invoice total, and bank credit should be traceable in both directions.

Fees

Post fees to a dedicated fee account or clearing account when your accounting system supports it. The fee line should point to the settlement report or bank narration that supports the deduction. Never reduce sales by the fee merely to make the bank total agree; that hides the gross value.

Refunds and reversals

Link a refund or reversal to the original transaction and the customer or invoice record. Keep the original payment and the later adjustment as separate events so the audit trail shows when the obligation changed.

Clearing accounts

Separate clearing accounts for UPI collections, refunds, fees, and chargebacks can make outstanding items visible. Clear a row only when the related settlement or bank evidence is present. A residual balance is an open item, not a reason to post a generic “rounding” entry.

Use an exception log instead of forcing a match

Every unmatched row needs an owner, reason code, due date, next action, and resolution evidence. Never delete an unmatched row. The following categories cover the common branches in a UPI close.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
Exception What to investigate Resolution evidence
Timing difference Transaction, settlement, value, and posting dates across periods Settlement report and later bank line
Duplicate transaction ID Repeated UTR or transaction ID, amount, and counterparty Source export showing the legitimate row and correction for the duplicate
Missing bank line UPI and settlement rows with no bank posting Bank confirmation, subsequent posting, or approved open-item owner
Missing UPI line Bank credit or debit with no transaction or settlement record Settlement detail or bank investigation
Wrong account Expected account versus account that received or sent the funds Transfer evidence and correcting journal
Failed but debited Displayed failure, bank debit, and refund or reversal status Bank/UPI case reference and eventual refund or adjustment
Pending Current status, beneficiary-bank processing, and later settlement outcome Updated status and settlement or reversal evidence
Reversed or refunded Original transaction, return event, date, and amount Refund/reversal reference linked to the original row
Fee or adjustment Settlement deduction, addition, and accounting classification Settlement report and posted fee or adjustment entry
Chargeback Dispute reference, TCC/RET outcome, and settlement-cycle result Dispute record and next-cycle acceptance or rejection evidence

Prioritize material and aging items

Review high-value differences, repeated identifiers, unusual reversals, and items approaching the close deadline first. An old low-value item still needs an owner and explanation, but a pattern of small unexplained deductions can signal a systematic fee or integration problem.

Handle pending, failed, reversed, and refunded payments correctly

UPI status is a queue, not always a final accounting conclusion. Follow each non-final transaction until the bank and settlement evidence establish the outcome.

Pending transactions

NPCI’s UPI FAQ states that a transaction shown as pending may reach the beneficiary within 48 hours after the beneficiary bank completes daily settlements. Keep the row open during that window, monitor the settlement and bank reports, and avoid recognizing the final business outcome solely from the app notification.

Failed but debited transactions

NPCI says UPI provides real-time reversals for declined transactions, but a refund can take longer than intended. If a failed-but-debited transaction has not been refunded within one hour, the FAQ advises contacting the bank. Record the case reference, the time of contact, and any subsequent refund or reversal. Until the funds are returned or another final outcome is evidenced, keep the item in the exception queue.

Reversals and refunds

A reversal or refund must be connected to the original UTR or transaction record. Verify the returned amount and date, and determine whether the return appears as a separate bank line, a settlement adjustment, or both. Do not mark the original payment as deleted; retain the original and the return as linked events.

Chargebacks

NPCI’s February 10, 2025 chargeback circular notes that chargebacks were sometimes raised before beneficiary banks had enough time to reconcile and process returns. For specified URCS bulk-upload flows, it describes automatic acceptance or rejection based on TCC/RET in the next settlement cycle, effective February 15, 2025.

For a chargeback, retain the dispute reference and check the outcome in the relevant settlement cycle. Initiation alone is not proof that the chargeback is final. Update the accounting entry only when the settlement-cycle result and bank or settlement evidence support it.

Set a cadence that matches your UPI volume

Daily reconciliation for material volume

When UPI volume is material, import or export the prior day’s bank, UPI, and settlement data each business day. Match new rows, review non-final statuses, and assign exceptions while the source records are easy to retrieve. Daily work limits the number of transactions that can be affected by a duplicate, wrong-account posting, or integration failure.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Bank-close and month-end reconciliation

Lower-volume businesses can reconcile at each bank close and at month-end, provided the period is locked and open items are monitored between closes. At month-end, include transactions near the cutoff, settlement batches that cross periods, refunds initiated before close, and chargebacks awaiting a settlement-cycle result.

