A black rectangle, password, or restricted link alone does not do all of these jobs.
What each PDF privacy control does

How to remove sensitive information before sharing
1. Work from a copy
Keep an untouched source if you may need it for records or later correction. Adobe says that redactions are permanent once applied and saved, so create a separate outgoing copy rather than relying on the redacted file to preserve the original content.
2. Find every occurrence
Search for recurring names, account identifiers, addresses, and phrases, then review the results before applying redactions. Adobe Acrobat Pro’s search-and-redact feature can locate words, phrases, multiple terms, and patterns. It cannot search text that exists only inside images or line art, so inspect every relevant page, image, form field, and attachment as well.

3. Apply a real redaction
In Acrobat Pro, mark the sensitive text or graphic and apply the redaction command. A shape drawn over text or a highlight may conceal it visually while leaving the underlying content in the PDF; do not treat a cover shape as removal. Adobe describes applied redaction as permanent removal of visible text and graphics.
4. Sanitize hidden information
Visible redaction and hidden-data cleanup are separate tasks. Review the PDF for information that should not accompany it, including metadata, comments, hidden layers, embedded content, or scripts, and remove relevant items using the application’s sanitization tools. Adobe Acrobat Pro documents a separate sanitize operation for hidden content.

5. Validate the outgoing copy
Save the sanitized output, close it, and reopen that exact file. Check that redacted text is no longer visible, selectable, or searchable; inspect the affected pages and images; and review metadata and attachments when relevant. This check helps catch a mistaken edit or an unsanitized copy before it leaves your control.
Choose a sharing method for the recipients
For limited distribution, prefer named-recipient access or an organization-approved protected-sharing system when available. Set permissions to the recipient’s task: viewing or commenting may be sufficient when editing is unnecessary. Adobe’s online sharing options include viewing and commenting access settings.

In workplaces, Microsoft Purview Information Protection can apply labels and permissions to supported files, including PDFs in its labeling workflow. The available options depend on the organization’s licensing, tenant configuration, and supported applications; confirm that recipients can open the protected file in their environment before relying on this route.
If sending an encrypted PDF, provide the password or access instructions through a separate channel when your policy calls for it. Keep recovery information secure. Encryption protects file contents from people who lack the credential, but CISA notes that author and creation-date metadata may still be visible, so sanitize metadata separately if it matters.

Which workflow fits your situation?
- Removing a name or account number from a document: redact each occurrence, sanitize hidden information if it could disclose more, then validate the saved copy.
- Sharing a confidential PDF with a small group: complete redaction and sanitization first, then use named-recipient permissions or approved encryption and share access details securely.
- Publishing a PDF publicly: assume anyone may retain or redistribute the file. Remove sensitive content and hidden information before publication; a restricted link is not a substitute for cleaning the document.
- Sending a workplace file under organizational policy: use the approved labeling or protected-sharing workflow and verify recipient compatibility rather than assuming every PDF reader supports the same controls.
