Protect sensitive scans by limiting what you capture, checking what the app does with the image and extracted text, securing the copies you keep, and deleting or destroying copies when they are no longer needed. A phone’s security settings can help protect files on the device, but they do not establish whether a scanner app uploads them or how a service handles them.
Before you scan: decide whether a copy is necessary
Start with the document’s purpose. Scan only the pages or details you need, and decide how long you need the digital copy. A scan you never create cannot be exposed through an app account, a lost phone, a synced folder, or a service provider.

For work documents, use the scanner, storage location, and retention schedule approved by your employer. Organizations should know where information enters and is stored, who can access it, and which providers handle it. The FTC’s business guide to protecting personal information advises: “If you don’t have a legitimate business need for sensitive personally identifying information, don’t keep it.”

Choose an app with its data handling in mind
Download scanner apps from a trustworthy source, then review the app’s current privacy policy, permissions, account requirements, and disclosures. Look specifically for whether images or extracted text are used for analytics, OCR, cloud processing, backup, or sharing; how long they are retained; and how to request or carry out deletion.

A permission prompt is only one part of the picture. For example, camera or photo-library access governs an app’s access to those device features; it does not by itself tell you whether the scan is later sent to the app’s server or another service. On Apple devices, you can review or revoke app access in Settings and control app access to iCloud Drive. Apple’s platform security documentation, published May 13, 2022, describes device protections such as Data Vault; check your current device settings and documentation because controls and labels can change.
The FTC’s app security guidance recommends limiting collection, reviewing third-party code, protecting locally stored personal information, and securing transmissions and servers. These are useful questions to ask an app provider, not evidence that a particular app follows those practices.

Capture and store the scan carefully
Use a strong device passcode, keep the operating system and scanner app updated, and avoid leaving sensitive scans in broadly accessible folders. If local-only processing and storage meets your needs, it can reduce the number of parties and systems involved—but verify the app’s behavior rather than relying on labels such as “local” or “offline.”

It recommends the strongest protection for personal or user-created files and describes complete protection for files that are accessed only while the app is in the foreground. This is guidance for app developers, not a setting that guarantees every scanner app uses those protections. Apple’s data protection overview explains the implementation.

Device encryption and file protections apply to data stored on the device; they do not guarantee safety if an app uploads a copy. NIST’s Mobile Device Security: Bring Your Own Device (BYOD) and Corporate-Owned Personally Enabled (COPE) treats mobile security as a lifecycle covering deployment, use, and disposal. The publication, dated May 17, 2023, addresses both personally owned and enterprise-managed devices. For work records, use managed-device and approved-app policies where available.
Check OCR, cloud sync, and sharing before enabling them
OCR can create searchable text from an image, and sync or backup can create additional copies. Before turning on OCR, automatic sync, cloud backup, email export, or a share link, find out where the image and extracted text are processed and stored, who can access them, how long they are kept, and how deletion works.

If a provider stores or processes scans, check its security responsibilities and terms. The FTC recommends encryption for important data in transit and consideration of encryption for stored personal information; it also advises developers to understand how security responsibilities are divided with cloud providers. Encryption alone does not answer who can access the content or whether copies remain in backups.

When sharing, use access controls and send only to intended recipients. Prefer services and accounts with authentication and sharing controls appropriate to the sensitivity of the document; for sensitive access, multi-factor authentication can add protection. These principles also appear in the FTC’s business guidance.

Remove copies when you no longer need them
Keep only the copies still required. Check the scanner app’s document list, camera roll or photo library, downloads, export folders, email and message attachments, and any cloud destination. Deleting a scan from one location does not necessarily remove copies elsewhere; behavior depends on the app and service, so check their deletion and backup terms.
If the paper original is no longer required, destroy it securely. The FTC recommends shredding, burning, or pulverizing sensitive paper records before disposal. A cross-cut paper shredder can help with that paper-disposal task; it does not secure a phone or a digital scan. See the FTC’s guide to protecting personal information.
Questions to ask before trusting a scanner or storage service
- Does processing, including OCR, happen on the device or on a provider’s servers?
- Is an account required, and what information does the app collect?
- How long are scans and extracted text retained, and how can they be deleted?
- What encryption is used in transit and at rest, and who can access the content or keys?
- What access controls, authentication, and sharing restrictions are available?
- Does deletion reach backups and shared copies, or must those be removed separately?
- Does the app and storage option comply with your employer’s rules and the obligations that apply to the document?
These checks are especially important for identity, tax, medical, financial, and contract records. The right choice depends on the app, service, organization, and applicable jurisdiction; this guidance is not an audit of any particular scanner.
