How to Protect Sensitive Information When Using Generative AI at Work

Treat AI prompts and uploads as information sent to a service. Check employer policy, minimize what you share, and use an explicitly approved workflow for sensitive data.

Treat every prompt, pasted excerpt, uploaded file, and connected data source as information you are sending to an AI service. Before using work information, check your employer’s approved-tool list and data rules. Keep sensitive, personal, classified, or confidential material out of unapproved tools; if a task needs it, use only a workflow explicitly approved for that information.

Why a prompt can expose work information

A prompt can disclose information even when it is phrased as a question. Text, files, and data made available through connected services may be processed or stored outside your organization’s network. The relevant questions are where the information goes, who can access it, whether it is retained, and how the service uses it. The UK Government’s framework calls for understanding where data is processed and stored and limiting a tool’s access to what it needs for its task (UK Government framework, 2023).

Rules depend on the organization and the information involved. UK civil-service guidance says, “You should never put sensitive information or personal data into these tools,” referring to the public tools covered by that guidance—not establishing a universal rule for every employer or product (UK civil-service guidance). The UK Home Office likewise says restricted information must not be shared with AI tools without explicit approval through appropriate governance and assurance processes (Home Office engineering guidance). Follow your own employer’s policy and classification rules.

What to do before entering work information

  1. Check whether the tool and task are approved. Use your organization’s approved-tool list and data-classification rules. A tool being available or described as enterprise-grade does not, by itself, establish that your employer has approved it for a particular type of information.
  2. Classify the information. Consider whether the prompt or file includes personal data, customer or employee details, credentials, confidential plans, source code, or restricted material. If you are unsure how it is classified, do not submit it until you have checked the applicable policy or asked the responsible security or privacy contact.
  3. Minimize what you share. Provide only the information needed for the task. Remove names, identifiers, customer details, credentials, unreleased plans, and other confidential specifics when a generic example will work. Use public, synthetic, or redacted material where possible. Microsoft’s guidance recommends masking or synthetic or redacted data where practical (Microsoft security guidance).
  4. Use an approved protected workflow if sensitive information is necessary. Confirm that the specific service, configuration, and use case are approved for that data. Do not assume a general approval for a product covers every feature, integration, or connected agent.
  5. Check the result before acting on it. Verify summaries and factual claims against the source material. AI can omit context or produce convincing errors; official guidance calls for human quality assurance and controls to check accuracy and detect leakage (UK Government framework, 2023).

What to verify in an approved AI service

Approval should be based on the actual service terms and configuration, not a broad product label. Ask your organization’s administrator or security team how the workflow handles the following:

  • Data use and model training: What do the applicable terms say about using prompts, files, and outputs to train or improve models?
  • Retention and deletion: How long can prompts and files be kept, and what deletion controls apply?
  • Processing location: Where is the information processed, and what residency boundaries apply?
  • Isolation and access: How is your organization’s data separated, and which users, administrators, or service providers can access it?
  • Connected tools and agents: Do integrations have separate terms, permissions, or data-handling practices?
  • Monitoring and records: Can the organization audit activity or use eDiscovery, and what information is captured?

These details vary by service, subscription, and configuration. Microsoft’s descriptions of Copilot enterprise data protection are specific to its products and subject to subscription and service caveats; web-search queries and agent services may have distinct handling. Check the current terms for the exact service and connected features you will use (Microsoft Copilot data protection, updated 2026-08-18).

Safeguards employers can put in place

Organizations can reduce risk through a combination of policy, access controls, and technical safeguards. The right controls depend on the product, license, supported integrations, and configuration; their availability does not mean they are enabled.

  • Classification and sensitivity labels help employees recognize how information may be handled and can support restrictions in compatible services.
  • Least-privilege access limits a tool or connected agent to the organizational data needed for its task, rather than granting broad access by default.
  • Data loss prevention (DLP) can inspect prompts or uploads and warn or block sharing of sensitive information in supported configurations. Microsoft documents DLP and AI interaction monitoring capabilities for supported setups (Microsoft Purview DLP documentation).
  • Auditing and leakage checks help organizations review use and identify inappropriate exposure, while human review helps catch omissions and errors in outputs.

Employees should not rely on technical barriers as a substitute for following policy: protections may not cover every service, feature, or type of content. Likewise, organizations should verify that the controls they expect are enabled for the licenses and integrations in use.

If you are unsure whether information is safe to submit

  • Do not paste or upload it to an unapproved service.
  • Try the task with public, synthetic, generic, or redacted information instead.
  • If sensitive details are essential, ask the appropriate security, privacy, or data owner whether an approved workflow covers that information and feature.
  • If information has already been shared contrary to policy, follow your organization’s incident-reporting process promptly.