Reviewer sign-off

The preparer should document the match status and exceptions. A reviewer should inspect material differences, unusual reversals, duplicate IDs, manual journals, and the settlement bridge, then record the review date and name. The period is ready to close only when every material difference has an explanation or an approved open-item owner.

Controls that prevent reconciliation drift

  • Source preservation: Lock the original exports and record extraction date, account, PSP, and period.
  • Independent reports: Compare UPI or NPCI-related reports with the bank’s own report rather than relying on a single dashboard.
  • Separate flows: Use distinct clearing accounts for collections, refunds, fees, and chargebacks when supported.
  • No deletion: Keep every unmatched row and document its reason, owner, due date, and evidence.
  • Gross-to-net review: Compare gross UPI activity with net bank credits so fees and adjustments cannot disappear inside one number.
  • Duplicate detection: Review repeated transaction IDs, identical composite keys, and repeated settlement references.
  • Manual-journal review: Examine every manual entry used to clear a UPI difference and require supporting evidence.
  • Status monitoring: Recheck pending, failed-but-debited, reversed, refunded, and disputed rows until a final outcome is recorded.

Choosing a reconciliation tool or workflow

A spreadsheet can work at low volume if it preserves source files, formulas, status history, and reviewer sign-off. At higher volume, evaluate a tool against the actual control requirements rather than choosing on dashboard appearance.

  • Import coverage: Can it ingest the bank, PSP, merchant-dashboard, and settlement formats you actually receive?
  • Identifier matching: Does it match UPI transaction IDs and UTRs before falling back to composite keys?
  • Gross-to-net handling: Can it keep transaction value, fees, refunds, adjustments, and net bank credit separate?
  • Status support: Can it track pending, failed, reversed, refunded, and chargeback states through settlement?
  • Exception workflow: Can each unmatched row have a reason, owner, due date, comments, and evidence?
  • Audit trail: Are source imports, changes, journals, and reviewer approvals retained?
  • Role-based review: Can preparers and reviewers have distinct permissions?
  • Ledger export: Can approved entries be exported to the existing accounting ledger without losing references?
  • Retention and security: Does the system protect bank and payer data and retain records for your required period?

Ask for a sample import using your own anonymized files. Test duplicate IDs, a cross-period settlement, a fee deduction, a pending payment, a refund, and a chargeback before committing to a workflow.

A practical close checklist

  1. Define the period, accounts, UPI sources, and extraction date.
  2. Preserve the original bank, transaction-history, dashboard, settlement, and ledger files.
  3. Normalize every row with identifier, date/time, amount, direction, counterparty, account, status, settlement date, fees or adjustments, and ledger link.
  4. Match exact transaction IDs or UTRs first; document any composite-key match.
  5. Verify amount, direction, dates, counterparty, account, and final status.
  6. Bridge gross transaction value to fees, refunds, adjustments, and net bank posting.
  7. Link settled rows to invoices, expenses, refunds, fees, chargebacks, or approved journals.
  8. Log every unmatched row with a reason, owner, due date, and evidence plan.
  9. Follow pending and failed-but-debited items through the applicable status and refund windows.
  10. Check chargeback references and the next settlement-cycle outcome where applicable.
  11. Review duplicates, unusual reversals, wrong-account postings, and manual journals.
  12. Obtain reviewer sign-off and close only when material differences are explained or formally owned.

Why this method produces a defensible balance

The method separates three events that are often confused: the customer or business initiating a UPI transaction, the payment system settling it, and the bank posting the resulting credit or debit. Matching identifiers proves identity; settlement reports explain batching and adjustments; the ledger link proves the accounting treatment. Keeping those layers visible lets you explain a difference without changing the underlying evidence.

NPCI’s guidance places daily reports and member-bank reconciliation at the center of settlement control. For a business, the practical result is straightforward: preserve the reports, reconcile at the row and batch levels, maintain an explicit exception queue, and wait for final status evidence before closing a transaction.
