To get registrations for a startup side event, make the value clear, send every promotional link to one simple signup page, and invite the people and communities most likely to attend to share it. Then track completed registrations by source so you can focus on outreach that reaches the right audience.
1. Define why someone should attend
Describe the event in terms of its audience and payoff, not just its format. A founder mixer, focused panel, or networking session can all work, but “startup meetup” alone gives a prospective attendee little reason to choose your event from everything else happening around a conference.

- What will attendees get? Be specific about the discussion, introductions, knowledge, or opportunity the format is designed to provide.
- Why attend this alongside the main conference? Explain the distinct focus, smaller setting, or relevant people the side event brings together.
TechCrunch’s All Stage side-event program describes hosts developing their own event idea and managing its page and registration. Treat its examples as inspiration, not a promise that another conference will offer the same format or support.

2. Build one clear event and registration page
Create a single destination for every post, email, speaker mention, and partner share. Include the event name, intended audience, attendee benefit, date, time, location, hosts or speakers, and a prominent registration action. Make the page easy to understand on a quick visit: a person should not have to search for the form or guess what happens after signing up.
Use a direct registration link wherever possible. Ask only for information needed to reserve a place or run the event. Extra fields and unnecessary steps create friction without making the offer clearer. ClearEvent’s guidance covers calls to action and direct form links, while Cvent also recommends simplifying registration; see ClearEvent’s event promotion guidance and Cvent’s registration guidance.

For a broader checklist of page elements and calls to action, consult Eventbrite’s event landing-page guidance. Choose a registration tool based on the flow you need, how easily the page can be shared, whether it supports attendee communications, and cost. These are practical selection criteria, not a ranking of platforms.
3. Promote through relevant channels and partners
Start with people who already have a plausible connection to the event: your email list and social followers, speakers, co-hosts, sponsors, relevant startup communities, and conference contacts. Ask each suitable partner to share the same registration page. Make the request easy to act on by supplying a short description, the link, and ready-to-use assets or copy.

Use channels for audience fit rather than volume alone. An organizer’s social post may reach existing supporters; a speaker or community partner may reach people who care about the event’s specific subject. ClearEvent discusses email and social distribution, and HubSpot covers recurring social promotion and sharing by speakers and sponsors in its event-promotion guide.

4. Give people fresh reasons to register over time
Do not rely on one announcement. Make the first message explain the event and its central benefit. Later updates can spotlight a speaker, reveal an agenda detail, introduce a partner, or explain a practical reason the event may be useful to a particular attendee. Each message should add something rather than simply repeat the original post.
Crowdcast recommends promotion at different points with different reasons to register in its event-promotion guidance. It does not establish a universally best cadence for startup side events, so plan updates around real milestones and the time remaining before your event.

5. Check the conference’s side-event rules
If the event is connected to a conference program, confirm the current rules with that conference rather than assuming it will list, promote, or provide access to your event. TechCrunch’s All Stage page says potential promotion may include listings and shared attendee communications at its discretion, while assigning event operations and promotion responsibilities to the host. That page concerns its specific 2025 program in Boston-area venues; its dates, eligibility, terms, and benefits should not be generalized to a different conference or year. Read the current program terms, including who handles the page, registration, communications, costs, and any legal or operational requirements.
6. Measure completed registrations, not just attention
Likes and page visits can show that a message was seen, but the practical outcome is completed registrations. Where your registration tool supports it, use distinct tracking links for different channels or partners. Otherwise, ask registrants how they heard about the event or keep a simple record of where each link was shared. Compare signups by source and use the results to guide later outreach.
This is an operational way to learn from your own event, not a guarantee that one channel will outperform another. The cited guidance supports registration-focused promotion and link sharing, but it does not establish a universal attribution standard or a conversion benchmark for startup side events.

7. Use registration information responsibly
Collect only the details needed to manage attendance, and do not treat registration as automatic permission for unrelated future marketing. If you plan to use signup information for later marketing, obtain appropriate consent and follow the privacy rules that apply to your event and registrants. Crowdcast flags this consent consideration in its event-promotion guidance.
