Then send only the fields needed, verify the provider’s retention and model-training terms, limit access, apply safeguards appropriate to your risks, and document how data is monitored and deleted. The right controls depend on your CRM setup, industry, and the privacy laws that apply to your organization.
1. Map what each AI feature can access
Do not assume an AI feature sees only the record displayed on screen. Depending on its configuration, a drafting, summarizing, or classification feature may receive CRM fields, attachments, support notes, call transcripts, or identifiers. It may also connect to a model provider, plug-in, analytics service, or other integration.

For each feature, record the information it can read, where that information is collected, stored, and transmitted, which vendor systems receive it, who can invoke the feature, and who can see its output. The FTC recommends taking stock of the information a business holds, who can access it, and how it moves through the business. Its Safeguards Rule guidance also describes periodically inventorying systems and information flows (FTC business guide; FTC Safeguards Rule guide).
2. Minimize what you send and how long you keep it
Remove or disable fields the AI task does not need. An ordinary email draft or case summary, for example, may not require payment details or highly sensitive identifiers. Limit access to attachments, notes, and transcripts when they are not necessary for the task.

- Hardware encrypted drive
- Simple to use pin access. RPM-5400
- Administrator password feature
- Bus powered
- Utilizes Military Grade FIPS PUB 197 Validated Encryption Algorithm
Set a retention period tied to a defined business purpose. Find out whether deletion covers prompts, outputs, logs, feedback, and backups, and what happens when a user deletes a record. Keep information only as long as it is needed, then dispose of it securely, subject to applicable legal retention requirements. The FTC’s business guide advises against collecting personal information without a legitimate business need or keeping it longer than necessary (FTC business guide).
3. Check the provider’s commitments and settings
Treat the AI service as a recipient of customer information, even when it is built into the CRM. Before enabling a feature, review the contract, privacy notice, product settings, and documentation for each connected integration. Establish what happens to prompts, CRM context, generated output, logs, and user feedback.

- Are inputs or outputs retained, and for how long?
- Are they used to train or update models, or to improve the service?
- Can subprocessors or vendor support staff access them?
- Can administrators configure retention, training use, or access?
- Do the answers match the privacy and confidentiality promises your organization has made to customers?
The FTC says AI providers should honor privacy and confidentiality commitments, including promises about using data to train or update models. A vendor statement is not a substitute for checking the terms and settings that apply to your specific product and configuration (FTC on AI companies’ privacy commitments).
4. Restrict access and secure integrations
Give CRM users, administrators, AI features, and service accounts only the permissions they need. Check permissions periodically, use strong authentication, and evaluate third-party apps before granting them access to customer records. Protect information in transit and at rest using safeguards suited to your deployment, and consider whether data exports or copied outputs create additional access paths.

The FTC Safeguards Rule guidance discusses access controls, encryption, third-party app evaluation, and multifactor authentication for covered financial institutions. It is not a blanket rule for every CRM user. Organizations outside its scope should determine their own legal duties and select risk-appropriate controls (FTC Safeguards Rule guide).
5. Monitor use, document decisions, and revisit changes
Keep a record of each approved AI use case, the data categories it uses, the provider and integrations involved, relevant settings, permitted users, retention approach, and the person responsible for review. Monitor for unexpected access, unusual data exports, changes to vendor terms or product settings, and outputs that expose personal information inappropriately.

Reassess the setup when the model, integration, available CRM fields, or purpose changes. AI security risks depend on how a system is built and deployed, the organization’s risk-management maturity, and the nature and purpose of the processing. The UK Information Commissioner’s Office (ICO) advises assessing the risks of the particular processing and keeping security practices current; its AI guidance page says it is under review following changes made by the Data (Use and Access) Act (ICO security and data-minimisation guidance).
6. Confirm which legal requirements apply
Requirements depend on jurisdiction, sector, and the organization’s activities. The FTC Safeguards Rule applies to covered financial institutions; the FTC’s privacy overview can help identify relevant U.S. privacy and security materials, but it does not make one checklist universal (FTC privacy and security overview). The ICO guidance is framed around UK data-protection law, not global law. Because its relevant page carries a review notice, check its current text and applicable commencement provisions before relying on date-sensitive legal interpretations (ICO guidance overview).
NIST Special Publication 800-122 offers federal agencies guidance on tailoring protections for personally identifiable information to context. It was published in April 2010 and is not a CRM-specific standard or a universal legal requirement (NIST SP 800-122).
