Do these 3 things before closing this tab:
1Scan for outdated or missing drivers - takes under a minute2Clear out junk files and repair common Windows errors3Fix the driver behind crashes, sound loss and screen glitchesBefore uploading a recording, check the exact transcription product and endpoint, what happens to audio and transcripts after processing, whether any data-use program is enabled, and where processing and storage occur. Then minimize the recording, protect the connection and credentials, and decide how returned text and any retained copies will be secured and deleted. Privacy depends on the service configuration and agreement—not simply on choosing a cloud provider.
What happens to audio, transcripts, and logs after submission?
Do not treat “not used for training” as a promise that a provider stores nothing. Training use, service improvement, abuse monitoring, temporary processing, and application storage are separate questions. A provider’s answer may also depend on the endpoint and mode you call.

| Service and documented scope | Data use | Retention or processing detail |
|---|---|---|
| OpenAI API | API inputs and outputs are not used to train models by default. | Default abuse-monitoring logs may be retained for up to 30 days. That statement concerns those logs; it is not a general retention period for every API resource or customer-controlled copy. |
| Google Cloud Speech-to-Text, not opted in to data logging | Content is used only to provide the service. | Synchronous and streaming audio is processed in memory without customer data storage. For asynchronous requests, transcripts are stored for approximately five days so customers can retrieve them. |
| Google Cloud Speech-to-Text, optional data-logging program | Opting in permits Google to use logged data to improve service quality. | Deleting the project does not delete data already logged through the program; a separate deletion request is required. |
These are product-specific statements, not a direct ranking: the providers’ pages do not establish equivalent endpoint configurations, contracts, or threat models. Google Cloud’s Speech-to-Text data usage FAQ also says Google “does not claim any ownership in any of the content (including the audio data and returned transcript) that you transmit to the Cloud Speech-to-Text API.” Ownership language does not, by itself, answer how long a particular copy is retained or who may access it.
What should you check before uploading?
- Minimize the recording. Trim unrelated conversation and avoid sending identifiers or sensitive passages that are not needed for the transcription task. This is a data-minimization practice you control, not a special feature of an API.
- Pin down the exact service and request mode. Record the provider, API product, endpoint, and whether the request is synchronous, streaming, or asynchronous. Do not apply a retention statement for one mode to another.
- Read the data-use and retention terms separately. Establish whether audio or output text may be used for model training or service improvement; what abuse or diagnostic logs contain; whether the transcript or request state is stored; and the stated lifetime of each copy.
- Check opt-in settings and deletion paths. Determine whether data logging is off by default, what changes if it is enabled, and how to request deletion of logged material. For Google’s documented opt-in program, deleting the project alone does not remove previously logged data.
- Verify geography for each data category. Check processing location, storage location, and system data separately, along with endpoint configuration and account eligibility. A broad “regional” label may not describe every category of data.
- Review the agreement for your use case. If recordings are regulated, contractually restricted, or otherwise high risk, confirm applicable terms, jurisdictional obligations, support access, subprocessors, deletion routes, and endpoint eligibility with the provider and appropriate counsel.
How do region and encryption controls affect the decision?
Region is not a single setting for all data
Google says processing is global by default and describes EU and US multi-region endpoints as options for limiting processing to those geographies. OpenAI’s data-residency documentation distinguishes regional storage and processing, notes that system data may be outside the selected region, and describes additional requirements for non-US regions. Confirm what the exact endpoint and account arrangement cover; do not infer that system data follows the same location rules as customer content.

- Certified to FIPS 197 - High-level information security standard approved by the U.S. Government
- Brute-Force Password Attack Protection - Data is automatically erased after 6 failed access attempts. The data and encryption key are securely destroyed and the crypto drive is reset
- Rugged Double-Layer Waterproof* Design - Protects the crypto drive against knocks, drops, break-in and submerging in water. The electronics are shielded by a hardended inner case. The rubberised silicone outer casing provides a final layer of protection
- Auto-lock - The crypto drive will automatically encrypt all data and lock when removed from a PC/Mac or when the screen saver or "computer lock" function is activated on the host PC/Mac
- Secure Entry - Data cannot be accessed without the correct high-strength alphanumeric 8-16 character password. A password hint option is available. The password hint cannot match the password
Encryption protects data in transit or at rest, not every privacy question
Google documents encryption at rest by default and customer-managed encryption keys through Cloud KMS for supported resources. AWS documents TLS 1.2 for Amazon Transcribe traffic in transit and encryption options for transcription outputs. Those statements do not establish that every API path or output destination uses the same controls. Check the specific resource, and separately secure any transcript your application stores.
What should you secure during and after the request?
- Use an authenticated, encrypted connection. Protect API credentials, restrict who can use them, and avoid exposing them in client-side code or logs. AWS’s documented TLS 1.2 transport protection does not determine how your application stores returned text.
- Choose whether to retain the transcript. If the application does not need a durable copy, avoid creating one unnecessarily. If it does, set an access policy and a deletion schedule covering application storage, logs, and backups.
- Protect text as sensitive data. A transcript can preserve names, account details, health information, or confidential discussion from the source recording. Converting audio to text does not remove that sensitivity.
- Track copies independently. Deleting a local recording does not establish that provider-side data, application logs, exported transcripts, or backups have been deleted. Identify which party controls each copy and use the applicable deletion process.
Who is responsible for the remaining controls?
Provider safeguards do not replace customer configuration. AWS describes Transcribe as using a shared-responsibility model; in practice, callers still need to secure credentials, application logging, downstream storage, and access to transcripts, alongside reviewing provider-side controls. Make an inventory of every component that handles the recording or returned text, including systems that receive logs or backups, and assign an owner for access and deletion settings.

Before sending sensitive audio, make the decision against the exact endpoint, its documented data handling, your account’s settings, and the agreement that applies to your organization. Recheck provider documentation when deploying because product controls and terms can change.
