Start by identifying your Teams account

Microsoft’s personal-use export instructions do not establish the same self-service process for organization-managed accounts. The right action also depends on whether you mean a regular chat, meeting chat, or meeting recording.

Save chat history from personal Teams
- Sign in to Microsoft’s Export page with the Microsoft Account you use for Teams personal use.
- Select Chat history, Media, or both, submit the request, and continue when prompted.
- Return to the Export page and check Available Exports periodically.
- When a download link appears, download the files. Microsoft says the material may arrive as a
.tararchive. Keep the original archive and verify that it opens before relying on the saved copy.
You can store the downloaded files locally; an external drive is optional, not required or specifically recommended by Microsoft. The export does not include previously deleted chats, and it cannot restore a chat or community that is no longer accessible.
Preserve work or school Teams messages
Contact your organization’s IT administrator or records/compliance contact promptly if a feature or access change may affect your chats. Give them the account and chat type involved, and ask which retention policy applies and what approved preservation process to use. Depending on your organization’s procedures, that may involve a preservation hold or a compliance export.

Microsoft documents compliance search, eDiscovery, and legal-hold capabilities for organizational content, but these are administrator or compliance functions—not a universal end-user export route. Microsoft says retention policies determine how long Teams messages and files are retained or visible, and advises users to ask their IT administrator about the organization’s policy. Handle meeting chats and recordings separately
Meeting chat history
Access to previous meeting messages depends on the meeting, your relationship to the organizing organization, and how you were invited. Microsoft says in-organization users can access chat history when directly added to the meeting or series invite. People who joined through a link or received a forwarded invitation may not see messages from before they joined or were added. An in-organization user can also be added directly to a meeting chat with a selected amount of history. Check access to the chat itself rather than assuming a general chat export will cover it. Meeting recordings
A recording is a separate file, not the meeting chat. Microsoft says non-channel meeting recordings are stored in the organizer’s OneDrive for Business, while channel meeting recordings are stored in the channel’s SharePoint site. The IT administrator sets recording expiration, though organizers can change recording expiration dates. Ask the organizer or administrator where the recording is stored and whether it is due to expire. See Microsoft’s meeting-recording storage and expiration guidance.
Before a feature or access change
- Confirm which Teams account and feature are affected, and verify the actual change date with Microsoft or your organization.
- For personal Teams, submit the export request and download the archive once it becomes available.
- For work or school Teams, get the applicable retention and approved preservation instructions from your administrator or compliance contact.
- If a meeting is involved, check meeting-chat history and recording access as separate items.
Do not treat a stated call-history period as a chat-message retention period. Microsoft’s Teams Free support page lists call history as available for 30 days; that figure concerns calls, not chat messages. The same page says message availability is determined by the user and data remains until deletion, departure from the conversation, or a change in permissions.
