To protect sensitive files when using AI assistants on a Mac, limit each app’s macOS permissions, send only the minimum information needed, and check the specific service’s account and data settings before sharing. These are separate safeguards: macOS permissions control an app’s access to local files, while the AI provider’s policies apply to material you choose to send. FileVault helps protect a locked Mac’s startup disk; it does not make a cloud upload private.
Can AI assistants access files on your Mac?
Not simply because they are AI assistants. What an app can access depends on the permissions you grant, the feature you use, and whether you select or upload files. macOS provides controls for access to locations such as Documents, Desktop, and Downloads. Separately, when you send a file or text to an online service, the provider’s policies and your account settings govern how that content is handled.

Review access at Apple menu > System Settings > Privacy & Security > Files & Folders. Apple says you can review and change an app’s permissions there. Turn off access to locations the assistant does not need. If you allow a third-party app to access files, Apple notes that information it collects is subject to that party’s privacy terms (Apple’s guide to controlling file and folder access).

Which Mac permissions deserve the closest review?
Files & Folders
Grant access only to the specific locations needed for a task. If the assistant needs one document, selecting and attaching that document is preferable to granting continuing access to an entire folder. Revisit the setting if you stop using the feature or the app.

Full Disk Access
Full Disk Access is much broader than permission to one folder. Apple describes it as access to all files, including data from other apps such as Mail, Messages, and Safari, Home data, Time Machine backups, and certain administrative settings. Do not approve it casually for an AI tool. Before granting it, identify the exact feature that needs it and consider whether a narrower permission or manual file selection will work (Apple’s overview of Privacy & Security settings).
Accessibility and Automation
These permissions can allow an app to control other apps or use scripts and system commands. They are not ordinary file-picker permissions. Approve them only when you understand the assistant feature that requires the access, and review them if the feature is no longer needed.

What does FileVault protect—and what does it not protect?
FileVault encrypts the Mac’s startup volume. Apple says valid login credentials or a recovery key are required to access it; without them, the volume remains encrypted even if the physical storage is removed. This helps protect data if a Mac is lost or someone tries to access its storage while offline. Apple’s Platform Security chapter describes its design principle as giving users “full transparency, consent, and control over what apps are doing with their data”; that is Apple’s stated principle, not an independent assessment (Apple Platform Security: FileVault).

FileVault does not stop an authorized user from uploading a file, and it does not control what a cloud provider does with content after it is sent.

How can you reduce what you share?
- Send an excerpt, not a folder. Include only the passages needed for the question rather than a large collection of documents.
- Remove unnecessary identifiers. Where the task allows, omit names, account numbers, addresses, and other details that do not affect the answer.
- Use a synthetic example when possible. If the real record is not necessary, substitute invented details that preserve the problem you need help solving.
- Check before attaching. Confirm which files are selected and whether the feature sends their contents to a provider.
These are disclosure-minimization practices, not special vendor controls. They reduce the sensitive material you choose to share but cannot guarantee how a service will process content that has already been sent.
How do Apple Intelligence, ChatGPT, and other assistants handle a request?
“AI assistant” does not describe one data path. A task may run on the Mac, use Apple’s Private Cloud Compute (PCC), invoke Apple’s optional ChatGPT extension, or go directly to another provider through its app or website. The workflow matters: check what information leaves the Mac, what account is involved, and which provider’s terms apply.

Apple Intelligence and Private Cloud Compute
Apple says many Apple Intelligence tasks run on device, while more complex requests may use PCC. For requests routed to PCC, Apple says: “Your data is never stored. It is only used to fulfil your requests.” This is Apple’s description of its own PCC design; it should not be generalized to other cloud AI services (Apple: How to get Apple Intelligence).
Apple’s optional ChatGPT extension
Apple says the ChatGPT extension is off by default and asks before sharing information. When you invoke it, the request and any attachments you select can be sent to ChatGPT. If you sign in to a ChatGPT account, that account’s settings and OpenAI’s policies apply. Apple’s disclosure says that using the extension without an account involves processing to fulfil the request and no model training. ChatGPT is an optional integration for supported features, not the route used by every Apple Intelligence task (Apple’s privacy disclosure for Siri, Dictation, and ChatGPT).

Direct use of a provider’s app or website
A separate app, browser session, or business account may have different file access, upload behavior, retention rules, and settings from Apple’s integrations. For example, OpenAI’s help page for its ChatGPT macOS app says uploads are stored in the cloud and tied to the account, not only on the Mac. It says deleted chats and files are removed within 30 days, subject to exceptions for de-identification or legal or security obligations. The page also says individual-user content may be used to improve models by default, and opting out applies to new conversations. These are provider-specific terms described on the page, which showed an update approximately two months before the October 2026 publication context; check the current page and your settings before sending sensitive material (OpenAI Help: Work with apps on macOS).

Before sharing sensitive material, identify the product and account you are using: an assistant’s desktop client, browser, system integration, and business account may not follow identical workflows or terms. Check the service’s current disclosures and account settings for:
- Whether the request and attachments are processed on device or sent to a cloud service.
- Which files or local locations the feature can access, and whether you can select files manually instead.
- How long chats and uploaded files are retained, and what deletion exceptions apply.
- Whether consumer content may be used to improve models, and whether changing the setting affects only future conversations.
- Whether the terms differ for your account type, plan, or organization.
Do not assume that changing a training or privacy setting removes content previously submitted. Confirm the service’s stated scope and effective date. Policies can change, so review the terms at the point of use rather than relying on a general label such as “private AI.”

How do you make a safer workflow routine?
- Review permissions: open Apple menu > System Settings > Privacy & Security and check Files & Folders, Full Disk Access, Accessibility, and Automation for the assistant you plan to use.
- Choose the least-access route: use manual selection or paste a relevant excerpt if the task does not require ongoing access to local folders.
- Minimize the material: remove unneeded identifiers or replace real details with a synthetic example.
- Check the destination: establish whether the feature stays on device, uses PCC, or sends the request to a provider; identify the account and its current retention and improvement settings.
- Revoke permissions you no longer need: return to Privacy & Security and turn off access that is no longer required.
